ADMINISTRATOR DUTIES
A. EVERYDAY DUTIES
1. Hub or center of the church activities. It is like a hub of information
2. Dispatching announcements to all members in our mailing lists, updating them with latest
information. This includes all social media. This can be achieved by working hand in
hand with pastors and pmh in this.
3. The work involves writing ministry letters for the ministry
4. Paying rentals
5. Buying resources
6. Processing the ministry's payments from the various departments/sections of the ministry.
7. Filed and shelving all documentation.
B. TAKING CARE OF EMPLOYEES OF THE MINISTRY
1. Establishing policies and process their pay.
2. Supervising drivers, guard, and cleaner and pmh employees.
C. SERVICE AND EVENTS COORDINATION
1. Coordinate with organizers of all events and activities, making sure all is in order.
2. During services, manage registration team which takes the attendance register.
3. Taking note of the new members and then consolidate the attendance and then forward
to Head of New Comers Shepherd……Nancy Chibaya with 36 hours after the service
4. Coordinate with all departments making sure they have everything they need.
5. Responsible for availability of water and juice for pastors, internet for streaming,
envelopes for giving with help of Protocol and Pastors welfare team
D. FINANCES….which is the main area in this job
1. Forward all requisitions sent to this office from the various departments for approval
to Finance Directors, the Branch Chairperson if amount is less than K100,000 and to
the Resident Pastor if the equal to or more than K100,000.
2. Process the payments after approval which may be done through emails or paper
work
3. Compiling a list of expenses and inflow for the ministry and send a monthly report to
the Directors of Finance.
4. Checking balances and inform Finance section every Monday for their information
when making payment priority through a WhatsApp group with the directors of
Finance and the LC Chair in which most in-house communications take place.
5. After the services, keep the offering and bank it the following day. (For Sunday
Services the Director should keep the money and give Administrator on Monday
morning to record and bank it.
E. PASTOR’S HOUSE
1. Performing assigned duties as it deems needful for that day.
2. Writing communication on his behalf
3. Calling people on his behalf
4. Supervising people or something on his behalf
5. Making sure Pastor’s office is well furnished and cleaned.
DELEGATION
Most of the work done in this office, need more delegation, make sure you restrict yourself from
making more movements.
