SWOT analysis checklist for NGOs
Please follow these steps to conduct a strategic and result-oriented SWOT analysis of your
organization.
1.Preparation Phase
A.Objective set up
Clearly state why you are conducting the SWOT analysis.
Example: "Assess the capacity of our organization before starting the new
project in the new area."
B.Participant's identification and responsibility distribution
Targeted participants : Project staffs, board members, local government
representatives, community stakeholders, program participants and donors
Assign roles : facilitator, Note-taker, Timekeeper, and logistics
finalize date and venue
C.Literature review:
Review annual progress reports, survey reports, stakeholder feedbacks
Collect external data (e.g., political updates, policy revisions, donor
requirements, community needs)
2. Conducting the brainstorming session/workshop
A.Detailed explanation of the whole process of the SWOT analysis: Specially focus
on explanation of the four factors of the SWOT, like strengths: What are the best
practices? Weakness: Where are we struggling? Opportunity: What are the external
chances to grow? Threat : What are the external risks to mitigate ?
B.Brainstorming :
In-depth discussion by using 2/2 matrix
Use sticky notes, whiteboards and digital data collection tools like Miro and
mentimeter
Ask probing questions.
“What unique resources do we have?” (Strengths)
“Where do we waste time/money?” (Weaknesses)
“What trends can we leverage?” (Opportunities)
“What could disrupt our work?” (Threats)
C. clustering and prioritize ideas;
clustering the similar ideas (e.g., all "quality related threats")
Vote on the top 5 items per category to focus on.
3. Post workshop task
A.Documentation and sharing
Summarize the major findings using the SWOT template.
Share findings to all participants for feedback collection
B.Create an action plan :
Create activities based on the major findings and participants' feedback
Example: Strength-" education training in 30 schools." Weakness: "Hire an expert
facilitator to roll out teacher's training by Q4."
Assign accountability. Create a RACI matrix and assign task accordingly
C.Review and follow up :
Organize review meetings on a quarterly basis and track the progress against
the targeted action plan.
