The advantages of AEC
• Auditors define and test data extracts in a certified SAP transaction
without disturbing SAP CC and system administrators
• File size of extracts can be validated before start by the system
administrator
• Zero risk of system failure and shutdown
• System provides small files on demand (in seconds), and manages
larger files automatically after validation by system administrators if
needed
• Regardless of the SAP database and operating systems, files are made
available in a storage directory (where auditing software can access
them)

New features - highlights
AEC now has the functionality to clean the data of unwanted/special characters during the extraction process
allowing an error free import into audit tools.
Sometimes batch upload of data or copy and paste can lead to unwanted characters being introduced into
data, for instance a horizontal tab character can cause problems when the extracted data is imported into audit
tools since this character is used as a field separator in the .ais format.
You can add your own definitions and activate or deactivate the needed lines.

 To limit the visibility of data for users in
international groups and with many companies in
a single SAP client
 Manage external auditor access to specific data in
the case of a tax control

• You can choose whether to use SAP standard authorization objects, customer defined authorization
objects, or TJC delivered ones. We would recommend using the TJC objects to create AEC specific
authorizations rather than modifying existing standard authorizations.
• If ‘System closed’ is not marked, all tables can be extracted, if an authorization check is marked as active
then this authorization is checked if the field is present in the extract.
• If ‘System closed’ is marked, only tables listed in the ‘Maintain permitted tables’ can be extracted. If an
authorization check is marked as active then this authorization is checked if the field is present in the
extract and the table is maintained as accessible.
• ‘Maintain emergency exceptions’ allows free access to extract any table for defined users during a limited
period e.g. in case of tax control.
• ‘Maintain permitted tables’ allows administrators to manage a list of tables which can be extracted by AEC
– if a table doesn’t appear in the list and the system is set as closed, AEC will not allow an extract to be
created and will only show previously defined extracts meeting the new criteria.

New Features
• Replace characters such as ‘tab’ by a defined character
• MD5/SHA1/SHA2 checksums can be calculated for all extract files
• Data masking of specific fields is possible
• User’s pc can be used as final storage destination if user has specific strict authorizations
• Windows path can be used as final storage destination
• AEC can automatically select archive files to be used in an extract depending on the selection
criteria
• More flexibility in selects definitions
• Improved performance for complicated selects such as large numbers of disjointed document
numbers

• Define file split for large files (base on line numbers or file size)
• Create separate header file (with file content definition)
• Choose extract format (SAP AIS is the main format, csv and other formats are available)

  • 8. New features - highlights AEC now has the functionality to clean the data of unwanted/special characters during the extraction process allowing an error free import into audit tools. Sometimes batch upload of data or copy and paste can lead to unwanted characters being introduced into data, for instance a horizontal tab character can cause problems when the extracted data is imported into audit tools since this character is used as a field separator in the .ais format. The objectives are:  To limit the visibility of data for users in international groups and with many companies in a single SAP client  Manage external auditor access to specific data in the case of a tax control

All rights reserved. www.tjc-group.com 10 • You can choose whether to use SAP standard authorization objects, customer defined authorization objects, or TJC delivered ones. We would recommend using the TJC objects to create AEC specific authorizations rather than modifying existing standard authorizations. • If ‘System closed’ is not marked, all tables can be extracted, if an authorization check is marked as active then this authorization is checked if the field is present in the extract. • If ‘System closed’ is marked, only tables listed in the ‘Maintain permitted tables’ can be extracted. If an authorization check is marked as active then this authorization is checked if the field is present in the extract and the table is maintained as accessible. • ‘Maintain emergency exceptions’ allows free access to extract any table for defined users during a limited period e.g. in case of tax control. • ‘Maintain permitted tables’ allows administrators to manage a list of tables which can be extracted by AEC – if a table doesn’t appear in the list and the system is set as closed, AEC will not allow an extract to be created and will only show previously defined extracts meeting the new criteria.
