• Making sure the vehicle is good to go
• Checking the vehicle everyday
• Maintaining good standards
• Keeping records of your good practice
3. Making sure your vehicle is good to go
• A good system has four key components:
Walk around checks
Safety inspections
Servicing
MoT’s
Daily
Maximum 10 Weeks
Specified by manufacture
Annually
4. Walk around checks
• Must be completed every day that the vehicle is driven
• The driver is legally responsible for the vehicle whilst they are
driving it
• Checks are best done using a form provided by the organisation.
5. Defect Reporting
• Every driver should have access to a defect report form
• Drivers should know if a defect makes the vehicle un-roadworthy
• There should be a clear process in place for notifying the responsible
person of a defect
• Defect report forms must be kept for at least 15 months
6. Safety Inspections
• Safety inspection should be carried out at least every 10 weeks
• If vehicles cover more than 15,000 miles a year more frequently
• They should be inspected by a mechanically competent person
• Inspected to PSV standards
7. Servicing
• The service documents supplied with the vehicle will detail when it should
be serviced
• Service intervals are increasing as vehicles become more safe
8. MoT Tests
• Most vehicles you operate will be tested to either class IV or V MoT standards
• All minibuses require an annual MoT test
• Up to12 passenger seats – Class IV MoT
• More than 12 passenger seats – Class V MoT
• Vehicles operating section 22 services must be tested to Class V standards
9. Other Checks
• Passenger lifts are required by law to be inspected at least every six months
• It is recommended they are load-tested annually by a competent person
• Vehicle operators should also check ramps, seat belts, fire extinguishers and
all other safety equipment is in good working order
10. Record Keeping
• Pre-plan your maintenance
• Keep records for at least 15 months
• Keep a good record of service and MoT tests for if you sell the vehicle
• Passenger lift records should be kept for at least 2 years
