18. CHAPTER TWO
APPRENTICESHIP REPORT
2.1. Introduction of the General Affairs Department
During my apprenticeship, working in Dong Jin Textile Vina Co., ltd, I
have been appointed to the position of staff of General Affairs Department.
There were four people in my department including my General Affairs
Manager, his secretary, Human Resource Staff, Procurement Staff. All of the
people in my office are managed by the Admin Manager. I started working hour
at 7:30 Am and leave at 16:30. My department has two main duties such as:
- General Affairs
o Internal affairs: control purchase order, supply things for labor,
manage general affairs, manage human resources works, make plans,
organize meeting, survey, control C.R team (to work on heath care,
safety at work, attitude at work, people behavior, environment), report
and document.
o Foreign affairs: To keep contact with local state offices such as:
Department of Labor, Police stations, Department of Environment,
Dong Nai industrial Zone Authority, Center II, Center III and keep
contact with suppliers such as Loteco, water supplier, meal supplier,
material suppliers, service suppliers.
- Human Resources:
The staff are responsible for recruitment and interview workers, training by
collecting and update information for training course and making training
plans for all staff, daily working time record, salary affairs preparation
against payroll sheet, social insurance, heath insurance and unemployment
18
19. insurance, personnel files control, labor contract issuing and control, health -
care for workers, S.H.A.P.E operation (Safety, Health, Attitude, People,
Environment), company rules and policies composing, prepare and control
leave form and attendance of staff, receive comments or requests from staff
and report to HR Manager.
Typically, officers perform administrative
tasks to ensure that their staffs can work
efficiently. Equipment and machinery used
in their departments must be in good
working order. If the computer system goes
down or a fax machine malfunctions, the
officers must try to correct the problem or
alert repair personnel. They also request new
equipment or supplies for their department
when necessary.
Planning the work and supervising the staff
are key functions of this section. To do these
effectively, the supervisor must know the
strengths and weaknesses of each member of
the staff, as well as the results required from
and time allotted to each job. Officers must
make allowances for unexpected staff
absences and other disruptions by adjusting
assignments or performing the work
themselves if the situation requires it.
Officers help train new employees in
organization and office procedures. They
may teach new employees how to use the
telephone system and operate office
19
20. equipment. Because most administrative
support work is computerized, they also
must teach new employees to use the
organization’s computer system. When new
office equipment or updated computer
software is introduced, officer’s train
experienced employees to use it efficiently
or, if this is not possible, arrange for their
employees to receive special outside
training.
General affairs officers often act as liaisons
between the administrative support staff and
the professional, technical, and managerial
staff. This may involve implementing new
company policies or restructuring the
workflow in the departments. They also
must keep their superiors informed of their
progress and any potential problems. Often,
this communication takes the form of
research projects and progress reports.
Because officers and managers have access
to information such as their department’s
performance records, they may compile and
present these data for use in planning or
designing new policies.
2.2. Knowledge and skills gained from
apprenticeship
In fact, when I worked as a staff and an
assistant for General Affair Manager, I had
20
21. many difficulties in my work, so I tried my
best and with the manager’s help, I could
overcome obstacles and I had done well.
All of the works which I did at Dong Jin company, I learned a lot
experience and I also gained the precious knowledge in business involve in soft
skills and professional working way.
2.3. Report on professional apprenticeship
During my apprenticeship at Dong Jin Company, I was assigned as a staff
in General Affair Department. The first time I went to work at the company, I
felt nervous because of my assigned task. Everything was strange. It took me two
weeks to get acquainted with my new co-workers in the. Every people there were
very friendly, helpful and enthusiastic, so I gradually get used to the new place
and new people.
First, the manager asked me to read and study the general affair
department’s requirement for five days. I felt very tired and stressed but I tried
and complete this task.
Next, he told me that I should follow the other staffs to listen and get
acquainted with the ways of dealing with related documents in the department.
This task was a little more interesting. I felt eager to listen and I took notes. I
spent three weeks to fulfill this task. Three weeks had lasted, I was asked to
report everything I had done and learned from the other staffs. I recognized that
everything was great and I got a lot of precious experiences for my future jobs.
Beside that, I was also being an assistant for the manager. This job was
difficult for me to do because of its challenges and difficulties. With the role of
the assistant position, my duty must prepare documents as well as make plan for
the manager carefully for the meetings in company and the meetings with foreign
21
22. customers. Moreover, I played a translator some economic contracts and letters
from Vietnamese into English and all of documents that related to English.
2.3. Assessment of the link between theory and practice
When I worked there, I could not only comprehensively apply what I had
learn from the University into practice but also learnt the way how to behave
well with my managers and my co-workers .
Moreover I could know rather clearly about the working process of
general affair department, I had many chances to study about receipts which
relate to export and import such as: customs declaration, commercial invoice,
packing list... Although I did not have chance to practice my english business
much, I had chance to study an other business field, and I studied more about
working and communication skills in office, finally I felt more confident for 6
months.
22
23. CHAPTER THREE
SELF EVALUATION ON APPRENTICESHIP WORK
3.1. Assessment of apprenticeship work
After six months working in Dong Jin Co., Ltd. I knew more clearly about
the working environment in a company in generally speaking and in the Dong Jin
in private speaking. I am very happy when I work in this environment. My
colleagues are friendly and kind. Especially my manager, he is very easy going,
and willing to help me.
There are many works in my company. For example, manage human
resource department, technical staffs, which also work play important role.
Besides, translator is no less than important. So I was also chosen as a translator
by general affair manager. There were so many documents which need to
translate from Vietnam to English and opposite. Major document which I
translated including email, version all of documents from company. Moreover, I
had to make plan for the meeting and conference for the manager and staffs in
the company. I also made working schedules for all staffs in my department
constructed by the manager, so on.
And to complete all these tasks, I had to learn a lot from experienced
officers in this department. I had to acknowledge the company’s policy for all
staffs and company’s regulation as well as I had a chance to study commercial
rules. From this work, I found many interesting new things that I can experiment
and discover. This job has taught me how to work professionally in a modern
working environment. I can also attain the patience and critical thinking during
the working time. In short, I can learn many new things and experience from this
job a lot.
23
24. 3.2. Assessment of Apprentice’s career choice
As a staff in General Affair Department, I realize that I still have many
things to update and improve the knowledge as well as hard skills and soft skills.
I also like this position; I think it rather appropriate with me although I still do
not have enough skills to apply this job. However, during the working time, I
seem to learned many things from everyone in the company, especially in my
department. They teach me how to organize the meeting, how to make a suitable
working plan for the staffs. In addition, I can learn the professional working ways
in a modern working environment and the way to solve difficult problems in
working.
3.3. Assessment of Relationship among individual in apprenticeship section
During the time I worked there, I found that my department has a very
close relationship with other departments. This is an advantage because good
relationship makes jobs well done and less time consuming. All departments are
willing to cooperate and support each other to get the best result. Besides, warm
atmosphere among departments help staffs enjoy working and reduce tiredness.
Moreover, I can make friend with new friend in this company. They help
me so much, give me many good advices. All of members in the company are so
kind to me and each others.
Besides, I realized that my knowledge is very narrow, I should learn more
and more. To be honest, I am very happy to be work at Dong Jin Company. I
hope that with the continuous efforts, Dong Jin will be more develop and
powerful in business.
3.4. Assessment of Company’s regulation
When working in Dong Jin company, I found that everyone in the
company highly pay attention to safety at work. There are many security guards
working inside and outside the office, so the staff never has to worry about their
24
25. safety. Beside that, my office also cares much about the surrounding
environment. All wastes are collected to a certain separated place before being
solved. To protect environment, my office has planted many trees around the
building, which makes the air always fresh and make the scene beautiful, green
with flowers.
3.5. Assessment of Apprenticeship results
Working in a company for 6 months can not be said that it is too long or
too short. The important thing I can learn what company’s form is. Because of
limitation of the time, I can not report completely information of my daily job. If
I have any mistakes in my report, I hope that all of teachers of LHU to give me
some good advice in order that my reports become better.
I’m not confident and my knowledge is limited, I just studied about foreign
trade skills basically, so I do not have enough ability to understand all of works
which related to general affair major. It is very difficult for me to understand
about term definition clearly.
After working at General Affair Department, I found that apprenticeship is
a good chance for graduating students to get acquaintance with their job. Real
working environment is much different from what we studied in university. It
requires many skills and students must adapt well. Therefore, the English
department should pay more attention to training necessary skills for students.
Moreover, students should also prepare themselves deep academic knowledge
and skills required like soft skills in order to find good jobs after their graduation.
Secondly, if a person has a good relationship with others and know how to
work in group, he is easy to finish his duties. I am very lucky to work with my
helpful and friendly colleagues. They are very willing to help me in my work as
well as in this report. Furthermore, I have a good director, he is very sympathetic
to give me change to work at the company and give me good condition to finish
25
26. the report. To sum up, the time apprenticeship is the time I can learn a lot
precious experience and improve my knowledge.
26
27. CONCLUSION
Working as a staff in General Affair Department, I must work in a modern
working environment with foreigners, so I have to use much English daily in
communication and that is the best way for me to develop my English skill. I had
many chances to contact with foreigners such as Korean and sometimes,
American, Philippines people. Therefore, I can hear and catch many types of
accents and different ways of pronunciation. It gives me more experience and
confidence in getting in touch with strange people who use English. Additionally,
I can establish more relationships with my clients and suppliers by
communication in English. It helps me discovering interesting things from them.
I also learn more from their culture, habit, and way of thinking, lifestyle, their
view points and how to solve a complicated problem. The more time I work the
more experience I learn.
The company is a good environment for me to study and widen
knowledge. Most of people in Dong Jin Textile Vina are friendly and
enthusiastic. Being a manager, I can apply all my knowledge in practical job.
Moreover, I also got used pressure of my job that will help me have more
experience, more flexible mind.
Dong Jin Textile Vina has developed incessantly in the recent years due to
the attempt from the management board and all employees in the company.
Taking care the life of the employees and reforming the working environment
from the management board are the main motivations to employees to try their
best to work.
During working time, I have a good condition to put some of the theory
learned on my courses into practice and I have some good working knowledge of
business. I understand that studying and working are different. I think that I am a
lucky person when I worked in this company. My director and colleague are very
kind. They help me a lot whenever I have troubles.

30. RECOMMENDATION
Affection from learning English in Lac Hong University and using
English in real life:
In my opinion, Lac Hong University is running an appropriate training
program for students of English faculty. Teachers here are correct when they
teach us skills to use English especially speaking, pronunciation and writing.
Each skill can bring students – future workers a good communicative skill with
foreigners by talk, by saying and by writing. The first thing that student must
spend before they get chance to work in a foreign company is to speak to a
foreigner. If they fail in communication, both will not have good understanding
and so, no cooperation between them. Another important thing is about
pronunciation, I think if a student is not well trained with this skill, he (or she)
will have much difficult in communication because a wrong pronunciation will
lead to a failure in understanding. As a result, they must spend more time for
explanation, or using body language for their talk. The last thing is about writing.
A foreign company requires people to use English in written at least 50% of
papers. So, if student are not well equipped with good writing skill, it can be a
disaster. Before learning English in LHU, I used English carelessly, but, now,
when I am here typing this report, I deeply think that English must be respected
as our mother tongue because it helps us getting knowledge and touching the
world around us via letters, newspapers, magazines, and internet.
The Foreign Language Department of Lac Hong University should
improve more training program to increase speaking, listening, writing, reading
which are more closely with the real life (for example: business writing is not
only good for students but for experienced people in writing an application, a
business letter, report, and mail as well).
