Understanding the Focus-Chaos Scale
People fall on the graph of either right, the focus
masters, or left, the chaos masters, or center
which are the nomads.
Finding Your Personal Motivation for Change
If you had an extra 10 hours ask yourself what
you would do and this should be your motivation
that you can look back at to maintain your
motivation.
2. Obstacle to Productivity
Addressing the Myth of Multitasking.
When people think they are multitasking, they are
not, they are switchtasking because your
attention fully switches to whatever task you think
you are doing “at the same time.”
Understanding Consequences of Switchtasking
Switchtasking has three main consequences,
these being increased time of completion,
decrease of quality of work, and increase in
stress level.
Understanding the Principles of Productivity
The three principles of productivity include, work
space, mental focus, and time management.
3. Productivity Principle 1: Space
Gathering Points
Gathering points are locations where
unprocessed task such as emails todos or
assignments gather.
How to Manage Gathering Points
To manage gathering points you must
understand how many you have and and know
what is in them; doing this will allow you to
consolidate the tasks should they be in multiple
gathering points.
4. Productivity Principle 2: Mind
Selecting Mind Clearing Options
Having ways to clear unwanted new tasks that
need accomplished, write this down and place it
in one of the approved gathering points you may
have.
5. Productivity Principle 3: Time
Choosing the Right Calendar for You
The choice of paper or digital calendars can be
difficult but ideally digital calendars allow ease of
access, recoverable data, and fast.
Using Calendars Effectively
To get the most out of your calendar there are six
fundamentals that include, time budgeting,
double booking evasion, immediate appointment
input, buffer time scheduling, thinking of the
calendar as a commitment, and thinking long
term.
6. Gathering to the Inbox
Prepare to Gather
To gather you should gather things that are NOT
in the place they should be; so in other words
leave things that are in their place.
Gathering to your Inbox
When creating designated gathering points you
must be mindful to limit them, for if you have to
many this causes switches and switches cost
time, decrease quality of work, and increase
stress.
7. Understanding Processing
What is Processing
Processing is the act of determining what the
next course of action is to get you closer to the
completion of your task
Processing Questions
When processing you must ask yourself the three
questions of “What is the next step?”, “When will
it be done?”, and “Where is its home?”
Filing
Filing is such a simplistic form of a gathering
point that can easily help organization and space.
8. Processing Email
Applying What, When, and Where
Applying the What, When, and Where aspects to
email really allow you to focus on placing emails
into gathering points for email.
Email Filing
Using the three W questions will help you place
emails into files should they need to be saved for
whatever reason and this will allow you keep
your inbox number at zero.
9. Your Time Budgeter
Understanding “Work Time” and “You Time”
To understand the difference of the times you
must sit and think what time is work time,
meaning time spent working, think about work,
and traveling to work, and what time is you time,
meaning the time outside of the work time
boundaries.

Maintaining Your Productivity Gains
The goal of this course was to introduce the
principles of successful time management and
productivity and help you maintain and remember
these principles to ensure you do not fall
backwards but hopefully move forward more.
