MINUTES OF MEETING • BEFORE THE MEETING : • Meeting agenda outlined • Forms • List of Attendees • DURING THE MEETING : • Record Taking • Date and time of meeting • Participants and absents • Decision made about each agenda • Plan of action • New business • Next meeting date and time • AFTER MEETING : • Review the outline and add additional notes • Check to ensure all decisions, actions and motions are clearly noted. • Sent final minutes to head for approval.

POST MEETING COMMUNICATION • PLANNING MESSAGE • Message needs to be clear, concise, concrete, correct, consistent, complete and considered for cross cultural factors (7 C’s) • Understand the objective of the communication. • Understand audience? What do they need, language barriers etc. • Plan what to say and how to communicate (mode of communication). • KISS Principal (Keep It Simple and Straightforward).

POST COMMUNICATION FOLLOW-UP • Whether actions have been taken place as agreed? • How and which tasks to give importance. • Detailed report and updates on actions taken before the next meeting. • Checklist of all the actions to be taken. • Recording of all the relevant communication and information for further discussion and to be used to make further plan of action during next meeting.
