Production Spec SheetDecember 252009The production spec sheet is used by project stakeholders to communicate the parameters of the project as agreed to at the project kick-off.  It’s used by the creative staff and the studio to build mechanicals and proofs.  It also provides a common format for soliciting vendor production bids.  Then as the project moves forward, additional granularity such as personalization and mailshop instructions can be added.  The attached sample is intended to communicate my understanding of direct mail print production.  In no way does this communicate my entire knowledge of production – but is just a sample of one type of job.  I am experienced in producing all types of printed and on-line projects from Point of Purchase and display advertising, to bus wraps, to brochures, direct mail. Letter/rd copy Adobe CS4 on CD-Rom with color laser w\calloutsData processing / personalization:Convert records to your system.  Standardize mail file and seed list.Merge/purge/suppression.  Perform a tight B2B M/P using name and address.  Suppress customer records using a exact match on HHID.  Typeset simplex sheet fed laser letter/rd at 8 1/2” x 14”.  Setup laser to insert appropriate market area variable data (Market area name, manager name, add’y, phone, email and title) on each letter rather than creating 128 unique versions.  Address on RD drives package.   Output the HHID and MAM code in the delivery window (I.E. -  right justified, 7 point letter gothic typeface @ 70% density).Append seed list to mail file.  Sort mail file for standard rate, automation and carrier route.Provide QC reporting (all at once):  1) Input output dump of 256 records throughout file.  For each, furnish galley of all fields (post processing) along with a screen print of the matching record from the raw input file (i.e. – I intend to compare raw data to the converted data to look for floating fields, extra delimiters, etc), as well as a finished lasered letter/RD for each of the 256 records (two per MAM).;  2) Count of records per MAM;  3) Your std merge/purge reports; 4) SCF and state count report;  5) Provide 128 laser proofs (one per MAM);  6) Provide galley of seed names (which should be embedded in mail file, and not their own drop).  7) Provide galley of records suppressed.  Whenever possible, please provide both electronic and hard copy of reports.Based on my approval of all reports and proofs, begin laser printing.  Signature required.  Whenever possible, I like to do this on-site.Bindery / mailing services:Fold live letter/rd so address on RD shows thru window.  Live stamp #10 window envelopes.  Machine insert (3) items into left window carrier and seal.  Insertion order should be Letter/RD, BRE, Brochure – so the brochure faces the back of the carrier when opened and the RD faces the window.  Pre-folded carton packed #10 brochures will be furnished from outside printer.  One version, one drop, 3rd class with automation.  Mail date (TBD) will be firm and all pieces must drop on the same day.  One or two days after the drop, please email or fax USPS VERIFIED proof of mailing (3602 or mailing certificate).  Note: To be clear about how much this means to me – I don’t approve mailshop invoices for which I didn’t receive timely verified proof of mailing.    Provide inventory report of overs (scale or system count is fine) for disposition.  Samples:  Provide 2-3 personalized samples (128x3=384 total) for each MAM (Note: Live, Make Ready, or John Q. Samples are all ok – whatever is easiest).  Provide 100 John Q. Samples of completed package, inserted and unsealed.  Live stamp all the samples, please.   Provide 200 sheets of letterhead (trimmed to 8 ½ x 14”, flat), 200 brochures, and 200 BRE’s, and 200 OE’s (without stamp) to agency following drop for one-off’s.Postage:  Provide postage invoice ASAP once job is awarded.  Please apply leftover postage to labor invoice.
