Strategic IT Plan for HHI
Abstract
New technologies such as the use of the Internet, is the way to go for companies such
as Heathwood Hardware Inc (HHI). HHI specialty is selling decorative and rustic hardware
products through catalogs and home shows. HHI is looking to expand its territories and
increase sales in Canada and Mexico. In order to expand, HHI is working on ways to centralize
their products on a database where customers can access information but allow staff to work
from anywhere and easy to understand due to limited human capital at HHI. HHI is a family
owned business and they are looking at improving their existing IT department. Since there is
one person that runs this department, they are planning on hiring a consultant to assist them in
developing a website in a way where it will be easy for the board and staff to learn since most of
them is a novice when it comes to the Internet. HHI is looking for a cost-effective way to
increase sales but still ensure that they are on the cutting edge of technology to take care of
their customers in an efficient and effective manner. For those who are new to IT especially
how the Internet works, this assignment will discuss ways in how HHI can set up a website and
increase sales in Canada and Mexico by working on an strategic plan in IT to improve the way
they offer products to their existing and new customers. In this IT strategic plan, HHI’s way to
success is to develop an Enterprise Information Architecture (EIA) structure where data can be
stored in a way to ensure integrity of the data as customers order hardware products from HHI.

Introduction
Heathwood Hardware Inc (HHI) is a corporation that sells hardware tools and
equipment. HHI is a family owned business and the CFO Mr Vazquez also oversees the IT
operations at HHI. Mr Roberto Vasquez has dual roles. Shane however is the person who has
been given the task to research and implement an IT plan that will allow HHI to grow
tremendously using online applications such as a website via e-commerce. The current IT
system in place for HHI is a decentralized system that keeps up with accounting, inventory
management, sales order and fulfillment. HHI did purchase the commercial off-the-shelf
(COTS) systems which keep a tally on finances coming in and out, employees and sales
transactions for all HHI clients. The sad news is that the manual IT system is not integrated and
often will have duplicate records, duplicate data entry, errors in information stored and
information being released to the HHI staff, its clients and suppliers of the hardware
tools/equipment incorrectly. Orders are accepted by phone, fax, or mail and systems are
reconciled manually. HHI Corporation does not have a website and Shane’s responsibility is to
develop a strategic plan by designing a website using ecommerce that will increase sales for the
company, integrate all systems and lower the maintenance or errors associated with duplicate
records due to a lack of a unique key not developed within the database that will integrate all
information in one using the EIA concept. HHI goal is to design and implement a website so
they can improve sales in Canada and Mexico and integrate their existing independent COTS
system so that the proper communication can happen and right integration for data and
decreasing chances of misplaced orders or duplicate orders in the system. For HHI Strategic
IT Plan and from an IT Analyst viewpoint, this document will discuss new technologies, analyze
systems and component applications in an EIA plan, and design a web site that integrates with
back-end systems. Furthermore, we will contrast the current and future roles of e-commerce in
business operations, analyze the business impact of integrating e-business applications within
an enterprise and analyze the balance between security risks and business facilitation at an
enterprise.
The Analysis of EIA for HHI
Heathwood Hardware Inc (HHI) Corporation has an existing system that is not integrated
which causes redundancy, errors and duplicate customer orders that can exist in the system.
From an IT Analyst viewpoint, HHI must begin to integrate data (information) so that there is a
set system for taking orders that comes in via fax, email or phone. One way to do this is by
setting up a customer database that has a primary key and appears as a secondary key in the
order database. Due to HHI lack of human capital and extra funding for someone to be hired to
do this type of work, they can purchase a database where reports can be generated based on if
the orders came in via fax, email or phone. To keep this simple, an overall plan/design must be
setup where a quick training can be given to those who take orders by phone, fax and email
when the database has been selected by HHI Corporation. The fact that HHI has Mr Vasquez
in dual roles one as a CFO and overseeing the IT Department is going to be very difficult to
spend the time it takes to implement an E-commerce(Internet) setup for HHI. As an IT analyst
on the HHI project, it is so important that HHI finds a way immediately to take its existing COTS
system and ensure that the applications in this system begin to communicate with each other
before HHI increases its clients. The lack of communication can cause duplicate orders,
misplaced orders and a very upset customer if they find that they are charged more than once
for a product. This can cost HHI loss of profit but also a loss of integrity with their customers. It
is a risk that HHI cannot take at this time. In order to eliminate this issue, HHI must embrace an

order data system structure that will allow them to operate in integrity in customer data and
orders. This is called Enterprise Information Architecture (EIA) which means a way to store
data that the corporation can use at different levels (Microsoft Corporation, 2012). For example,
the customer service department for HHI just needs the customer database with access to the
order database to verify the order. So to decrease the duplicate orders for one customer, there
will be a customer number, order number and category number so whether the order is taken
place via fax, email or phone, it will have a unique key to identify each customer. The other
benefits of EIA are a decrease of duplicate orders and decrease in labor to fix errors
The challenges of EIA at HHI Corporation is the fact that there is no one really who have
training in the e-commerce arena even though Mr. Vasquez has dual roles and is overseeing IT,
Shane use to work for another company and is now transferring to the family business HHI
corporation to assist in setting up this new system for IT within the HHI corporation. The board
of directors including Shane has limited knowledge on IT but will bring in a consultant to assist
them in the research and the benefits in having an e-commerce system and improving their
existing decentralized IT system they have right now. EIA at HHI will allow data to be stored in a
seamless manner so as orders are received online via the internet electronically called e-
commerce, the customers at HHI can access the order form by selecting the items they need to
purchase and then once they are ready to check out, it will ask for their customer number or last
name. An integrated architecture will take the sales/order, accounting, customer information
and inventory management applications and link all of these systems together. From these
databases, reports can be generated on customer’s total orders, number of products left at HHI
and the number of sales for HHI and other accounting reports can be generated with accuracy.
EIA is to any ITD organization as the cells are to the body. EIA allows the foundation of
a company to store data in such a way that this data (information) can be used, manipulated,
changed and added to so that any department can print out reports based on customer
information sheet needed, customer’s order sheet needed and also a report of income coming
in from all orders on a daily, weekly or a monthly basis. For example at Heathwood Hardware
Inc (HHI), EIA will take the existing decentralized and independent systems and bring them
together so that it will decrease customer order duplication, errors and misplacing customer
information . It is key to the life of the HHI Corporation that the cells (data) are stored in order
and primary and secondary keys are defined in the customer information and customer order
database so that information can be retrieved depending on the company’s needs that will
decrease errors and duplication issues. The next plan of action for HHI is the systems and data
integration where a plan is developed to reach the strategic IT goals at HHI.
Systems and Data Integration
HHI Corporation realizes the importance of integrating the independent COTS system
that was purchased so they can communicate and do business effectively through the Internet
(Microsoft Corporation, 2012). The impact of maintaining an integrated system of applications
in a secured environment is the trust level of the enterprise clients is increased and which will
then allow profits to increase. The enterprise such as HHI will see an increase in customer data
integrity, customer confidentiality will improve and customer information will be readily available
for its clients from viewing the order and being able to track their orders and either add, delete
or change items to their orders. Another advantage in maintain an integrated system is that the
enterprise can make the right decisions made on history of customers’ orders, improving the

way HHI existing order system takes orders from customers, track inventory level and prepare
the appropriate accounting reports so high-level management can make the right decisions.
Presently, one of the goals of HHI Management is to put a systems planning and design manual
together that will take all the independent systems at HHI Corporation into a single software and
hardware system which will decrease security risks such as duplicate or misplaced orders and
increase the integrity of customer data. Another impact of maintain an integrated system in a
secured environment is accuracy of customer information being documented to produce the
orders that the customer wants. Since the system will be centralized, the customer data Since
information on the Internet and other places can be considered public information, most
customers prefer to have information about their orders kept private like their addresses, social
security number of company’s private information; therefore, some type of encryption on the
data can be done where general information can be accessed by the public for general
information or if someone within the company needs to get a status update on an order. Making
an integrated system of applications in a secure environment is an enterprise lifeline to the
success of their business. With this integration system, enterprises such as HHI will achieve
high trust levels with their customers which can produce high level of profits.
HHI currently markets exclusively through printed catalogs distributed to door and
window retailers, and at home shows. By focusing on its strengths, its key customers, and the
underlying values they need, Heathwood Hardware Inc (HHI) will increase sales through
developing a strategic plan that will include extending sales into Canada and Mexico.
Heathwood Hardware Inc (HHI) Corporation is a small business which lacks enough human
capital in the IT department. HHI however is looking for a way where e-commerce, particularly
web-based business operations could open new ways of marketing for their products. As HHI
conduct business-to-business (B2B) operations, they would like to establish business-to-
consumer (B2C) direct sales as well as they look to expand their offices to Canada and Mexico.
The way to do this is with e-commerce or a web presence. For HHI, an enterprise architecture
can deliver order and focused value to an increasingly complex IT environment especially when
right now Information technology at HHI can be characterized as having business and
application “silos” (Macaulay, 2004). That is, there are separate systems supporting critical
functions—primarily accounting, inventory management, and sales order and fulfillment. These
commercial off-the-shelf (COTS) systems were purchased individually over time with no
communication among the applications within the COTS system.
HHI has an existing COTS system that is not integrated which causes redundancy,

identify each customer. The customer and order information can be stored using QuickBooks
software and the data can be emailed to Microsoft Outlook software as orders come in to the

system. To develop the website itself this company has to use templates so Infusion software is
best.
For HHI Corporation, ecommerce or a website presence is very important to the
company since they do not have a website currently. On the systems and data integration
section at HHI all the applications within the COTS system are independent and not integrated.
This is costing the corporation duplication errors and redundancy with their existing clients. Data
integration or Enterprise Information Architecture (EIA) involves combining data located in
various tables and providing users with a view of data from the Customer Table, Order Table
and Hardware Table. So at HHI, the team will take data in tables that will be viewed in different
departments to complete different functions and tasks like in Figure 1 below. It will be a one too
many relationship from the customer table to the order table where many orders can be applied
to more than one customer but only one customer number to one order or multiple orders
(Kumar, et al, 2010).

For example, for HHI customer table (Table A) and order table (Table B) as you can see in
Figure 2 this will reduce the amount of duplication errors with their existing and new clients at

HHI Website design has to have a 1 to many relationship when dealing with customers.
The customer table of course has a list of customers but that one customer can have multiple
orders in the orders table. For example in Figure 3 below, the foundation for HHI stand alone
system must define the flow of the customers and their orders so that the right invoices report
will print with the correct amount of inventory available still for clients to purchase.

At HHI the existing system for orders is by fax, email or phone. According to the HHI
staff, the ecommerce or the Internet presence that will come, they truly want to consolidate on
the number of duplicate orders in the system for the same customer. In Figure 4 below, this
order table will have information on Inventory level and customer number to keep track of this
duplicate issue.

HHI Corporation is a hardware corporation and they have a list of hardware items that their
clients will purchase. In Figure 5 below, this table will list hardware information and category
numbers with pictures so the clients will be able to make their selection better.

In Figure 6 below, now it is key that all these are integrated at HHI which is the customer table
(Figure 1), Order table (Figure 2) and Hardware Table (Figure 3) so in Figure 4 here is the flow
so that HHI can begin to work from the EIA (data setup with these tables) to the EAI (setting up
of the inventory system, accounting system and order system together). This system will allow
HHI to decrease duplication errors as well as a chance to increase the sales they would like in
Canada and Mexico.

At HHI Corporation, there are three independent systems that are used to track
customer information, orders and deal with hardware inventory at HHI. They are accounting,
inventory management, and sales order and fulfillment. A system is defined as a group of
interacting, interrelated, or interdependent tables forming a system. What is the process to bring
all these independent systems together at HHI Corporation? This process is called Enterprise
application integration (EAI) where it links the accounting, inventory management, and sales
order and fulfillment applications within HHI Corporation together in order to simplify and
automate business processes to the greatest extent possible, while at the same time avoiding
having to make sweeping changes to the existing applications or data structures at HHI (
Anderson, et al, 2003). In Figure 7 below, the web page for the horizontal navigational bar at
HHI Corporation will have pertinent information about the corporation and mission to the clients.

At HHI, it is so important that the clients do not have to type a lot of text to find what they want
so on the vertical navigation bar on the website according to Figure 8 below, the clients will be
able to search and locate hardware categories from a pull down menu and make their selection.

Of course, customer service is the oxygen of any company including HHI. As you can see from
Figure 8 above, this is a snapshot of the type of support on the Internet that HHI’s customers’
will get. For example, HHI wants its customers to find hardware products quickly and efficiently
so they can order in the most effective and efficient manner. Without improvement to customer
service or set standards for each department how to deal with customers called E-business,
HHI will eventually seize to exist. It is important to realize how e-business is vital to the
business operations at HHI. Once HHI has established E-business standards and ensure that
they provide quality service for their customers then the next step for HHI is to evaluate the
current and future roles of E-commerce (Website presence) in business operations.
Contrast the current and future roles of e-commerce in business operations
Heathwood Hardware Inc (HHI) is a corporation that sells hardware tools and
equipment. HHI sells decorative and rustic hardware as a commodity and is interested in
ecommerce in the near future to boost sales. However, HHI would like a website that tailors to
information about HHI which is e-business, as well as sell their products online and online
trading which is ecommerce. E-commerce is the art of purchasing and offering products for
customers to purchase via the Internet (Anderson, T, et al, 2003). HHI will embrace Ecommerce
and a website presence which will renew their vision and strategic focus adding value to their

target market segments with clients at home shows and to door and window retailers. E-
commerce side of HHI focuses on the Internet by participating in online trading.

ecommerce (online trading) that will increase sales for the company, integrate all systems and
lower the maintenance or errors associated with duplicate records. Also, HHI Corporation
definitely wants to have a website created where they can increase sales through E-commerce
or Electronic Commerce where they will offer their products to their home catalog or home
shows consumers. E-commerce at HHI in the future can be broken up into two main categories:
Online Purchasing: This business presents the customer with those technologies that make it
easier for them to find decorative and rustic hardware and buy other products of HHI. HHI
customers encompassed will be able to place an order and search for information on the
hardware products.
Online Shopping: HHI Corporation will give information to customers they can make a concrete
decision on what type of decorative or rustic hardware to purchase.
To explain Online Purchasing and Online Shopping, let us take a sample scenario at HHI
Corporation let’s say you go to www.hhihardware.com and you are reviewing Decorative
Hardware product. When you are doing this, you are participating in Online Shopping. You then
decide whether the commodity Decorative Hardware product is the right choice, you then add it
to the shopping cart. After you have chosen whatever products you want, you then click the
purchase button. As soon as you click the purchase button, you then participate in an online
Purchase. This process involves all those secured pages that ask you for details such as credit
card information, shipping details and other particulars.
E-commerce at HHI will allow data to be stored in a seamless manner so as orders are received
online via the internet electronically called e-commerce, the customers at HHI can access the
order form by selecting the items they need to purchase and then once they are ready to check
out, it will ask for their customer number or last name. E-business can consist of E-commerce
or online shopping activities but it is more than just online transactions. It encompasses the
need for HHI to have a set system where customers can order via phone, mail orders, fax or
email. E-commerce is strictly online setup activities where some type of trading is going on
between the customer and the buyer. Now HHI have an understanding on building the company
on a strong E-business (superior customer service driven) standards, it can now begin to
integrate E-business applications within the enterprise and begin to analyze the impact on HHI
products/services to its customers.

streamlined business processes. In order for companies such as HHI Corporation to increase

sales, it is so vital that the business processes be streamlined. Presently, at HHI Corporation
ITD Department, each system is stand alone from taking customer orders, to checking inventory
level to provide reports to management. However, HHI Corporation realizes the importance of

business effectively through the Internet. Ebusiness will allow HHI Corporation to strategize on
increasing sales like the Board of Directors wants by creating a strategic, customer-focused
business environment where information can be shared by all departments to work on a
strategy to improve sales at HHI. At HHI Corporation orders are received via fax, phone and
catalogs, etc with an order system independent or stand alone from the other systems such as
accounting, inventory, etc. The independent systems presently cannot communicate with each
other and causes duplicate orders as well as misplaced orders. Also, at HHI Corporation, the
Board of Directors knowledge of ITD especially the internet is minimal which causes a lack of
productivity between the suppliers, business partners, distributors and customers. One of the
goals of HHI Management is to put a systems planning and design manual together that will
take all the independent systems at HHI Corporation into a single software and hardware
system. Of course, customers, suppliers and business partners will be involved in the systems
operation and systems development. The focus of HHI Corporation in creating a single
software system for the existing independent ITD COTS system is on the efficiency and
effectiveness of the internal process at HHI Corporation. This will offer a way to streamline and
align HHI business of receiving orders whether via fax, email, phone, etc in such a way that
order will come and remove the present chaos of duplicate or misplaced orders at HHI
Corporation. Once HHI has established the importance of customer service which is a
typology of E-business, it is important to realize that within customer service, each department
at HHI will need to understand how Enterprise Information Systems work.

The Internet is one of the greatest system that can be compared to when lights was
invented that took us from sun light to actual lights in our home. The Internet is in similar
typology to light which has opened the light wave of finances to invade organizations where they
can transact business with anyone, anywhere and anytime. Web-based e-Business focuses on
customer service and ways that customers can check on status of their order online. Web-
independent e-Business focuses on streamlining business processes to ensure proper
integration so that a seamless process is developed in processing orders all the way to paying
for the orders. For example, is not only doing business on the Internet, not only buying and
selling, but also serving customers and collaborating with business partners. For example, at
HHI Corporation, their customers can order products through an e-catalog, home shows, etc.
The goal at HHI is to provide information online for customers and customer assistance for all
products. This is what is called e-business which is called Enterprise Information Systems. It is
the way volume of data is handled to provide excellent customer service to customers. Some
companies do not have an efficient way to handle data in an effective and efficient manner so
they do need e-Business or some type of enterprise information systems structure to ensure
quality of service to its customers. Meaning that there must be some type of order to their
business processes especially customer service. Without customer service being designed
properly and changes to the customer service department, a company faces the risk of losing
sales. As we take HHI as an example and the fact that their existing COTS system has
independent applications within the system that do not communicate with each other. HHI must
developed a e-Business strategy which will include a way to structure quality service to
customers by bringing these applications together in such a way so that the information is
centralized and each department information will match before and after an order is taken by a
customer. Because of this lack of communication at HHI, they are having issues with duplicate
orders and misplaced orders that are being taken via fax, phone and in person which affects
quality of service or what is called Enterprise Information systems (E-business). HHI is
planning on having a website presence soon so it is a fact that something must be done to
centralize all application from the order system to the inventory system so that their customers
do not have to face extra charges on their credit card due to duplicate orders and a lack of
quality of service or Enterprise Information systems (E-business).
According to Figure 1, some type of order has to be established at ground level for the hardware
table, order table and customer information table so that HHI corporation can begin to develop
the website where there will be a decrease in duplicated orders or misplaced orders in the
system due to E-business methodology being established for independent COTS system so it is
a seamless process for taking customer orders and generating the appropriate reports needed.

At HHI Corporation, there are three independent systems that are used to track

order information all the way to inventory information for HHI. Then with this plan, HHI must
conduct meetings and training with the staff so everyone knows their primary and secondary

relations as it relates to handling customer data is accuracy. A customer takes time to order a
product say from a company such as HHI, it is so important to get the type of product they
ordered correct, the correct customer shipping address, their name, phone number and the right
order number with no duplicate orders. This will eliminate frustrating the customer when the
customer has limited time to either wait on a new order or time is of the essence when they
have a deadline to meet. Accuracy by doing it right the first time is the way to go. Another way
to improve ethics in handling customer data is handling customer’s property information
appropriately. Customers learn to trust and rely on companies such as HHI with their customer
data and they know beyond a shadow of a doubt that HHI will not betray their trust by selling

and military use encryption to keep classified documents and other files safe and secure from
enemies. The average computer user can use encryption to secure their data from the prying
eyes of identity thieves and other online predators. Now we have focused on developing a
disaster recovery plan, it is also much as important to document the security risks with customer
data at HHI.

are loss of customer data/integrity, confidentiality and customer order information available for
HHI clients in a secure environment (Kleckner, 2001).

of business. Security risk is defined as a company threatened by events within their business
that can cause loss of profits and dissolving of the business especially when business is done
via the Internet (Williams, 2010). The three types of security risks that most enterprise can face
are loss of confidentiality, integrity of data and information readily available for customers. When
dealing with loss of confidentiality, an enterprise that has products has to find a way to protect
customer personal information including confidential credit card information or bank information
on the customers. Breaching the confidentiality agreement with customers can be very costly
for an enterprise such as HHI. Once a customer has been violated and confidential information
is stolen, it can cause mistrust in the relationship from buyer to seller. Another type of security
risk that an enterprise must face is the integrity of the customer data. There must be a way to
take customer data across networks and on servers to ensure that the customer final order is
completed accurately with no duplicated orders issues or misplaced orders. Take for example,
HHI Corporation who has an existing COTS system where all the applications are a separate
entity with no communication among each other. This can cause issues with orders being
duplicated or misplaced. Top-level management reports at HHI will be definitely not accurate
among different departments since each department does not have a centralized order system
in real-time. This can cause integrity issue with customer’s orders where the inventory level will
be lowered and it can be caused by duplicate orders via fax, email and phone.
In order for an enterprise to be productive, they must have some type of business
facilitation or a planning system on how they will make a profit from their products or services
offered to their clients. All enterprises have to make daily decisions concerning how many
products they should have available, how many people can work and have an inventory level
enough to handle their clients at the enterprise. In the process of designing how to run the
enterprise effectively, the enterprise must keep a balance between planning and facing the
reality on the bottom line which is profits coming in to cover the expenses. Another type of
security risk is the use of customer information to perform different transactions in the customer
service department to the accounting department at HHI. The business processes or what is
called business facilitation has to make some changes to HHI existing Information Technology
(IT) department. Since HHI has the COTS system as was stated earlier where they are not
centralized and the applications are not communicating with each other, HHI Board of Directors
and other staff members is working on a team that will focus on developing the HHI COTS
system centralized communication system among the applications using the business
facilitation concept. The balance between business facilitation and security risks must be
attained through well-defined goals, thresholds and break even points. This will be done
through business facilitation as business processes are defined among the COTS system
independent applications so the security risks can be identified such as integrity of customer
data because of duplicate orders issues. This type of balance between facilitation and security
risks where business processes are defined at the same time as a matrix of positive and
negative input and output is given so that a system can be developed that will eliminate security
risks such as customer data integrity as business facilitation is defined in a matrix in making the
right decisions for an enterprise when it comes to its most important asset customers and their
orders (United Nations Conference on Trade Development, 2010).

The Internet is one of the greatest system that can be compared to when lights was
invented that took us from sun light to actual lights in our home. The Internet is in similar
typology to light which has opened the light wave of finances to invade organizations where they
can transact business with anyone, anywhere and anytime. Web-based e-Business focuses on
customer service and ways that customers can check on status of their order online. For
example, at HHI Corporation, their customers can order products through an e-catalog, home
shows, etc. The goal at HHI is to provide information online for customers and customer
assistance for all products. When HHI, takes its present order system, it realizes that it is
definitely important to work on a strategic plan to take a potential order to a sales fulfillment
order. How can this be done? HHI has to work on a more efficient and cost-effective way to get
orders done accurately and watch how much of the customer’s time is taken up completing
orders. HHI is working diligently on a website where services to its customers can be done 24
hours 7 days a week. Every small business such as HHI goes through a transformation process
especially when the staff and Board members are novice at the computer especially the
Internet. Even though Web-based technology is the way to go today, HHI is working on being
prepared as they focus on increasing sales in Canada and Mexico. They realize with their
present system there is no way without Web-based technology can they do this. The proper
communication with their present COTS order system has to communicate among all
applications within all departments to ensure that duplicate orders are not present via fax, email,
phone, home shows or catalogs. This requires a strategic IT plan and a transformation via
Web-based technology. As HHI hires the IT consultant to work on an IT strategic plan to get
them ready for E-commerce, it is important that the consultant defines and execute a plan
covering the following areas in order to embrace Web-based technology. They are discussion
of the benefits and challenges of having an overall information plan/design, discussion of the
benefits of having integrated systems, discussion of the expected benefits and challenges of
conducting ecommerce, an analysis of the opportunities and challenges of creating web-centric
business functions, a sample web site with a small number of web pages demonstrating some
basic functions of e-business; this would help the board better understand how a web-enabled
HHI would function and then allow HHI to be transformed through Web-based Technology.
Now, it is time for HHI to design a website that meets standards and is user friendly for its
customers. Thus, HHI proposed web site design with analysis will show how important to keep
it simple and each page should have the same design but the content on each page will change
to fit into what HHI’s customers’ need.

drawing tool Smart Art was used to design the Home page/Main Menu and Product pages. The

Conclusion
In today’s economy, Information Technology departments are an important component in
corporations such as HHI. IT systems within a company assist in the smooth operation of the
company’s daily operations. One of the things that most companies must prepare for is the
proper planning and defining of business processes and proper methods used to ensure
integrity of their customer data. HHI COTS system definitely as an enterprise will face integrity
issues due to the independent applications within the COTS system. Since they are not
connected or communicating vital information from the customer application software to the
inventory application software, HHI faces the risk of customer data integrity, loss of data and
issues with confidentiality. In HHI Strategic IT Plan, HHI must balance between defining and
making sales by orders due to its clients and the fact that in the long term due to misplaced or
duplicate orders they can lose everything. It is so important at HHI that the existing COTS
system establish a way to allow all applications within the COTS system to communicate and
share information thereby decreasing loss of profits and an increase in customer’s trust in HHI
business processes.

  • 3. U10A1 3 Strategic IT Plan for HHI Abstract New technologies such as the use of the Internet, is the way to go for companies such as Heathwood Hardware Inc (HHI). HHI specialty is selling decorative and rustic hardware products through catalogs and home shows. HHI is looking to expand its territories and increase sales in Canada and Mexico. In order to expand, HHI is working on ways to centralize their products on a database where customers can access information but allow staff to work from anywhere and easy to understand due to limited human capital at HHI. HHI is a family owned business and they are looking at improving their existing IT department. Since there is one person that runs this department, they are planning on hiring a consultant to assist them in developing a website in a way where it will be easy for the board and staff to learn since most of them is a novice when it comes to the Internet. HHI is looking for a cost-effective way to increase sales but still ensure that they are on the cutting edge of technology to take care of their customers in an efficient and effective manner. For those who are new to IT especially how the Internet works, this assignment will discuss ways in how HHI can set up a website and increase sales in Canada and Mexico by working on an strategic plan in IT to improve the way they offer products to their existing and new customers. In this IT strategic plan, HHI’s way to success is to develop an Enterprise Information Architecture (EIA) structure where data can be stored in a way to ensure integrity of the data as customers order hardware products from HHI.
  • 4. U10A1 4 Introduction Heathwood Hardware Inc (HHI) is a corporation that sells hardware tools and equipment. HHI is a family owned business and the CFO Mr Vazquez also oversees the IT operations at HHI. Mr Roberto Vasquez has dual roles. Shane however is the person who has been given the task to research and implement an IT plan that will allow HHI to grow tremendously using online applications such as a website via e-commerce. The current IT system in place for HHI is a decentralized system that keeps up with accounting, inventory management, sales order and fulfillment. HHI did purchase the commercial off-the-shelf (COTS) systems which keep a tally on finances coming in and out, employees and sales transactions for all HHI clients. The sad news is that the manual IT system is not integrated and often will have duplicate records, duplicate data entry, errors in information stored and information being released to the HHI staff, its clients and suppliers of the hardware tools/equipment incorrectly. Orders are accepted by phone, fax, or mail and systems are reconciled manually. HHI Corporation does not have a website and Shane’s responsibility is to develop a strategic plan by designing a website using ecommerce that will increase sales for the company, integrate all systems and lower the maintenance or errors associated with duplicate records due to a lack of a unique key not developed within the database that will integrate all information in one using the EIA concept. HHI goal is to design and implement a website so they can improve sales in Canada and Mexico and integrate their existing independent COTS system so that the proper communication can happen and right integration for data and decreasing chances of misplaced orders or duplicate orders in the system. For HHI Strategic IT Plan and from an IT Analyst viewpoint, this document will discuss new technologies, analyze systems and component applications in an EIA plan, and design a web site that integrates with back-end systems. Furthermore, we will contrast the current and future roles of e-commerce in business operations, analyze the business impact of integrating e-business applications within an enterprise and analyze the balance between security risks and business facilitation at an enterprise. The Analysis of EIA for HHI Heathwood Hardware Inc (HHI) Corporation has an existing system that is not integrated which causes redundancy, errors and duplicate customer orders that can exist in the system. From an IT Analyst viewpoint, HHI must begin to integrate data (information) so that there is a set system for taking orders that comes in via fax, email or phone. One way to do this is by setting up a customer database that has a primary key and appears as a secondary key in the order database. Due to HHI lack of human capital and extra funding for someone to be hired to do this type of work, they can purchase a database where reports can be generated based on if the orders came in via fax, email or phone. To keep this simple, an overall plan/design must be setup where a quick training can be given to those who take orders by phone, fax and email when the database has been selected by HHI Corporation. The fact that HHI has Mr Vasquez in dual roles one as a CFO and overseeing the IT Department is going to be very difficult to spend the time it takes to implement an E-commerce(Internet) setup for HHI. As an IT analyst on the HHI project, it is so important that HHI finds a way immediately to take its existing COTS system and ensure that the applications in this system begin to communicate with each other before HHI increases its clients. The lack of communication can cause duplicate orders, misplaced orders and a very upset customer if they find that they are charged more than once for a product. This can cost HHI loss of profit but also a loss of integrity with their customers. It is a risk that HHI cannot take at this time. In order to eliminate this issue, HHI must embrace an
  • 5. U10A1 5 order data system structure that will allow them to operate in integrity in customer data and orders. This is called Enterprise Information Architecture (EIA) which means a way to store data that the corporation can use at different levels (Microsoft Corporation, 2012). For example, the customer service department for HHI just needs the customer database with access to the order database to verify the order. So to decrease the duplicate orders for one customer, there will be a customer number, order number and category number so whether the order is taken place via fax, email or phone, it will have a unique key to identify each customer. The other benefits of EIA are a decrease of duplicate orders and decrease in labor to fix errors The challenges of EIA at HHI Corporation is the fact that there is no one really who have training in the e-commerce arena even though Mr. Vasquez has dual roles and is overseeing IT, Shane use to work for another company and is now transferring to the family business HHI corporation to assist in setting up this new system for IT within the HHI corporation. The board of directors including Shane has limited knowledge on IT but will bring in a consultant to assist them in the research and the benefits in having an e-commerce system and improving their existing decentralized IT system they have right now. EIA at HHI will allow data to be stored in a seamless manner so as orders are received online via the internet electronically called e- commerce, the customers at HHI can access the order form by selecting the items they need to purchase and then once they are ready to check out, it will ask for their customer number or last name. An integrated architecture will take the sales/order, accounting, customer information and inventory management applications and link all of these systems together. From these databases, reports can be generated on customer’s total orders, number of products left at HHI and the number of sales for HHI and other accounting reports can be generated with accuracy. EIA is to any ITD organization as the cells are to the body. Heathwood Hardware Inc (HHI) Corporation is a small business which lacks enough human capital in the IT department. HHI however is looking for a way where e-commerce, particularly web-based business operations could open new ways of marketing for their products. As HHI conduct business-to-business (B2B) operations, they would like to establish business-to- consumer (B2C) direct sales as well as they look to expand their offices to Canada and Mexico. The way to do this is with e-commerce or a web presence. For HHI, an enterprise architecture can deliver order and focused value to an increasingly complex IT environment especially when right now Information technology at HHI can be characterized as having business and application “silos” (Macaulay, 2004). That is, there are separate systems supporting critical functions—primarily accounting, inventory management, and sales order and fulfillment. These commercial off-the-shelf (COTS) systems were purchased individually over time with no communication among the applications within the COTS system. HHI has an existing COTS system that is not integrated which causes redundancy, errors and duplicate customer orders that can exist in the system. HHI must begin to integrate data (information) so that there is a set system for taking orders that comes in via fax, email or phone. One way to do this is by setting up a customer database that has a primary key and appears as a secondary key in the order database. Due to HHI lack of human capital and extra funding for someone to be hired to do this type of work, they can purchase a database where reports can be generated based on if the orders came in via fax, email or phone. To keep this simple, an overall plan/design must be set up where a quick training can be given to those who take orders by phone, fax and email when the database has been selected by HHI Corporation. Enterprise Information Architecture (EIA) means a way to store data that the corporation can use at different levels. For example, the customer service department for HHI just needs the customer database with access to the order database to verify the order. So to decrease the duplicate orders for one customer, there will be a customer number, order number and category number so whether the order is taken place via fax, email or phone, it will have a unique key to identify each customer. The customer and order information can be stored using QuickBooks software and the data can be emailed to Microsoft Outlook software as orders come in to the

For HHI Corporation, ecommerce or a website presence is very important to the company since they do not have a website currently. On the systems and data integration section at HHI all the applications within the COTS system are independent and not integrated. Data integration or Enterprise Information Architecture (EIA) involves combining data located in various tables and providing users with a view of data from the Customer Table, Order Table and Hardware Table. So at HHI, the team will take data in tables that will be viewed in different departments to complete different functions and tasks like in Figure 1 below. It will be a one too many relationship from the customer table to the order table where many orders can be applied to more than one customer but only one customer number to one order or multiple orders (Kumar, et al, 2010). In Figure 4 below, this order table will have information on Inventory level and customer number to keep track of this duplicate issue. This system will allow HHI to decrease duplication errors as well as a chance to increase the sales they would like in Canada and Mexico.

As you can see from Figure 8 above, this is a snapshot of the type of support on the Internet that HHI’s customers’ will get. Without improvement to customer service or set standards for each department how to deal with customers called E-business, HHI will eventually seize to exist. It is important to realize how e-business is vital to the business operations at HHI. Once HHI has established E-business standards and ensure that they provide quality service for their customers then the next step for HHI is to evaluate the current and future roles of E-commerce (Website presence) in business operations. Contrast the current and future roles of e-commerce in business operations Heathwood Hardware Inc (HHI) is a corporation that sells hardware tools and equipment. HHI sells decorative and rustic hardware as a commodity and is interested in ecommerce in the near future to boost sales. However, HHI would like a website that tailors to information about HHI which is e-business, as well as sell their products online and online trading which is ecommerce. E-commerce is the art of purchasing and offering products for customers to purchase via the Internet (Anderson, T, et al, 2003). HHI will embrace Ecommerce and a website presence which will renew their vision and strategic focus adding value to their

The current IT system in place for HHI is a decentralized system that keeps up with accounting inventory management, sales order and fulfillment. HHI did purchase the commercial off-the- shelf (COTS) systems which keep a tally on finances coming in and out, employees and sales transactions for all HHI clients. The sad news is that the manual IT system is not integrated and often will have duplicate records, duplicate data entry, errors in information stored and information being released to the HHI staff, its clients and suppliers of the hardware tools/equipment. Orders are accepted by phone, fax, or mail and systems are reconciled manually. HHI Corporation wants to develop a strategic plan by designing a website using ecommerce (online trading) that will increase sales for the company, integrate all systems and lower the maintenance or errors associated with duplicate records. Also, HHI Corporation definitely wants to have a website created where they can increase sales through E-commerce or Electronic Commerce where they will offer their products to their home catalog or home shows consumers. E-commerce at HHI in the future can be broken up into two main categories: Online Purchasing: This business presents the customer with those technologies that make it easier for them to find decorative and rustic hardware and buy other products of HHI. HHI customers encompassed will be able to place an order and search for information on the hardware products. Online Shopping: HHI Corporation will give information to customers they can make a concrete decision on what type of decorative or rustic hardware to purchase. To explain Online Purchasing and Online Shopping, let us take a sample scenario at HHI Corporation let’s say you go to www.hhihardware.com and you are reviewing Decorative Hardware product. When you are doing this, you are participating in Online Shopping. You then decide whether the commodity Decorative Hardware product is the right choice, you then add it to the shopping cart. Web- independent e-Business focuses on streamlining business processes to ensure proper integration so that a seamless process is developed in processing orders all the way to paying for the orders. For example, is not only doing business on the Internet, not only buying and selling, but also serving customers and collaborating with business partners. For example, at HHI Corporation, their customers can order products through an e-catalog, home shows, etc. The goal at HHI is to provide information online for customers and customer assistance for all products. This is what is called e-business which is called Enterprise Information Systems. It is the way volume of data is handled to provide excellent customer service to customers. Some companies do not have an efficient way to handle data in an effective and efficient manner so they do need e-Business or some type of enterprise information systems structure to ensure quality of service to its customers. Meaning that there must be some type of order to their business processes especially customer service. Without customer service being designed properly and changes to the customer service department, a company faces the risk of losing sales. As we take HHI as an example and the fact that their existing COTS system has independent applications within the system that do not communicate with each other. HHI must developed a e-Business strategy which will include a way to structure quality service to customers by bringing these applications together in such a way so that the information is centralized and each department information will match before and after an order is taken by a customer. Because of this lack of communication at HHI, they are having issues with duplicate orders and misplaced orders that are being taken via fax, phone and in person which affects quality of service or what is called Enterprise Information systems (E-business). HHI is planning on having a website presence soon so it is a fact that something must be done to centralize all application from the order system to the inventory system so that their customers do not have to face extra charges on their credit card due to duplicate orders and a lack of quality of service or Enterprise Information systems (E-business). According to Figure 1, some type of order has to be established at ground level for the hardware table, order table and customer information table so that HHI corporation can begin to develop the website where there will be a decrease in duplicated orders or misplaced orders in the system due to E-business methodology being established for independent COTS system so it is a seamless process for taking customer orders and generating the appropriate reports needed.

Creating and securing the right passwords to block hackers especially during disasters 3. Secure with proper scrambling of data customer data and financial data at HHI Encryption is defined as a methodology in how data can be stored where the meaning of the data has to be descrambled or decoded for one to understand. This will allow hackers and other illegal intruders not to have access to private and confidential information especially with companies such as HHI. Encryption is one of the best ways to keep your files secure and private. Encryption algorithms scramble your data into a meaningless jumble that no one can read unless they have the password that was used to scramble the data. The US government and military use encryption to keep classified documents and other files safe and secure from enemies. The average computer user can use encryption to secure their data from the prying eyes of identity thieves and other online predators. Now we have focused on developing a disaster recovery plan, it is also much as important to document the security risks with customer data at HHI. Security Risks Heathwood Hardware Inc (HHI) is a corporation that sells hardware tools and equipment. The fact that this company has products, computer software and hardware proves the fact the importance of having some type of way to protect their customer data and identify security issues with HHI existing COTS system that consists of all these applications from customer order system to inventory system. HHI needs to understand what are at the risk of losing their business with? It is definitely their customers and when they order. If they lose customers, their business seizes to exist. Therefore HHI must identify and achieve a balance with their products and services by identifying security risks and understanding business facilitation. At HHI, all departments use the COTS system which consists of applications such as the order system, inventory system, etc. requires business process to be defined among all departments called business facilitation but the security risks the enterprise such as HHI faces are loss of customer data/integrity, confidentiality and customer order information available for HHI clients in a secure environment (Kleckner, 2001). Security risk is defined as a company threatened by events within their business that can cause loss of profits and dissolving of the business especially when business is done via the Internet (Williams, 2010). The three types of security risks that most enterprise can face are loss of confidentiality, integrity of data and information readily available for customers. When dealing with loss of confidentiality, an enterprise that has products has to find a way to protect customer personal information including confidential credit card information or bank information on the customers. Breaching the confidentiality agreement with customers can be very costly for an enterprise such as HHI. Once a customer has been violated and confidential information is stolen, it can cause mistrust in the relationship from buyer to seller. Another type of security risk that an enterprise must face is the integrity of the customer data. There must be a way to take customer data across networks and on servers to ensure that the customer final order is completed accurately with no duplicated orders issues or misplaced orders. Take for example, HHI Corporation who has an existing COTS system where all the applications are a separate entity with no communication among each other. This can cause issues with orders being duplicated or misplaced. Top-level management reports at HHI will be definitely not accurate among different departments since each department does not have a centralized order system in real-time. This can cause integrity issue with customer’s orders where the inventory level will be lowered and it can be caused by duplicate orders via fax, email and phone. In order for an enterprise to be productive, they must have some type of business facilitation or a planning system on how they will make a profit from their products or services offered to their clients. All enterprises have to make daily decisions concerning how many products they should have available, how many people can work and have an inventory level enough to handle their clients at the enterprise. In the process of designing how to run the enterprise effectively, the enterprise must keep a balance between planning and facing the reality on the bottom line which is profits coming in to cover the expenses. Another type of security risk is the use of customer information to perform different transactions in the customer service department to the accounting department at HHI. The business processes or what is called business facilitation has to make some changes to HHI existing Information Technology (IT) department. Since HHI has the COTS system as was stated earlier where they are not centralized and the applications are not communicating with each other, HHI Board of Directors and other staff members is working on a team that will focus on developing the HHI COTS system centralized communication system among the applications using the business facilitation concept. The balance between business facilitation and security risks must be attained through well-defined goals, thresholds and break even points. This will be done through business facilitation as business processes are defined among the COTS system independent applications so the security risks can be identified such as integrity of customer data because of duplicate orders issues. This type of balance between facilitation and security risks where business processes are defined at the same time as a matrix of positive and negative input and output is given so that a system can be developed that will eliminate security risks such as customer data integrity as business facilitation is defined in a matrix in making the right decisions for an enterprise when it comes to its most important asset customers and their orders (United Nations Conference on Trade Development, 2010).

U10A1 24 Transformation through Web-based Technology The Internet is one of the greatest system that can be compared to when lights was invented that took us from sun light to actual lights in our home. The Internet is in similar typology to light which has opened the light wave of finances to invade organizations where they can transact business with anyone, anywhere and anytime. Web-based e-Business focuses on customer service and ways that customers can check on status of their order online. For example, at HHI Corporation, their customers can order products through an e-catalog, home shows, etc. The goal at HHI is to provide information online for customers and customer assistance for all products. When HHI, takes its present order system, it realizes that it is definitely important to work on a strategic plan to take a potential order to a sales fulfillment order. How can this be done? HHI has to work on a more efficient and cost-effective way to get orders done accurately and watch how much of the customer’s time is taken up completing orders. HHI is working diligently on a website where services to its customers can be done 24 hours 7 days a week. Every small business such as HHI goes through a transformation process especially when the staff and Board members are novice at the computer especially the Internet. Even though Web-based technology is the way to go today, HHI is working on being prepared as they focus on increasing sales in Canada and Mexico. They realize with their present system there is no way without Web-based technology can they do this. The proper communication with their present COTS order system has to communicate among all applications within all departments to ensure that duplicate orders are not present via fax, email, phone, home shows or catalogs. This requires a strategic IT plan and a transformation via Web-based technology. As HHI hires the IT consultant to work on an IT strategic plan to get them ready for E-commerce, it is important that the consultant defines and execute a plan covering the following areas in order to embrace Web-based technology. They are discussion of the benefits and challenges of having an overall information plan/design, discussion of the benefits of having integrated systems, discussion of the expected benefits and challenges of conducting ecommerce, an analysis of the opportunities and challenges of creating web-centric business functions, a sample web site with a small number of web pages demonstrating some basic functions of e-business; this would help the board better understand how a web-enabled HHI would function and then allow HHI to be transformed through Web-based Technology. Now, it is time for HHI to design a website that meets standards and is user friendly for its customers. Thus, HHI proposed web site design with analysis will show how important to keep it simple and each page should have the same design but the content on each page will change to fit into what HHI’s customers’ need.
