  1. Ale starts Hi everyone, my name is Alejandra Luzardo and this is my colleague Dolores Subiza We are here to talk about the importance of Design in presentations. Good Design can add impact to your presentations and make them memorable, while bad design can take away from what you are trying to communicate.
  2. We are going to cover 3 main topics. Simplicity: How in presentation design less is more Style: What are the different presentation design styles. Resources: Where you can find software, images, training and inspiration Today we live in a world that is abusing Powerpoint presentations. Sometimes we talk about Death by Powerpoint. The idea that we are bombarded with visually confusing and long presentations that don’t really interest us. Part of the problem with Powerpoint presentations is the visual clutter that is all around us and invades presentations. So lets look at this clip from comedian Don McMillan, that explains some of the mistakes we make in Powerpoint presentations.

  4. Now we are going to do an exercise where we are going to show you a Powerpoint slide and you are going to tell us if you LOVE IT or HATE IT. Ready?
  5. Here is the first slide. Love it or hate it? Hate it? Why? Cluttered, too much information, boring style, template is ugly
  6. How about this second slide? Love it or hate it? Hate it? Why? Ugly clip art Too many bullets Hard to read the text over the image
  7. How about this one? Love it? Why? Beautiful photo, large easy to read text Tells you exactly what you need to know This slide is actually by Presentation Guru Garr Reynolds.
  8. OK, so what do you think of this one? Hate it? Why? Background is too busy, makes text hard to read. Comic Sans font looks childish low quality artwork.
  9. Here’s the last one. what do you think? Love it? Why? Clean, elegant Easy to read and easy to interpret This is getting to the simplicity we want to achieve. Ok very good. Now here is Dolores to talk about using TEXT
  10. Doli starts OK, So now we are going to give you some practical tips that you can start using to improve your own presentation. First lets talk about how we use TEXT in our slides
  11. This is a real slide from the IDB It has a lot of important information, but there is too much for the audience to grasp quickly. So how could we improve it? One way is to select the most important ideas and give each one a separate slide. For example lets focus on the statistic under the first bullet point. “90% of jobs are created by the private sector”
  12. We can create a more memorable slide by isolating this important point. If we add a good photo, we can make it even more memorable. (And we will go over where to find these photos later on). So if you have a slide with a lot of information, first try to determine what is really essential to show. Then you can use this method and put one important idea per slide.
  13. Now lets talk about color. We saw this slide earlier and we all hated it. Part of the problem is color. The busy green background and harsh yellow type clash and make it hard to read. They tried to create a more interesting graph by using images instead of a bar chart, but because of the poor execution and not enough contrast between the christmas trees and the background, it just doesn’t work. So how can we improve it? Lets focus on the last bullet “Sales for green products doubled in the last 4 years”.
  14. So here is a new version. As you can see we really simplified it. The presenter will be talking about “green products” and will say “Sales volume for green products doubled in the last 4 years”. But on the slide we just have: 1. sales volume doubled, 2. we have the years, 3. we have the amounts. We are using their idea of illustrating the growth with trees rather than a bar chart. What is different is we are using a high quality photo so now it works better. Also notice that we are using large bold text and placing it on quiet areas of the photo, like the sky and grass so it is easy to read. So remember what Gador told us earlier. You are there for a reason. This is your chance to personally engage with the audience. The slide is not a substitute for your words it is a visual aid to reinforce what you are communicating.
  15. Even if you have a good dynamic photo like this one, we don’t recommend using a whole paragraph of text in a slide because it will be hard for the audience to read and grasp the information effectively. So Lets see how we can improve this slide. Lets focus on the first line: “less than 33% of US adults are at a healthy weight”
  16. Here we take the main idea, we put it in a larger font size. We place the text on top of a solid quiet area of the photo. This makes it easier to read and lets the photo complement the text.
  17. So now lets talk about WHICH fonts to use in our presentations. We get asked that a lot: What font should I use?
  18. We recommend that you USE simple Sans Serif fonts like Gill Sans, Helvetica and Arial and we recommend that you AVOID Times Roman, Comic Sans, or Decorative fonts. Times Roman is a good font for documents, but not for presentations because it makes your slides look bureaucratic and boring. Comic Sans will make your presentation look childish and unprofessional and decorative fonts are hard to read, and will look frivolous. If you stick with a classic simple font like the ones we recommend, your presentation will look more clean and modern and easier to read from a distance. Now I am going to pass it over to Alejandra who will talk about the Rule of Thirds

  20. For online training, we recommend lynda.com. There are affordable online courses for just about every software including Keynote, Powerpoint and Prezi. (If they ask: the cost varies, but you can get monthly basic membership for $25/month (month to month) or $250 basic membership for $250 for one year.)
  21. If you want to learn more about creating great presentations, I recommend these 3 books. Presentation Zen by Garr Reynolds Slideology by Nancy Duarte and How to be a Presentation God by Scott Schwertly Each one has a substantial section on presentation design, and each author also has a blog with the latest and greatest on creating powerful presentations.
  22. Finally if you want to see what other presenters are doing, you can go to this site. www.slideshare.net slideshare.net is like Youtube but for presentations. Here you can see presentations on just about every topic you can imagine. Not all of them are great, but a lot of them are very good and can serve as inspiration for your own presentation.
