Special Event Assignment
WHAT: Gently used children’s Halloween costume donation box, collection and distribution.
WHY: To collect costumes that we can donate to the girls and their family members (brothers, sisters, and
cousins) 100% free donated costumes.
THEME: Halloween themed.
WHO: GSCCS, their family members, children of the general public
WHERE: Girl Scouts Central California South
WHEN: Yearly, after Halloween, so the following year you can have costumes to distribute to the children at
least 1-2 months before… One day collect (week after Halloween) for 2-5 hours and one day to distribute 2-5
hours to whoever attends.
DETAILED AGENDA:
Giveaways: costumes, candy bags, candy?
Decorations: a collection box decorated with Halloween outfits.
Parking: GSCCS parking lot
Photography/Video: pictures by phone posted to social media to let people know about this event through
GSCCS social media
Refreshments: waters, candy bags for donors, “thank you” cards
Registration: No registration, sign in sheet with info (name, phone number, address)
Restrooms: GSCCS restrooms
Room set-up/traffic flow: use main room and parking lot
Security: staff
Signage: GSCCS sign, Halloween drive sign
Written program (will you have one? What will go in it?): None
Social Media Posting Plan: post every day for two weeks prior to donation starting.
PUBLICITY (How will you promote event?): social media, Fliers, TV/Radio ads
EVALUATION (How will you evaluate the event?) observe amount of people donating, and how many
people are coming to the distribution.
