Most fixed asset allocations were

With over 53,000 assets floating around, the main challenge
was to have a centralized database that could track the
movement of assets that are received and are disposed of to
improve accountability upon department heads and employees
with multiple project locations and campuses owned by Keiser
University. Additionally, geographical distances was a key
factor, as there are multiple campuses across the Southeastern
United States, Europe, China and now Central America.
Keiser University needed an inventory and asset
tracking system that would allow them to:
• Increase time with faster data entry with greater accuracy by
using barcode scanners
• Eliminate human data entry errors.
• Tracks by serial and model numbers
• Tracks whether asset is active or inactive
• Increase accountability and control over all assets at multiple
locations
• Immediate access to asset location
• Reduce costs from allocating idle assets
• Account for lost and misplaced equipment• Immediate access to
asset location
FINDING A SYSTEM TO FIT THEIR NEEDS
In order to successfully meet the challenges on-hand, the team
needed an asset management system that would allow them
to access appropriate capabilities. The ideal system would need
to be accessible when changes are made such as receiving,
transferring or disposing inventory and could be accessed on
an average of two to three times per week.
Keiser University needed a robust inventory and asset
tracking solution allowing them to:
• Provide updated information regarding the location, cost
center, and movement of assets. Thus, improving management
of assets and control costs
• Integrate with mobile devices by utilizing barcode scanners
• Prints barcodes and catalogs
• Generates management reports and records to auditing
purposes
• Conduct physical inventory
GETTING STARTED
While undergoing a search over the internet for an inventory
and asset tracking system, the team at Keiser University found
a reference that recommended ASAP Systems’s Passport
inventory and asset tracking system that included the
functionality and mobile scanners they seeked.
In reaching out to ASAP Systems, an informative free personal
demonstration took place on ASAP Systems’s inventory
and asset tracking system, Passport. One of ASAP Systems
technical engineers shared his screen and navigated through
the Passport system displaying new ad¬vanced features,
configuration advantages, and determining the key focus
points that would be needed to meet the team at Keiser’s asset
management needs. The search ended when the technical
engineer recommended a solid solution that would fulfill all
expectations.

Additionally, the university has saved thousands of dollars
by being able to effectively track all high-valued assets with
the Passport system.
“Several features in the fixed asset module were more robust
than competitor’s products as well as ease of use of the
program. The main product that was used for comparison was
the WASP mobile asset system. The WASP product was less user-
configurable and friendly which was inevitably the deciding
factor,” said Coleman.
The Internal Process
After installing ASAP Passport, an internal process took place
to honor the university’s asset tracking guidelines on how the
system would be used to track assets. Getting the system up
and running was easy and took little time. All equipment was
categorized according to basic system parameters such as the
asset number, home location, current locations, model number,
serial number and category. Passport’s asset specifications
were easily met and adapted quickly to the operating
procedures at the university.
THE SOLUTION
Reporting provides insight.
Configurable reporting has provided a better under¬standing
of where all equipment is located, at all times. Accessing
reports increased insight on the whereabouts of key assets
such as computers, audio visual equipment and the movement
of furniture based on location, ownership, checked out time
duration, and scheduled due.
“We use the standard reports from the system for now. The
main reports we print and save on a regular basis are a Property
Transfer Report that shows transfer, receiving, and the disposal
of assets as well as an inventory listing. These reports give us
a detailed summary of the movement of assets and current
holdings,” said Coleman.

checking out and checking in these items was quickly and
