2. On Demand Service
• Full Value for your dollar
• No set schedules
• No office interruptions
• No monthly service fees
When you are a company with many locations that have constantly changing and
varying levels of volume, monitoring service schedules to be sure you are not being
over serviced, and subsequently paying too much, is a full time job. With Maxxafe
System, this problem is solved. Our on-demand service insures you are only paying for
the service you need, when you need it.
3. Regulation
• FACTA
• HIPAA
• Gramm Leach Bliley
• Sarbanes Oxley
• Individual State Identity Theft
Legislation
• New Red Flag Rules
Identity theft is a crime that has hurt millions of Americans. As a result federal and state
governments have passed laws that require companies to securely destroy consumer
information they collect. In the State of Texas alone, the Attorney General imposed
$2,810,000 in fines in the year 2008, for paper breaches. The administrative costs and
especially administrative burden, involved in answering those lawsuits were (and still
are) costly.
Maxxafe is the only company who provides those services to every city in the
continental U.S. so companies with geographically-dispersed locations can comply
with the laws.
4. Compliance
There are basically three
“legs” to being in
compliance with most state
and federal identity theft
regulations:
• Company Policy
• Training
• A means to comply
Maxxafe System can help you create a company policy with specific language
associated with the disposal rules.
Maxxafe System provides customized online training that is available 24/7 for your
managers and employees.
Maxxafe System is available in every city in the continental U.S. giving all of your
company locations a means to comply.
5. Proving Compliance
You will have 24/7 online access to your company’s
compliance report.
• number of boxes destroyed from each
store or office
• weight of each container
• frequency of destruction
No other company offers this kind of compliance reporting. Should a regulatory inquiry
be made, you can instantly prove compliance.
Through the use of shipping weight and frequency of pickup schedules, a company
can prove that a program is in place and being used by the company locations.
Internal enforcement is also possible, since frequency of shipment can be compared
to store volume or size, highlighting locations which may not be complying with
company disposal policy.
6. Administration
Imagine:
• One vendor to manage
• One point of contact for all
your company locations
• Online compliance reports
Having one source to handle every company location, with constant compliance
reporting will not only decrease your administrative cost and burden, it will free up your
administrative employees so they can spend more time on other core business
activities to further increase your bottom line.
7. Implementation
• Nationwide roll out in one to two
weeks
• No Sub-Contractors!
• Very little paperwork
• Automatic fulfillment
• Service available in every zip code
in the continental U.S.
Implementation of Maxxafe System is very easy and requires very little from your
management team. You send us a list of company locations and we work with those
locations directly to roll out the system.
After set-up, your locations will have automatic fulfillment of additional supplies so they
never run out.
8. The Maxxafe Solution
• Individual shredders are still being utilized
• Training for compliance is needed
• Proof of compliance is needed
• Traditional service is not available
• Due to varying volume, regularly
scheduled pick ups can not be
justified
• Low to mid volume document destruction needs
Maxxafe System took all the problems associated with traditional document
destruction services, and solved them.
9. How Maxxafe works
Customized containers have been designed to engage with a patent-pending,
reusable self-locking lid, forming a system that securely stores documents until the
container is filled, at which time the container becomes the shipping box.
All paperwork generated in the office,
with the exception of sales material and
periodicals, is directed to the container.
When full, an authorized employee removes
the lid, the container (about 35 pounds) is
sealed and the preaddressed FedEx label is
attached. A special toll free number unique
to this program is called. FedEx arrives,
scans the package (tracking for
compliance reporting purposes begins
immediately) and it is shipped to our NAID
AAA Certified shredding facility for incoming
scanning, shredding, baling and ultimately
recycling. The reusable lid is then attached to a new container. Additional paperwork
is not required.
10. Environmental Stewardship
• 100% Recycled
After shredding, we compress the
shredded paper into 1300 lb. bales
before shipping them in truckload
quantities to paper mills for
recycling into post-consumer
product. We divert tons of paper
from landfills and will provide you
with reports you can share with
your customers on the ecological
benefit derived from using the
Maxxafe System. Even the shipping
container is recycled, so this is a
truly "Green" initiative.
11. Cost
Cost is arguably the best benefit to the Maxxafe System.
•On Demand Service
•No Monthly Service Fees
•No costly equipment to
purchase and maintain
•Cost is based on weight
The reason we developed this program for geographically-diverse
organizations is because no other option was cost effective or
comprehensive. We understand that you want single vendor service to
every one of your locations, in ANY zip code, at the lowest possible cost.
On average, a full Maxxafe Container weighs about 35 lbs and holds
about 4100 sheets of paper. The cost to ship, shred & recycle 35 lbs is only
$19.25.
12. In Conclusion
Maxxafe System is an alternative to
traditional document destruction services,
and individual shredding so companies can
comply with state and federal identity theft
regulations for businesses,
in the most cost effective way possible.
