This document describes a finance and back office solution for recruitment agencies provided by Quba Solutions. It allows agencies to input client, candidate, and assignment data which is then credit checked and insured. Payroll is typically run on Thursdays and Quba will pay it and manage it on the agency's behalf. Quba then charges a service fee and pays the agency's net margin. The solution handles all subsequent debt collection, reporting, and takes care of the processes and working capital required, freeing the agency to focus on recruitment.

What is the solution?
We provide a finance and back office solution for recruitment agencies. Our website
application allows agencies to add clients, candidates and assignments using its intuitive
architecture. This client data is credit checked and insured by a leading insurance provider to
ensure the security of all parties. Candidates are input and can be set up using all the usual
engagement types (PAYE, Umbrella and Limited Company) and then assignments are added
drawing together the appropriate client and candidate with pay and charge rates.
Once this is all complete the information is passed automatically to our pay and bill software
which includes full timesheet functionality minimising the time and hassle for the agency.
The payroll is typically run on Thursday and Quba will manage and pay this on your behalf, in
full. We can of course, be flexible regarding each individual agency’s preferred timetable.
Once the payroll and invoicing routines are run the standard reports showing gross profit,
analysed by client and/or consultant are provided. We charge our service fee and then pay
across to you your net margin.
All subsequent debt collection, RTI submissions etc we will either do for you or guide you
through depending on whose legal responsibility it is.
At no time do you have to worry about either the processes or working capital required.

2. The Product Options
Most agencies, particularly start up ones, are typically interested in the “Margin” Scheme. In
this scheme you have two options –
You can either be the principal (the bills are in your name and you assign the debt
immediately across to us on invoice) or
You can act as an agent of Quba Solutions where we produce the invoices. This is
particularly useful for agencies operating in construction who are unable to get a Gross
status for CIS purposes – as you can use Quba for this. It can also be useful if you want to
stay in the flat rate VAT scheme as the turnover is accounted for by
Quba and not the agency.
If at some point you wish to transfer across from one product to the other this can be arranged.
We can also provide the more traditional invoice discounting based service where a percentage
of the debt is released although this is generally not particularly appropriate to the recruitment
sector.
Whilst this is ideal for temporary recruiters we are happy to discuss this service for permanent
fees also.
