will be held from Thursday,April 10
– Wednesday,April 23 at Sydney
Showground, Sydney Olympic Park.
The first Show was held in 1823 at
Parramatta Park and is the oldest and
most respected agricultural Show in

Payment
A Letter of Offer from the RAS of NSW
will advise you of your successful
application. Upon accepting this offer,
a non-refundable deposit of 35% on
the total value of your site is due within
14 days of issue.A Show Licence and the
further 65% invoice will be issued upon
receipt of acceptance of the Letter of
Offer and deposit.Your Show Licence
and full payment for exhibition space at
the Show will be required no later than
17 January 2014 or by the date specified
in the Licence, or within seven days of the
confirmation of the site offer if this occurs
after 17 January 2014.
Insurance
Handing out food and/or beverage
samples, cosmetics or any other items
in contact with the general public will
require the exhibitor to provide their
own insurance.
Those exhibitors and other exhibitors
as the RAS may require, must have
their policy with an insurer approved
by the Australian Prudential Regulatory
Authority (APRA).The latest list of APRA
approved insurers can be found on
www.apra.gov.au under the ‘General
Insurance’ link.
All exhibitors who have people working
for them, or volunteers including family
members working without pay, must
under NSW legislation, have either
Workers Compensation Insurance or
Volunteers Personal Accident Insurance.
Evidence of this cover will be required
before you are allowed onsite.
Shell Scheme
A Shell Scheme includes carpeted floor
space, walls, fascia board bearing your
company name and two spotlights per
3m x 3m stand.The minimum size
available is 9 sqm.
Space Only
Space Only consists of bare floor space,
which is best suited to companies who
wish to build their own exhibition stand.
Space Only exhibits must provide their
own flooring, walls and lighting.The
minimum size space available is 18 sqm.
NB: Shell Scheme from neighbouring
exhibits can not be used for display
purposes or rigging.The RAS recommends
the use of professional stand designers

Operating Hours
•• Pavilions are open to the public from
9.30am to 8.30pm.The Steggles Poultry
Pavilion and Sheep Pavilion close at 7pm.
•• It is a condition of your Sydney Royal
Easter Show Licence that your stand be
staffed at all times during the operational
hours of the pavilion
•• The RAS, acting reasonably, may at its final
discretion change operating hours without
incurring any liability to the exhibitor
Operational Services
Site services such as electrical, water,
waste and gas are an additional cost
to the Licence fee. Details of costs
associated with service connection and
usage can be provided upon request by

Access and Parking
•• All exhibitors are allocated ONE delivery
pass for the period of the Show.Additional
passes can be purchased
•• There is no parking on the Showground
site for Licensees during the Show
•• Parking within the Sydney Olympic Park
precinct is limited. Patrons and exhibitors
are encouraged to use the extensive
public transport system operating during
the Show period

successful, you will receive a Letter of Offer
which you must return with the required
deposit within 14 days of issue.You will
then be issued with a Sydney Royal Easter
Show Licence.
Assessment Criteria
The RAS uses the following criteria to
select commercial exhibits for the Show.
Your application should be based on the

Your product or service should comprise
the following:
•• Fit within the concept theme of the
pavilion or area you are applying for
•• Be of interest to Show visitors
•• Be of a high standard and represent
value for money for Show visitors
•• Complement other exhibitors in the
pavilion and at the Show
•• Be in line with relevant industry guidelines
and legislations
2. Stand Design and Appeal
•• Is the stand design functional and
practical to the public?
•• Is the stand themed?
•• Is the stand educational and informative?
•• Is it interactive?
•• Does it provide the visitor with an
experience not readily available at every
stand?
3. Past Performance
The RAS recognises past performance
at previous Shows.When considering
previous exhibits, preference will be
given to those applicants who have fully
complied with the terms and conditions
of their Sydney Royal Easter Show Licence
and who meet the above mentioned
Assessment Criteria.
4. Credit History
You will be assessed on your credit history
with the RAS.

will be entered into in respect to

Payment
If payment is not received by the
due date or within fourteen days
of the Licence issue date, the
Show Licence may at any time
thereafter be cancelled by notice
in writing by the RAS to such an
exhibitor. In such an event all rental
previously paid shall be forfeited
and the exhibitor shall have no
claim under the Show Licence,
but such cancellation shall not
prejudice any antecedent rights
or claims by the RAS against such
an exhibitor.

•• Sign a Licence Agreement with
the RAS and adhere to the terms
and conditions contained in this
Licence and the 2014 Sydney
Royal Easter Show Event Manual
•• Comply at all times with the
provisions of the Work Health
and Safety Legislation and fire
regulations
•• Have proper workers
compensation insurance, have
paid all workers compensation
premiums associated with the
work performed, checked that
their subcontractors are classified
in the correct industry, have
declared an appropriate amount
of wages for their insurance cover
and have signed a statement
that all workers compensation
premiums applicable for that work
have been paid
•• Operate within their Licensed
space at all times and are not
permitted to encroach on space
outside the Licensed area
•• Ensure their stand is staffed for the
operational hours of each of the
14 days of the Show
•• Obtain written permission from the
RAS to distribute promotional bags
from their stand
•• Submit promotional bags
and proposed contents for
inspection.The bag and its
contents must meet all state and
Federal Statutory Regulations
and Guidelines as applied to
Showbags
•• Ensure the contents of a
promotional bag are directly
related to the products the
exhibitor is marketing from their
stand
Exhibitors Must Not
Undertake Any Of The
Following Actions:
•• Sublet, assign or grant any Licence
or in any way part with, divide or
allocate any portion of space
allocated to them to any other
company, sole trader or third party
•• Use the term ‘Showbag’. Showbags
are only permitted to be sold by
tenured Showbag operators that
are Licensed to do so
•• Pack the contents of the
promotional bag onsite
•• Distribute or display any circulars,
advertising, or photographic
matter relating to any other
company, sole trader or third party
without written consent from the
RAS
•• Distribute any handbills, printed
matter or any other material for
their company or business from
any location on the Showground
except from within the boundaries
of their own stand(s)
•• Give away stickers of any
description
•• Sell or promote any ‘bingo’, instant
money or similar type of ticket at
any time
•• Have fundraising coin collection
tins on their stand
•• Give away or sell inflated balloons
unless Licensed to do so
•• Sell or promote any product/
service, which has not been
approved by the RAS under the
definition of Permitted Use in the
Licence
•• Increase prices during the Show
period
•• Promote goods, services or
products through misleading
advertising
•• Act unethically or unseemly
towards patrons, other exhibitors
or RAS staff
Please Note The
Following:
•• Failure to comply with these
conditions may result in stand
closure and future exclusion from
exhibiting at the Show
•• The RAS accepts no liability for
any damage to exhibits caused
by loss due to fire, acts of terrorism
or vandalism, water, theft, storms,
strikes, riots or any other cause
whatsoever. Exhibitors are
responsible for their own security
and insurance
•• RAS security arrangements do not
extend to include the surveillance
of the exhibitors’ stands
•• All exhibitors are responsible for
insuring their own goods
•• All exhibitors are responsible
for any personal accident to
themselves, their employees,
contractors or agents whilst on the
Showground
•• All exhibitors must indemnify
the RAS in respect to any claim
made against the RAS in respect
to their activities at the Sydney
Showground
•• All exhibits and temporary
structures at the Showground must
be erected in compliance with
Federal Disability discrimination
Act (DDA) the NSW Anti-
Discrimination Act (ADA) and
the relevant Australian Standards
including AS 1428. Disabled
Access requirements include
compliant ramps, counter height
and full accessibility to the space
•• All erected structures two stories
or more, temporary seating,
structures, tents or fencing,
platforms and stages of any kind
must be inspected and certified
by a structural engineer prior to
occupation with documentation
received by the Exhibitions Team
prior to opening of the Show
Privacy Act Statement
The RAS uses the information
provided by you pursuant to
this Expression of Interest for the
primary purpose of processing,
assessing and determining
the occupancy of space at
Sydney Showground for the
Sydney Royal Easter Show.Any
information given pursuant to
the documents lodged could be
deemed personal information and
accordingly is governed by the
Privacy Legislation.Any information
lodged with the RAS will remain
confidential at all times except for
disclosure which you may have
consented to or which is otherwise
required by law.We may pass your
information onto any Operational
Service Providers or such other
persons the RAS deems helpful in
enabling the successful applicant
to adhere to the Sydney Royal
Easter Show Licence and perform
the Permitted Use.You may request
access to your information and
request that it be corrected at
any time. If you wish to correct or
request access to your information
or elect to stop this information
being passed on as stated above,
