Event Space
capacity: 90-120 people seated or 200 standing
Our versatile Event Space is on the lower ground floor. Perfect for conferences, workshops, feedback sessions
and meetups with a state of the art AV system, a variety of layouts and a rear wall that can be pulled back to
allow for extra capacity or fixed shut for more private or intimate events.
For standard presentations the setup is fairly simple, connect your laptop via HDMI / VGA (Macs will
require an adaptor). For more technically demanding events we recommend hiring an AV technician.
Our Events Team can advise on suppliers.

On the ground floor our light and airy Café is the perfect environment for relaxed networking and greeting
guests. It has an open plan kitchen with space for catering as well as seating for guest and is setup to play
music if you’d like to add an atmospheric soundtrack to your event.
Café
The Café is a communal space used by the IDEALondon startups during the day so can only be hired
for exclusive use after 6:30pm.

Pods &
Break-out Space
capacity: 4-6 people per pod
The lower ground level houses two glass meeting pods and a breakout space. Each pod is equipped with
a screen and Cisco Telepresence. The Pods and surrounding area make for an impressive and dynamic
breakout space.
With the doors closed the Pods provide relative privacy. The surrounding break out space is a
thoroughfare for IDEALondon residents so cannot be hired for exclusive use.

IDEALondon Residents
IDEALondon’s focus is its post-accelerator
programme so please bear in mind that it is a
working office as well as an event space, be
considerate of your noise levels during the working
day and ensure guests stay within your agreed
areas of hire. We hope you will welcome our
community to your event, they may also be happy
to help if you’re looking for interesting speakers -
let us know and we can make introductions.
Event Hours
We are open for events on weekdays from 9am,
we need to lock up by 10pm, so it is mandatory
that all guests have left the building and the post-
event breakdown is complete by that time. If you
would like to host an event outside of our standard
hours, or at a weekend, please let us know and
we will try to accommodate you. Please note that
extended hours incur extra costs.
Guest Lists
We require the full names and email addresses
of your guests to be provided to the Events Team
prior to the event. We will not spam your audience
but suggest you include the following disclaimer
on your event page: ”By registering for this event
you also agree to join the IDEALondon mailing list,
you are able to unsubscribe at anytime.”
Cancellations
Cancellations are rare but occasionally necessary.
In the unlikely event that IDEALondon has to cancel
your booking we will do our best to reschedule
your event, if not possible we will refund in full any
deposit that has been made. Should you wish to
cancel a booking please give our Events Team at
least 2 weeks written notice.
Staffing
We cannot currently offer support staff but there
will always be a member of our team available on
site during your event. They will do their best to
help should any questions arise.
Security
The main building has a manned reception from
8am - 10pm, if your event is outside of these hours
it is mandatory that you hire security. This can be
arranged through our Events Team.
Insurance
IDEALondon is covered by UCL’s building
insurance policy. Please refer any specific
concerns to the Events Team. Whilst reasonable
efforts are made to ensure IDEALondon is safe
and secure, we accept no liability for any theft, loss
or damage to clients’ and visitors’ property.
Lost Property
We will notify the host of any lost property and store
the item(s) for one week whilst trying to arrange
collection. If no claimant comes forward, we will
recycle, donate or dispose of the item accordingly.
IDEALondon accepts no responsibility for loss or
damage of property on site.

Catering
We can recommend a number of caterers who are
familiar with the logistics of our space and offer
a wide variety of delicious options. Please let our
team know if you’d like recommendations.
Deliveries & Storage
Our storage space is limited so we cannot offer
capacity for long periods of time; if required please
liaise with the Events Team. Deliveries must be
scheduled to arrive within the hours of hire and be
clearly marked with the event title, contact name
and contact number.
Disabled Access
IDEALondon does offer disabled access and
toilets, please ask the Events Team for further
information. See map for more information.
Parking
Being in such a central location we are unable to
offer onsite parking, however many surrounding
roads have meters during the day and free parking
after 6.30pm. There is also a car park in Finsbury
Square (2 minutes walk from IDEALondon) should
you need it.
Local Transport
IDEALondon is located in the heart of Shoreditch with great transport links. Nearby are Old Street (Northern
Line & National Rail), Liverpool Street (National Rail, Central, Circle, Hammersmith & City and Metropolitan
lines) and Shoreditch High Street (Overground), as well as many major bus routes.

Breakdown
Unless you have booked a package that includes
this we expect all organisers to leave the space
spotless! Clean Up: Please allow time to clean up;
wipe white boards, remove posters, return furniture
to its original position, sweep and mop floors if
necessary, and dispose of any rubbish. Recycling:
We are avid recyclers and have large bins on site
so please use them as labelled – not doing so can
incur a fine. Ice Buckets: Ice and water can ONLY
be disposed of carefully in the Café kitchen sink.
Energy: Please ensure you turn off the projector
and air conditioning in the Event Space - please
do so using the control panel on the left wall next
to the fire exit door. Hours: IDEALondon closes
at 10pm so, unless otherwise agreed, everybody
must have vacated the space by then.
Set Up
Unless you have booked a package that includes
this, all organisers are expected to set up the space
themselves: Displays: You may display promo
materials in the perspex poster holders around
the venue, stick them to white boards or glass,
but do NOT stick them to walls - it damages the
paintwork. Presentations: As soon as you arrive
test your technology, we will then have time to help
should any problems arise. Furniture: Please lift
furniture as dragging it marks the floor, and ensure
you remember where it came from so you can
return it to where it belongs. Coatrails: These are
on wheels so you can move them to where suits,
you may manage it as a cloakroom or leave at the
discretion of your attendees.
Wifi
There is free WiFi throughout IDEALondon with
posters showing how to connect displayed at
points of high visibility, but in case your guests ask
here are steps to get online:
1. If .IDEAL comes up in your Wifi settings connect
to that, open a browser and select “Connect”.
You’re now online.
2. If .IDEAL is NOT visible select UCLGuest in
your Wifi settings. 2a. A page will pop up in your
browser, click “Self Service”. 2b. Complete details
and make sure you remember your username and
password. 2c. Click “Login” and enter the username
and password you’ve just setup to Login.

Health & Safety
Fire Drill: There is a fire alarm every Thursday afternoon, if it rings for more than 10 seconds please
evacuate the premises via the designated fire exits. Fire Assembly Point: On the corner of Christopher
Street is the designated meeting area in the event of a fire. Fire Exits: Must remain unobstructed at all
times. First-aid Kit: You can find it in the Café kitchen. If someone hurts themselves please inform the
Events Team so that they can make a record of the incident and if necessary, contact emergency services.
Drinking: If you are providing your guests with drinks you must promote responsible drinking, and ensure
that they do NOT take drinks into the building’s main reception area. We reserve the right to evict anyone
who is intoxicated or behaving badly from the premises.
