3. Types of formal meetings
Meetings have a very important role in the communication machinery of any profession
There are two types of formal meetings
Public meetings
Professional meetings
4. Public meeting
It is addressed by the leader and attended by the public. Normally
this meeting takes place in a hall or park / public place, simply
because of the reason that these types of meetings attract huge
gathering.
5. Professional meetings
This type of meetings are organised by the different officers for a special concern related
to business.
These meetings are usually organised in a closed cabin and attended only by small group
of people concerning to a particular department.
These meetings have a special agenda to discuss.
6. Minutes of the meetings
Minutes are the record of a meeting.
This record is kept in a safe custody.
minutes should be written as soon as possible after meeting.
Minutes should be written by the third person and in the past tense
Records should portrait the value of every Minute.
7. Pattern of writing minutes meeting
• You can write the minutes of any meeting in the following pattern:-
• 1. give the description and purpose of the meeting and give date, time and place of meeting.
• 2. Mention the name of the supreme authority, may be the chairperson, chairman, and the
name of other members with their designation who attended the meeting
• 3. do not forget to mention the list of such person as are absent
• 4.it is very important to confirm the last meeting minutes or the conclusion of the meeting.
