RE: Ms. Meredith Malloy
I am pleased to provide my VERY HIGHEST RECOMMENDATION of Ms. Meredith
Malloy, who is currently the Office Manager of our Department of Critical Care
Medicine. My detailed explanation follows, but quite simply, Ms. Malloy is the very best
Executive Assistant with whom I have worked.
I am an Associate Professor of Medicine in the Department of Medicine at the University
of Toronto, and Clinician Scientist in the Department of Critical Care Medicine at
Sunnybrook Health Sciences Centre. I have known Ms. Malloy since 2005, when she
joined our Department as an Administrative Assistant responsible for activities related to
research, education, and quality. She has since been promoted numerous times, and now
oversees all administrative activities for a very busy and productive academic medicine
group that includes 16 physicians specializing in Critical Care Medicine and more than
30 trainees, residents, and fellows.
In her current role, she supervises between 1 and 2 administrative assistants and is
ultimately responsible for providing all administrative support to our physician group.
These activities include oversight of call schedules; coordination and organization of
teaching schedules and call rosters; management and updating of physicians’ and
investigators’ CVs; appointment management for staff physicians; management of grants
and trust accounts; organization of travel for scientific meetings; preparation of annual
reports; scheduling and organization of educational activities; and all other administrative
needs of our department.
Between January 1 2010 and December 31 2014, I was the Program Director of the
University of Toronto Adult Critical Care Medicine Residency program. During this
time, Ms. Malloy was the most-responsible Executive Administrative Assistant tasked
with organizing the entire training program. I cannot stress enough how important her
contributions were to the success and overall functioning of this training program. The
administrative burden of running a residency program that is accredited by the Royal
College of Physicians and Surgeons of Canada is truly substantial. I fully depended on
Ms. Malloy to keep track of all training-related activities, ensure all residents’
appointments and files were up to date, and that all training forms and evaluations were
completed. The Critical Care Medicine Residency program at UofT underwent an

external review in 2013; Ms. Malloy skillfully ensured that a virtual mountain of
documentation was completed and available to ensure that the program continued to
receive full accreditation. The external reviewers specifically praised the excellent
organization of the program, which was largely attributable to Ms. Malloy.
Most importantly, Ms. Malloy is a highly professional, dependable, and much
appreciated colleague. She always gets the job done, and never needs to be reminded or
prompted. Her trademark response to any request for help is “Not a problem”. These
reassuring words are synonymous in our Department with “this job will be done,
correctly and efficiently”.
I hope that Ms. Malloy will stay with us for many years to come. But, should she find
another opportunity that might better suit her personal and professional goals, she has my
strongest support.
In summary, Ms. Malloy is the VERY BEST Executive Assistant that I have encountered
in my career, and I give her my VERY HIGHEST recommendation.
