Workflow and Systems Consultant
The implementation of systems and a workflow strategy within a company, to not
only enhance and optimize business performance, but to create a better health in
each department, specific to your business.
The holistic view
All businesses are different. Not only do they have their own way of working, clients
with varying expectations and particular goals, they also have a unique company
culture. To create the most efficient workflow, and implement the right systems to
best suit a company, it’s important to have a holistic view, and to really understand
its operations, so that the solutions put in place to enhance performance, boost
efficiency, and generally create better health in each department is not only one to
effect the bottom line, but one designed for your company, your employees, and your
long-term goals.
The Process
I have four phases, each one essential in implementing the correct systems and
workflow strategy for your business.
Analysis phase:
In this phase, I spend time getting to know the company, the current systems,
leaders, roles and responsibilities.
• Focus groups: I conduct separate focus groups with the department heads, and
then select team members, to gain a thorough understanding of their roles, the pro’s
and con’s with the existing system, and their expectations for the future.
• System analysis: I understand the exact process and workflow the company is
currently using, to determine its strengths and weaknesses, and where potential
change is needed.
• Culture analysis: I spend time getting to know the company culture and personality,
to make sure the right system is applied.
Development phase:
I take the learning’s from the analysis phase, and use everyone’s collected input to
develop a new process to best suit the agency, rather than make the agency suit the
process.
Management discussion: I speak to the top level management about the company
feedback, and where I feel there are gaps.
Roles and responsibilities: I understand the company’s perceived roles and
responsibilities vs the actual job specs.
New process and workflow: I create a process and workflow to best suit the
business.
Implementation phase:
2. Once senior management has approved the new process and workflow, I set up
sessions with the identified leaders, to take them through a thorough presentation of
the new way forward. Here I discuss:
• Actual roles and responsibilities.
• How all departments should work together correctly.
• Good working techniques.
• The new process and workflow.
• Templates to help implement the system.
Monitoring phase:
After a certain period (to be discussed) I will conduct a follow-up appointment, to see
if the new process is working, and whether there are any concerns. I am also
available to help in training new employees in the process and workflow, plus tweak
the process due to internal changes in the company structure, or workload.
