1. Introduction
Biztech Consultancy provides an effective solution in the form of SugarCRM based Plugin which is
helpful for entrepreneurs to conduct surveys.
Know your customers better by sending them a Survey questionnaire with several important questions;
answer to which can affect your business strategies. Let your customers tell their preferences and an
honest feedback about your services.
2. Benefits of Survey Rocket

have developed the “Survey Rocket” Plugin to collect and store the valuable feedbacks of your
customers.
 Customer satisfaction is the key to success. Survey Rocket helps you to bridge the gap between
businesses and customers. It allows you to sneak into the hearts of your customers.
 Get to know the value of your products/services and the improvements required if any.
 Feedback could be helpful from marketing and sales point of view.
 Create eye catching surveys with industry specific themes and prebuilt questionnaires which the
customers will tend to fill up.
 The survey questionnaires can have different answer types.
 Generate various type of reports based on different statistics.
3. Prerequisites
Following points must be followed before starting Installation.
 You should login as an Administrator in SugarCRM.
 Check that your SugarCRM Instance is compatible for Survey Rocket.
 You must have a valid License Key Provided by Biztech Store.
 If you are installing Survey Rocket then make sure there should not be any older
version of Survey Rocket Plug-in already installed on SugarCRM. If there is any then
you will have to uninstall that plug-in first.
 Make sure that cron must be configured for the scheduler Jobs.
 Outbound email must be set for the SugarCRM system. Survey Emails uses the
SugarCRM Outbound Email Account.
Note: If you are already using survey rocket and upgrading to a newer version, then you need to put
your SuiteCRM system under maintenance mode (To avoid survey submission entries). Once the
upgradation is complete you can exit the maintenance mode.

4. Installation & Configuration
Installation Steps
Step 1: To start with the installation, Log-in as Administrator into SugarCRM. Go to the
Administration page and click on “Module Loader” to install the package.
Step 2: Browse the zip file and click on “Upload” button under Module Loader screen. After
uploading package, click on the “Install” button to install the package.
Step 3: Click on “Commit” button to finish the installation. After successful installation, you can
see “Survey Rocket” Plug-in in Installed plug-in list on Module Loader page.
Step 4: Now, You need to repair your SugarCRM Instance. For that go to Administration page
and click on “Repair” link, then click on “Quick Repair and Rebuild” link.

Plug-in Configuration
Step1: Get an activation key
Get the activation key from the Order Confirmation Mail. OR
Login to your Biztech Store account then go to Downloadable options and copy the activation
key for the Survey Rocket plug-in.
Step2: Activate your plug-in
After successful package installation, you need to validate your license and activate your Survey
Rocket from Survey Rocket Configuration panel.
Log-in to your SugarCRM as admin and go to Administrator Page. You can see the “Survey
Rocket Configuration” section on this page.
Now, click on Survey Rocket License Configuration link, this will re-direct you to License
Configuration tab.
Enter License activation key for the Survey Rocket plug-in provided by Biztech Store. Validate
your license by pressing the “Validate” button.
After successful license validation, you can enable this plug-in by selecting Enable option from
the selection list and save this setting. Now, your Survey Rocket plug-in is activated.

5. Design a Survey
User can design a new survey form in two ways.
You can choose to:
 Design a Survey Template and use it to create multiple Surveys.
 Build a New Survey from Scratch
Creating Survey Template:
One of the most common methods of a Survey Template creation is via the "Create Survey
Template" option in the Survey Template module tab. This opens up the edit view layout which
allows you to set Survey form with different Survey Questions with pagination.
Use the following steps to create a Survey Template via the Survey Template module:
1. Navigate to Survey Template module and select "Create Survey Template”.

2. Adding and Editing Questions in the survey form.
The first step to building your survey is adding questions to your survey page. When you
add a question to your survey, review the Answer Type options and settings to fine tune
each one to meet your needs.
Survey Rocket provides various answer types for Survey form.

Description
Multi Select List
Ask your respondent to choose one answer (or multiple
answers) from your list of answer choices.
Dropdown List
Provide a dropdown list of answer choices for respondents
to choose from. Use the dropdown question when you
need to ask a multiple choice, single answer question but
want to save space.
Rating
Use a Rating Answer type if you want respondents to
evaluate something based on your question.
Textbox
Add a single textbox to your survey when you want
respondents to write in a short text or numerical answer to
your question. Also allows setting data type like integer,
floating, charring limit.
Comment Textbox
Use the comment or essay box to collect open-ended,
written feedback from respondents.
Contact Information
This is the collection of multiple short text or numerical
answers with a single question. Use this question type to
collect a respondent's relevant contact information,
including name, address, email, and phone number.
Radio Button
Provides a Radio button list of answer choices for
respondents to choose from.
Checkbox
Ask your respondent to select one or multiple answers
from your checkbox list of answer choices.
Scale This a single-row rating scale which allows evaluation based

on weight. A Rating Scale question, commonly known as a
Likert Scale, is a variation of the Matrix question where you
can assign weights to each answer choice.
Matrix/Grid
This is a multi-row checkbox or radio button field. You can
set the matrix question to collect multiple answers or only
one answer per row. You also have the option to turn the
matrix question into a rating scale when you want to assign
weights to respondents' answers.
Date/Time Ask respondents to enter a specific date and/or time.
Image
Insert an image into your survey by uploading an image file
or specifying the URL of an image on the web.
Video
Insert a video into your survey by specifying the URL of a
video on the web.

3. To add a question to a page, just Drag & Drop that question type to the survey page.
Advanced Options includes question type settings and validations. You can also add
Help tips for each Survey Question. Help Tips are text you can set to help guide
respondents during the survey. For example, if you think you may need to clarify a term
used in a question, you can use a tip to clarify the term.
Survey Rocket provides you to make any question mandatory for respondents during
survey. You can see “Is required” check box in Advanced Option on create survey page.
You can edit questions at any time, but editing limitations apply once the survey has
been sent to targeted audience.
4. Once the necessary information is entered, click "Save". It will redirect you to Survey
Template Detail View.
5. Once you save a survey template you will be able to create multiple surveys using that
template. In Survey Template Detail View, you will see a Drop down arrow besides the
Edit button at top left corner. By selecting “Create Survey” Option from the list you can
create a survey using that template.
Build a New Survey form:
1. Click on the ‘Create Survey’ button to build a new survey form.
2. Here you need to fill up the necessary details required for the survey

3. You can upload the logo of your company.
4. You need to mention the Title of the Survey, Start & End Date, which are compulsory
fields. A brief description on the survey can be added.

5. You can also choose an attractive theme that suits your business requirements from the
options provided.
Enable Scoring:
Scoring feature can be enabled for four questions viz. Checkbox, Dropdown list, Radio
Button and Multi Select List.
1. To enable scoring while creating survey, check the “Enable Scoring” checkbox. This will
enable box to enter scores besides the answer choices.
2. Enter score for each answer choice
Applying Skip Logic
Skip Logic feature allows you to customize your survey for each respondent by applying logic to
the answer choices. Based on the respondent’s answer a branching logic is created as per the
conditions defined by you.
1. To apply skip logic you need to create the survey first and save it. Then click on “Edit”
button, which will enable the “Logic” tab.
2. Click on the “Logic” tab to set the logic for a question

3. To redirect a respondent to a later page in survey select “Redirect To Page” option from
the dropdown and then select the Page on which the redirection must occur
4. To redirect a respondent to the end of survey select “End of Survey” option from the
dropdown.
5. To redirect a respondent to an external URL select “Redirect To URL” option from the
dropdown and then mention the URL on which the redirection must occur
6. To hide questions and show them during survey based on the responses select
“Show/hide Questions” option from the dropdown and then select the questions.
These questions will be hidden during survey and will be shown only when the
respondent chooses the option on which the logic is applied.
You can only apply “Show/hide Questions” logic for questions which comes after the
current question.
Survey Detail View:
In this view you can see the detail view of created survey. In following image you can see
‘ANALYSE SURVEY’ and ‘PREVIEW SURVEY’ options in the drop down besides Edit button in
the top left corner.
1. To view survey report, click on ‘ANALYSE SURVEY’ button.

2. To view the preview of created survey click on ‘PREVIEW SURVEY’ button.

Create an email Template:
1. To create an email template click on “Create Email Template” from the Emails tab.
2. Enter the name of Template which is a required field marked with red asterisk.
3. Mention the type (campaign or email) and to whom the task is assigned to.
4. You can give a brief Description of the Survey.
5. Select a survey and module (Accounts, Contacts, Users, Leads and Targets) from the
drop down list and click on “Insert Survey Link” Button which will automatically
insert the survey link inside the body of email.
6. Enter the Subject of email and content describing about the survey.
7. You can edit the font, for which all the editing options are provided. You can choose
the “Send Text Only” option as well.
8. Click on “Save” button to save the template.
Send Survey:
1. Select a module from which you wish to send the Survey.
2. Select the list of persons to whom you wish to send the survey.

3. Click on the drop down arrow to choose an action from the list.
4. When you click on “Send Survey” option from the list, a pop up window will appear
from which you can select an existing survey or create a new survey.
5. When you click on “Select Existing Survey” button a list of existing survey’s will appear.
6. Click on “Send” button to Quickly send that survey
7. You can schedule the survey to send it later as well.
8. Click on “Send Later” Button to set the schedule. Select the date and time you wish to
send the survey and click on “Schedule” button. The Survey will be scheduled
accordingly.

Survey Sent Summary:
1. After the survey is sent, a popup appears displaying the “Mail Status Details”
2. It displays the survey sent summary.

Survey Automation:
Send surveys automatically on the basis of workflow. Create a workflow to send surveys
based on certain conditions that you set. Set Actions to determine to whom the survey
should be sent.
1. To create a survey automation workflow, navigate to “Survey Automation” module and
click on “Create”.
2. Enter a name for survey automation workflow, select an option from the dropdown to
mention when the execution must occur, select a target module for the workflow and
then select the type of records on which the automation must trigger.
3. Click on “Save ” button to save the survey automation workflow

4. Now create conditions for the automation to trigger. When these conditions are met,
the survey will be automatically sent to the chosen respondents.
5. To create conditions click on “Create ” button
6. Select the parameters to set the conditions and click on “Save Condition” button.

7. Now set the actions to determine the recipients to whom the survey will be sent. Select
the recipients associated with either target or related module from the dropdown.
Select the related field for the chosen recipient type.
8. Select a survey from the dropdown and click on “Save Action” button.

View Survey Report:
Once a survey is sent, you can view various types of Reports based on that survey which
represents the status of the survey using charts and tables.
1. Status Report displays a pie-chart depicting the percentage of users who have
submitted the survey and those who haven’t.

2. Question wise report displays question summary report, it shows the list of each
question along with the percentage and count of the chosen answer. It also displays the
total number of responses.
For scoring enabled questions weight for each answer choice is also displayed along
with average score for the question based on the responses.

3. Individual Report displays the list of contacts to whom the survey was send. It displays
the type of module, status (submitted or not viewed); survey send date and survey
receive date
 A resend option is also available to resend the survey to a contact.
 You can sort the list according to modules or status.
 The results can be exported as an excel worksheet by clicking on the “Export Result”
button.
4. You can view the detailed individual report of a respondent by clicking on the
name of the respondent.
5. It displays a particular respondent’s complete set of answers.

6. FAQ
1. Is Survey Rocket like other online survey tools?
Ans: We would not want to compare Survey Rocket with any other online survey solution,
simply because only Survey Rocket is built for SugarCRM and others are not. If you have to
use any general online survey tool with SugarCRM you will not only have to purchase that
tool's subscription but also another third party integration solution, just to integrate the
survey tool with SugarCRM. As you can understand, this is not only costly and messy, but
also exposes your customer database to security risks. Even though the features are
comparable to any good survey tool, Survey Rocket is unique in its own way.
2. Can I create multiple surveys using the same survey template?
Ans: Yes, you can create multiple surveys using the same template. When you create a
survey using a template it gets saved as a separate survey in the survey module.
3. Can I resend a survey to a respondent?
Ans: Yes, you can resend the survey to a respondent from the Individual Report, where you
will find a resend button against all survey submissions. A respondent can also request to
attempt the survey again.
4. Can I make a question compulsory?
Ans: Yes, you can make a question compulsory by marking it as “Is required” from the
Advanced Options tab.
5. Can I send a reminder to attempt the survey?
Ans: Yes, you can send a reminder to your prospects who have not responded to the
survey.
6. Can the respondents' be redirected to any web page?
Ans: By default, the respondents are redirected to the Thank You page. You can edit the
Survey completion page from Advance Survey Configuration option for a survey to redirect
respondents to your own web page when they're done taking the survey.

7. Can I attend survey on behalf of my prospects?
Ans: Yes, you can attend survey on behalf of your prospects on a phone call. In the survey
submissions subpanel, an option to Attend Survey is provided using which you can attend the survey
on behalf of your prospects.
