Software License Optimization Advisory
1. Today’s IT organizations struggle with conveying
the cost of IT, and the business consumption of that
cost. There are numerous functions that assist in
providing insight to IT cost, as well as manage data
that supports the business processes of IT. These
include Portfolio Management, Business Planning,
Configuration Management, Project Management,
and Finance. These functions depend heavily on
the foundational systems of Asset Management,
Infrastructure Management and Financial systems
to convey what has been purchased and what is in
use in the enterprise. Most notably, understanding
and managing the cost and use of software in
the enterprise has become a monumental effort.
Most companies lack the disciplines and business
processes to effectively capture and communicate
software license positions and consumption
detail. They may have created a Software Asset
Management program, but have no clear vision
on where to take it. It is simply a reactive counting
exercise that they go through when someone, most
likely Vendor Management or Sourcing, needs
software license information.
In addition, they don’t recognize the value of SAM
information and services beyond attempting to
address vendor compliance.
Flexera’s Software License Optimization Advisory
engagement provides guidance on best practices
in software license management and the business
processes and organizational changes required to
realize the maximum value. Includes:
• Review of SAM business processes
and ownership
• A look into company key control policies that
support the accurate capture of inventory
• Review of Software Asset Management
organizational structure, roles and responsibilities
• Analysis of data sources and the technologies
and business processes established to
manage them
• Review of software spend, the capture of its cost
components, and the reporting of IT costs
• Review of ITSM approach and roles and
responsibilities to support
• Look at organizational and process relationships
of SAM and IT Infrastructure Management
The engagement entails a brief requirements
gathering workshop session or interview process to
understand current state processes and scope, along
with IT responsibilities and data owners. Together
with the key business owners, we will build the
target state for software license management and the
roadmap to achieve it.
