1. Terms of Reference: Graphic Designer
I. Introduction
Reproductive Health Association of Cambodia (RHAC) will convene the 10th Asia Pacific
Conference on Reproductive and Sexual Health and Rights (APCRSHR10) from May 26th to
29th, 2020 in Siem Reap, Cambodia. The conference aims to reach more than 1,500 delegates
working in sexual and reproductive health and rights (SRHR) from across the Asia Pacific
region.
In order to maximize the professionalism and aesthetic appeal of conference materials,
RHAC – as the Conference Convenor – is seeking a firm or professional group to develop a
variety of graphic materials for digital and print use for APCRSHR10.
II. Objectives
The materials produced by the designer will:
- Deliver clear, compelling messages to conference delegates
- Maintain design consistency across a variety of mediums
- Maximize professionalism and aesthetic appeal of the conference
- Integrate inputs and feedback from the Convenor and Secretariat team
III. Major Tasks
The Designing Consultant will be responsible for the following major tasks:
- Meeting with the Secretariat team to learn about the conference, existing branding,
and design needs and preferences of the team, and to establish deadlines for
deliverables
- Designing graphic materials as specified by the Secretariat team according to the
established deadlines
- Securing or producing any photographs required as part of the design process
- Actively seeking and integrating feedback on the designs, including proposing
multiple options for each deliverable and meeting with the Secretariat team to work
together to reach the final designs
- Providing all designs in the requested formats in a timely, efficient matter
- Maintaining ongoing, productive and collaborative communication with the
Secretariat team
2. - Remain on retainer to produce additional materials upon request until the time of
the Conference event
IV. Deliverables
The graphic designer will produce the following deliverables:
- Cover pages and internal layout for the digital conference book, mini print booklet,
and post-conference report
- Signage for the airport, hotels, and conference venue, include posters, banners,
photo op backdrop, and stage backdrops
- Customizable sign template for other signage needs (e.g. breakout session rooms)
- Invitations to the conference Youth Advocate Night and Cultural Night Gala Dinner
- Conference tote bag
- Conference t-shirts for staff and volunteers
- Graphics for the conference mobile application according to the specifications given
by the app developer
- Designs for tokens of appreciation (e.g. paperweight or placard) for sponsors,
speakers, and steering committee members
- Any additional materials subsequently requested until the time of the event
V. Timeframe
14th November 2019: Call for Proposals open for submission
30th November 2019: Deadline for project proposals
Mid-December 2019: Bid awarded and agreement signed
Early January 2020: Orientation meeting, with deadlines for deliverables to be established
in this meeting
26th through 29th May 2020: APCRSHR10 event
July 1st 2020: Post-conference report published
VI. Price Proposal
The Graphic Designer is requested to provide a quotation proposing the budget required to
cover the cost of the services required to produce the deliverables.
VII. Qualifications
- Essential
o Proven track record of professional graphic design contracts
o Demonstrated history of customer satisfaction
o Fluency in English for meetings and discussion of materials
o Willingness to work closely, responsively, and supportively with the
APCRSHR10 Secretariat team
- Desirable
