We have compiled a detailed “step by step” set of instructions on how to setup and implement a Moraware Vacation Workflow
This concept can be modified to handle any “non fabrication” workflow you wish to maintain.

Moraware Vacation Procedures
1. Vacation & Medical Leave Procedure

(Will also function for any type of repeat activity such as Preventative Maintenance procedures etc.)
Administrative Setup
1) Create a new Account called “Your Company Employees” (example – Fabchoice Employees)
2) Add all your employees as New Contacts to this Account (use their full name)
3) Ensure that all of your employees are entered as Job Assignee’s (see Job/Edit Assignee module)
4) Create a New Job Template (see Job/Edit Settings/New Job Template) called Vacation/Sick Leave which
does not have any Activities or Forms added to it…if you have Activities such as ATTENTION you may
wish to include this Activity as a default to this Job Template
a. Assign this Job Template to “Your Company Employees” Account created in Step #1
(Account/Edit Account/Default Job Template)
5) Add two new Job Status called “VACATION” and a “SICK” (Job/Edit Settings/New Activity Status)…make
it an awesome color so it very easy to see on the calendar and then set the Abbreviation to “vac”.
a. Probably best not to activate the “for appointments” checkbox as Appointments is the wrong
way to manage Vacations etc.
b. Set Type to “ACTIVE”…YOU WILL NOT BE ABLE TO ALTER THIS ONCE YOU CLICK OK
6) Create a new Activity called “Office”. This will create a tool for you to use for clerical/office and
management staff who are not directly involved with any of the production activities You can leave this
at the bottom of the Activity List
a. Set Status to VACATION
b. Set Duration to 8 hours
Procedure for Production Employee
A. When an employee has scheduled their vacation , called in sick or “scheduled a sick day” follow these
steps
o Create a New Job using “Your Company Employee” Account and then select the appropriate
Contact Name
o Define a Job Name such as “Sam Jones Vacation 2008”….if this is their second vacation of the
year then you can add #1, #2, #3 etc
o Add the Vacation/Sick Leave Template and then manually add NEW ACTIVITIES which correlate
to the Activities this person would typically be responsible for.
Let’s suppose that Sam Jones was a Templater and also assisted with CAD …in this case
you would add a Template and a CAD activity to this Job
B. For Each Activity you need to set the Status/Date/Duration and Assignee followed by the Series Tool
o Open an Activity and set the Status to VACATION (or SICK)
o Set the Start Date for the first workday of their Vacation
o Set the Schedule Time as their normal start time (6am or 8am)
o Set the Duration for a normal work day (8 hours)
o Define a New Series (drop down list immediately below NOTES box) and enter the number of
workdays this person will be on VACATION or SICK leave. Do not count weekends or normal stat
holidays (assuming you have setup the Moraware Holiday Calendar correctly)
Once the series has been created you will need to set the Activity Status to VACATION

1. Click on the first series number (1 of 10)
2. Select Edit Series Activity
3. Click on the checkbox to the left of the Series Title – Click OK
1. Set Status = Vacation
2. DO NOT SET START DATE – leave as Multi
3. Adjust Sched Time and Duration if necessary
4. Set Assigned to (the person who is going on vacation)
5. Add any applicable notes
6. Click OK
o Once you have accepted this Activity and activated any others you will see that you have a very
specific job setup with Activities/Dates when this person will be on Vacation or Sick Leave
C. Now these activities will reflect on the appropriated Calendar Views and you can setup up special Job
Views where you filter for your Company Name and then show all the Activities etc.
D. Please don’t forget to have a Department Manager set each Activity to “Complete” at the conclusion of
each Day for each VACATION/SICK Activity otherwise they will hang out in “history”.
Procedure for Office or Management Staff
The procedure for a production employee is reliant on the Production Activities that he/she are directly related
to. In the case of management or office staff we can use the same steps as above excepting that you would add
the “Office Activity “ (previously created in Admin Setup #6).
Calendar Views
Ensure that all the calendar views include the Activity Status = “Vacation” and Office Activity. This way everyone
will see the related Vacation/Sick activities for persons within their department.
Create a special Calendar View for Vacation/Medical and setup Options (see sample)

Job Views
Create a special Job view for Vacation/Medical and setup Options (see sample)
This will then generate a very easy to view summary of upcoming Vacation activities
We would highly recommend that you NOT re-purpose the same job for subsequent Vacations, rather start a
new job for each VACATION/SICK event…this keeps the Job Views nice and neat/tight
