DUTIES:
- Providing sole administrative assistance to the two heads of department and 41
academic staff members;
- Co-ordinate attendance of meetings and take minutes of departmental meetings;
- Answer telephones and provide callers with information, take messages or transfer
calls to appropriate individuals, this includes faxes;
- Arrange for WIL visits to students and their mentors;
- Liaise closely with students, student representatives and staff;
- Liaise with academic staff from all satellite campuses;
- Liaise closely with the service departments of VUT, for example: Finance, Human
Resources, Public Relations, Exam Department, Postal & Fax, Motor fleet, Protection
services, Logistics and Operations, as well as the offices
- Initiate and lead a prompt follow up on correspondence in support of needs, plans and
activities of the department;
- Open, read, route and distribute incoming mail, e-mails;
- Maintain paper and electronic filing systems for records, correspondence and other
material;
- Learn to operate new office technologies as they are developed and implemented;
- Order and dispense office supplies & stationery. Maintain an adequate inventory of
office supplies;
- Operate office equipment such as fax machines, copiers and phone systems, and use
various Microsoft Office 2016 packages for Microsoft Excel, Word, PowerPoint,
Outlook, Publisher, database management and other programmes such as ITS,
Techsys and Exam Viewer, student and staff SMS system;
- Manage bookings for the ICT training room;
- Assist in arranging travel reservations for staff;
- Monitoring the budget.
