BACKGROUND
Sunder Saree Centre is a market leader in textile trading, and its wholesale set up
Sunder Saree Centre & Sunder Lehenga and Saree is the flagship firm of the group
serving thousands of retailers belonging to, Bairagarh, Madhya Pradesh, and covering all
major cities of Madhya Pradesh
As Bairagarh's largest textile wholesale player, Sunder Saree Centre accounts for
a major chunk of the market share with its sales and marketing network covering more
than 3000 retail customers in 187 towns and cities.
Through its subsidiaries, the company is engaged in brand development,
outsourcing, manufacturing, agency business and other trading operations. The
organisation also puts efforts in educating the small retailers and traders by a quarterly
news bulletin- Navuday, events like textile business forum, training workshop like Disha
and other motivating activities at regular intervals.
Sunder Saree Centre mainly deals in all kinds of saree wholesale & readymade
covering Sarees, Suiting, Shirting, Dhoti, Bed sheet, Blanket, Sofa Cover, Curtain and
other Cloth materials for different purposes and uses. It includes all major leading brands
of the country.
On 01st Novenmber 2015 the Sunder Saree Centre held the grand opening of its
new and wholesale premise Sunder Lehenga and Sarees. The Sunder Saree Centre
has been always recognised for addressing its customers needs.. This premise will offer a
bigger range of all the products to its customers. Sunder Saree Centre offers a lot of
additional facilities to its customers. A lot of customers come from nearby areas of
Madhya Pradesh and for them it is more convenient to approach as they do not have to go
through the hassle of city traffic. It will also offer complete parking facility to the
customers. Transportation facility for both men and merchandise is offered. Moreover,
accommodation facility within the premise is available for both customers and staff. The
opening of the store was done by Mr. Suresh & Management Director Mr. Rohit.
DISTRIBUTION CHANNEL
SUNDER SAREE CENTER is the AGENT cum DISTRIBUTOR in the overall
distribution channel and it acts as the mediator between the manufacturer and the
various retail outlets located in the areas of its agency line. The positive difference
between the cost at which the products are bought from the manufacturer and the
selling price at which they are sold to the retail dealers is the main objective of the
business. The key areas for its day to day operations are-
1.OFFICE: At the office level various administrative tasks are carried out like
making data entry of all the vouchers, making orders to the company at Mumbai,
keeping a track of all the dispatches or timely distribution of the products sold,
keeping a track record that all the purchases, sales, voucher entry transactions are
being recorded simultaneously with the occurrence of the actual transactions.

2.WAREHOUSE/GODOWN: Another place of importance for carrying out the
ground level operations is the warehouse where all the stock/inventory ordered
from the manufacturing firm is unloaded and according to the respective orders of
the various retailers dealers the stock is sent to them through the efficient transport
services for speedy delivery of goods and thus increasing the credibility of the
organization.
3.BUSINESSTOURS:In this task of operations various samples are carried to the
retail outlets present at different locations and they are shown in person with their
price list and then the order is given by the retail dealers. The distributor then
transfers the order to its centre of operations-BHOPAL from where the further
processing of the order takes place.
These business tours are carried out on a monthly basis and each state with its
respective towns and each dealer is covered monthly. This task is performed by the
proprietor and the commission agent.
4.STOCK MAINTAINENCE:I n this task the stock purchased, inventories and
the stock sold are maintained in a regular manner in the database management
system of the organization i.e. Profile 1.3.The proper stock maintenance helps in
placing timely order from the manufacturer to give timely delivery to the retail
dealer and thus increases the credibility of the organization.
5.MAINTENANCE OF ACCOUNTS: Another important function of every
registered organization is the maintenance of its accounts for proper filing of
income tax returns.SUNDER SAREE CENTER also has an Accounts Head
Mr.Ujjwal who carries out this task on a monthly basis after going through the trial
balances,ledger accounts,income and expenditure statements and balance sheet
which are maintained regularly in MS Excel.
ACADEMIC ELIGIBILITY,TRAINING AND
OTHER REQUIREMENTS
 BASIC ACCOUNTING KNOWLEDGE
1. TRIAL BALANCE
 The preparation of trial balance and its basics were taught to us in the FIRST
SEMESTER during the course of FINAL ACCOUNTS.
 I could apply this knowledge conducively while doing the data entry of the
daily financial transactions of the organization while preparing the trial balance
of SUNDER SAREE CENTER
 A trial balance is a list of all the general ledger accounts (both revenue and
capital) contained in the ledger of a business. This list contains the name of
each nominal ledger account and the value of that nominal ledger balance.
 Each nominal ledger account holds either a debit balance or a credit balance.
The debit balance values will be listed in the debit column of the trial balance
and the credit value balance will be listed in the credit column.
 The trading profit and loss statement and balance sheet and other financial
reports can then be produced using the ledger accounts listed on the trial
balance.
2. LEDGER
 The preparation of ledger accounts and their basics were taught to us in the
FIRST SEMESTER during the course of FINAL ACCOUNTS.
 I could apply this knowledge conducively while doing the data entry of the
daily financial transactions of the organization while preparing the various
ledger accounts of SUNDER SAREE CENTER IN MS Excel and
organisation’s indigeneous software PROFILE 1.3.
 A ledger is the principal book or computer file for recording and totaling
economic transactions measured in terms of a monetary unit of account by
account type, with debits and credits in separate columns and a beginning
monetary balance and ending monetary balance for each account.
 The general ledger holds all the financial information used to create the income
statement and balance sheet reports, and serves several main purposes in the
financial operation of the business.
3. PETTY CASH BOOK
 The preparation of petty cash book and their basics were taught to us in the
SECOND SEMESTER during the course of ACCOUNTS.
 I could apply this knowledge conducively while doing the data entry of the
daily small cash payments of the organization while preparing the various
accounts of SUNDER SAREE CENTER in MS Excel and organisation’s
indigeneous software PROFILE 1.3.
 A petty cash book is one in which all petty or small payments made
through petty cash fund are recorded systematically. Petty cashbook is
maintained by the petty cashier. Petty cash book can be maintained either in
a simple or in analytical way.
 Business performing a large number of petty transactions usually maintain a
separate petty cash book.
 Petty cash book supplies information regarding petty payments made on
different heads more easily and quickly.
 Petty cash book makes possible for making comparison of the petty
expenses between two periods and helps in controlling such petty expenses
more effectively.
4. PROFIT AND LOSS ACCOUNT
 The preparation of profit and loss accounts and their basic knowledge were
taught to us in the SECOND SEMESTER during the course of
ACCOUNTS.
 I could apply this knowledge conducively while doing the data entry of the
daily small cash payments of the organization while preparing the profit and
loss accounts of SUNDER SAREE CENTER in MS Excel and
organisation’s indigeneous software PROFILE 1.3.
 A profit and loss statement (P&L) is a financial statement that summarizes
the revenues, costs and expenses incurred during a specific period of time,
usually a fiscal quarter or year.
 These records provide information about a company's ability – or lack
thereof – to generate profit by increasing revenue, reducing costs, or both.
The P&L statement is also referred to as "statement of profit and loss",
"income statement."
5. BALANCE SHEET
 The preparation of balance sheet and its basic knowledge were taught to us
in the SECOND SEMESTER during the course of ACCOUNTS.
 I could apply this knowledge conducively while doing the data entry of the
daily small cash payments of the organization while preparing the profit and
loss accounts of SUNDER SAREE CENTER in MS Excel and
organisation’s indigeneous software PROFILE 1.3.
 The Balance Sheet is used for financial reporting and analysis as part of the
suite of financial statements.
 Financial statement analysis consists of applying analytical tools and
techniques to financial statements and other relevant data to obtain useful
information.
 Investors, creditors, and regulatory agencies generally focus their analysis of
financial statements on the company as a whole. Since they cannot request
special-purpose reports, external users must rely on the general purpose
financial statements that companies publish.
KNOWLEDGE OF COMPUTER
FEATURES: MSOFFICE AND DTP
1. MS EXCEL
 Microsoft Excel is perhaps the most important computer software
program used in the workplace today. That's why so many workers and
prospective employees are required to learn Excel in order to enter or remain
in the workplace.
 From the viewpoint of the employer, particularly those in the field of
information systems, the use of Excel as an end-user computing tool is
essential. Not only are many business professionals using Excel to perform
everyday functional tasks in the workplace, an increasing number of
employers rely on Excel for decision support.
 Through the training of computer practicals taught to us due to our
Specialisation subject Computers in every semester we cold practically grasp
the required computer skills needed for working in such a business
environment.
 Through the key learnings taught during MSExcel practical classes in the
Second Semester like: Preparing Tables,Editing Tables,Performing several
operations and calculations on the data entered for easy data entry and
avoiding time consuming calculations.
 While performing the task of data entry these skills could be aptly applied
during my job.
 Build great charts:Excel allows business users to unlock the potential of
their data, by using formulas across a grid of cells. Data is inserted into
individual cells in rows or columns, allowing it to be sorted and filtered, and
then displayed in a visual presentation. Using pie charts, graphs and
clustered columns adds meaning to data, which otherwise may just exist as
row after row of numbers. These visualisations can add extra emphasis to
business reports and persuasive marketing material.
 Use conditional formatting: Excel users can format their spreadsheets
using different colours, bolds and italics, to differentiate between columns
and bring the most important data to the fore. The vast number of tasks
that can be achieved using this tool is impressive, here are just a few:
Display simple icons which represent related data, Highlighting a row based
on a single value, Comparing values, Comparing lists and Finding
duplicates. Find out more about conditional formatting.
 Help identify trends: When presenting data in the form of charts or graphs,
it can be helpful to include average lines, which explicitly detail the key
trends emerging from the information. This may help demonstrate the key
points to other users in a straightforward manner - for instance, an executive
from a different department during a board meeting. Excel allows trend lines
to be extended beyond the graph, to offer predictions of future activity - and
such forecasts can help businesses develop their future strategy.
 Bring data together: Excel can be used to bring information from
various files and documents together, so that it exists in a single location.
As well as raw data and information from other spreadsheets, it is possible to
import text and images. Other objects can be added using the Insert tab, or
additional spreadsheets can be added to the file.
 Online access: Excel is available online as part of Microsoft's Office 365
productivity suite. This means business leaders and employees have access
to the program from a range of devices, from almost any location.
Providing they have a web-enabled PC, laptop, smartphone or tablet it
should be possible to access Excel, making remote and mobile working
viable.
2. MS Word
 Microsoft Word is perhaps the most important computer software
program used in the workplace today. That's why so many workers and
prospective employees are required to learn Excel in order to enter or remain
in the workplace.

 While performing the task of data entry these skills could be aptly applied
during my job.
 Nineteenth century business owners armed with manual typewriters created
business documents that took time to type. Today, you can use modern
computer programs, such as Microsoft Word, to help you create documents
and manage your business.
 Microsoft Word is an essential tool for any individual in today’s digital age.
Microsoft Word that is useful for both complex business requirements as
well as basic day-to-day purposes. Not only is Microsoft Word a flexible
tool that allows you to achieve many of your digital document needs, it is
also one of the most user- friendly applications from the Microsoft Office
suite.
 Using Word for Letters and Mailings :
Businesses typically use Word to manage their outgoing correspondence
needs. For example, you can use the program to create a single letter at a
time or to create a mailshot that sends a letter to some or all of your
customers. Mail merge functions can automatically populate a letter
template with relevant contact and address information, using databases you
create yourself in Word or data you import from other Office programs such
as Excel or Outlook. Word can also print address labels and envelopes.
 Using Word to Create Documents and Forms
You can use Word to create just about any kind of business document,
including company reports, presentations, budgets, proposals and plans. It
can help you build a library of key forms, such as invoices, statements,
receipts, memos and agendas. Word's design features are easy to use,
enabling you to use data visualization tools to add tables, charts and graphs
to your documents. Its SmartArt function uses graphics to communicate
information.
 Using Word to Produce Promotional Materials
You can use Word to create promotional and marketing materials that you
send out to customers and prospects. Common options include brochures,
flyers and newsletters. Award certificates and cards may be useful if you run
internal promotions to incentivize your employees. Word can also handle
stationery design, allowing you to format and produce your own letterheads
and even business cards. This may be particularly useful for small
businesses that may struggle to pay third-party design and print costs.
 Using Word to Build Branding
If you want your employees to use a standardized letter or memo format,
you can design one and save it as a template that the entire company can use.
You can use styles and themes to define exactly how all of your business
documents will look, giving you a consistency of color, fonts and effects. If
you prefer, you can download free Microsoft templates. Microsoft groups
some templates into style sets, so you could apply the same theme to a range
of marketing materials, documents and forms, giving you a consistency of
branding.
3. DTP-DESKTOP PUBLISHING
 Desktop publishing ( DTP) is the creation of documents using page
layout skills on a personal computer. Desktop publishing software can
generate layouts and produce typographic quality text and images
comparable to traditionaltypography and printing. This technology
allows individuals, businesses, and other organizations to self-publish a
wide range of printed matter. Desktop publishing is also the main
reference for digital typography. When used skillfully, desktop
publishing allows the user to produce a wide variety of materials,
from menus to magazines and books, without the expense of
commercial printing.
 Desktop publishing combines a personal
computer and WYSIWYG page layout software to
create publication documents on a computer for either large scale
publishing or small scale local multifunction peripheral output and
distribution. Desktop publishing methods provide more control over
design, layout, and typography than word processing. However, word
processing software has evolved to include some, though by no means
all, capabilities previously available only with professional printing or
desktop publishing.
 The same DTP skills and software used for common paper and book
publishing are sometimes used to create graphics forpoint of sale
displays, promotional items, trade show exhibits, retail package
designs and outdoor signs.
 Through the training of computer practicals taught to us due to our
Specialisation subject Computers in every semester we cold practically
grasp the required computer skills needed for working in such a
business environment.
 DTP skills have taught making variety of creative pieces like visiting
cards,flex thus it helped me in helping the employer in innovatively and
creatively creating various pamphlets for sales promotion.
WORK ALLOTTED DURING TRAINING
During the Internship Training period I LAVEENA LAKHANI student
at BSSS was assigned the job of COMPUTER OPERATOR AND
DATA ANALYST at the distribution firm SUNDER SAREE CENTER.
 I was assigned the data entry work.
 In specific details the data entry task included entering the vocher
details,stock maintainence,cash or credit sales and sale bill
printing.
 Secondly I was assigned data entry of final accounts like trial
balance,ledger accounts,profit and loss accounts and Balance
Sheets etc.
 The employer assigned the task to be performed in Microsoft
Office devices like MS Word and MS Excel.
 In specific details,the task assigned demanded the employee to
prepare the required final accounts-trial balance,ledger accounts,
profit and loss accounts and Balance Sheets etc. in the tabular
format facilitated by MS Word and MS Excel.
 I was also assigned the task to perform various operations on the
various figures involved in the above final accounts.
 Another innovative task which required my creative skills was the
help which I could give to the employer in making brochures for
promoting the sales of the organization through my knowledge of
the creative software Desktop Publishing.
WORK DONE
Fisrtly I was taught to work on the software PROFILE 1.3-used by the
firm for entering all the data about the purchase and sales of the firm and
hence prepare the credit bills for all its customers/dealers.After
completing my training in a period of 3 hours,
I started accessing the software without any glitches. Then I started
getting the bills from the employer on a daily basis and subsequently I
did the entry of those bills in the database software.The software has
many head tabs like-
 ENTRY,SEARCH, REPORTS, SETUP
The key area of my working was the ENTRY tab which included the sub
tabs:
1.Credit note Entry
2.Cash note Entry
3.Voucher Entry
4.Sale Bill Entry
5.Sale Bill Printing
By clicking on the Sale Bill Entry the Bill No. generated automatically
with various blanks asking the requirements like Cash/Credit Bill, LR
no., Dealer Name, Company Name, Product Name and Quantity and
thence the bill generated automatically in the appropriate requisite
manner.
This was a repetitive process which I needed to perform with all the
vouchers I received during my 60 hours work experience.Along with the
data entry of vouchers I was given the weekly task of preparing trial
balance and ledger accounts of the firm.
WEEKLY INFORMATION ABOUT THE
WORK
The work of data entry and computer operator as the data analyst at
SUNDER SAREE CENTER , allotted to me was to be done on a daily
basis while doing the voucher entry of the vouchers of all the retail
dealers.Then the weekly task was to make and update the trial balance
and ledger accounts with all the details of transaction done,date of sale
and date of receipt by the customer,details of amount with the respective
party names.Then in order to keep a check on the accuracy and
efficiency of the work performed by me everything was tallied by the
supervisor and me using the voucher in that whole week.Then
rectification task was also performed weekly in the daily and the weekly
task.
DIFFICULTIES FACED DURING
INTERNSHIP TRAINING
 Technical Glitches:The technical hindrances are a part of every
technology related work and the same happened during my internship
when I faced various kinds of technical hindrances like abrupt power
failures,software breakdown, computer working slowly and inefficiently,
printer glitches like the cartridge getting struck between the printing of
important documents.
 Adjustment in a completely different environment: The workplace
environment offered by the internship project was a completely different
learning stage because it was the first time where mere knowledge of the
concepts did not help and the key factor was confidently learning the
various methods how to actually apply all the learning of three years of
graduation in an actual work driven environment.Initially there was a lack
of self confidence to work and a pressure of effectively working and
fulfilling the expectations of the employer.
STEPS TAKEN TO FACE THE
CHALLENGES DURING INTERNSHIP
TRAINING
 The friendly nature of the employer served as a boon during the initial
period when it was difficult to adjust in a completely new and
different environment.
 The patience of not losing confidence at the initial stages when
everything seemed to be new and difficult.
 The technical assistance provided by the software engineer during the
technical glitches faced helped a lot. The expert advised about the
causes of occurrence of such technical errors and thus recommended
steps to avoid any such further issues.
 The guidance,motivation given by the Guide were of a lot of help
during the training programme especially during any physical or
mental hindrances.
 The training given by the trainer about the basics of work allotted to
me,the way the work assigned had to be carried out and excellent doubt
clearances at the time of any hindrances and problems faced.
ANALYSIS OF WORKING IN THE
ORGANISATION
 The professional environment of the organization made me aware about
the application areas of my knowledge and learning which I got through
all the years of my studies at my school as well as at college.
 The organization structure of Sunder Saree Center taught me that a
systematic approach of working which not only saves time but also
optimizes the utilization of resources optimally leads to achievement of
organizational goals and profit maximization.
 The history of the organization taught how beginning at a small scale and
then gradually diversifying on a large scale is very beneficial as the
gradually our experience and knowledge increase to the level required for
diversification.
 The technical methods adopted by the firm taught faster approaches which
have overtaken the conventional methods and how specialized softwares
available in the market can used aptly according to our requirements
 The use of social networking sites such as watsapp and facebook in the
business activities for circulating necessary information to
dealers,rectifying errors promptly,for spreading the information about
various offers & rebates made me realize how these sites can be useful in a
great way in a business environment and help increase profits
exponentially.
SUGGESTIONS
 The warehouse and the administration office of the firm SUNDER
SAREE CENTER should be nearer because currently their being
far costs a lot of time to the sole proprietor in travelling from
warehouse to the office to keep a check on the activities going on
at both the places.
 The loss of stock found during stock maintenance should be dealt
with seriously in order to find out the reason for such loss, by
keeping a check on the stock at the entry time as well as exit time.
This should be done by one of the most reliable employees at the
firm.
 The warehouse should be under CCTV surveillance in order to
overcome the loss of stock happening currently.
 Since the warehouse and office are far away the CCTV can help
the administrator keep a check and a constant watch at both the
places.
CONCLUSION
 The internship program or project was one of the most important part
of our graduation as it not only made us familiar with the actual
application of all our accounting and computer learning but also taught
us to relate our studies with what is going around us in the market place
and the business world.
 The professional environment of the organization made me aware about

  • 6. On 01st Novenmber 2015 the Sunder Saree Centre held the grand opening of its new and wholesale premise Sunder Lehenga and Sarees. The Sunder Saree Centre has been always recognised for addressing its customers needs.. This premise will offer a bigger range of all the products to its customers. Sunder Saree Centre offers a lot of additional facilities to its customers. A lot of customers come from nearby areas of Madhya Pradesh and for them it is more convenient to approach as they do not have to go through the hassle of city traffic. It will also offer complete parking facility to the customers. Transportation facility for both men and merchandise is offered. Moreover, accommodation facility within the premise is available for both customers and staff. The opening of the store was done by Mr. Suresh & Management Director Mr. Rohit.

DISTRIBUTION CHANNEL SUNDER SAREE CENTER is the AGENT cum DISTRIBUTOR in the overall distribution channel and it acts as the mediator between the manufacturer and the various retail outlets located in the areas of its agency line. The positive difference between the cost at which the products are bought from the manufacturer and the selling price at which they are sold to the retail dealers is the main objective of the business. The key areas for its day to day operations are- 1.OFFICE: At the office level various administrative tasks are carried out like making data entry of all the vouchers, making orders to the company at Mumbai, keeping a track of all the dispatches or timely distribution of the products sold, keeping a track record that all the purchases, sales, voucher entry transactions are being recorded simultaneously with the occurrence of the actual transactions. 1 • MANUFACTURER 2 • AGENT cum DISTRIBUTOR 3 • RETAIL DEALERS
  • 8. 2.WAREHOUSE/GODOWN: Another place of importance for carrying out the ground level operations is the warehouse where all the stock/inventory ordered from the manufacturing firm is unloaded and according to the respective orders of the various retailers dealers the stock is sent to them through the efficient transport services for speedy delivery of goods and thus increasing the credibility of the organization. 3.BUSINESSTOURS:In this task of operations various samples are carried to the retail outlets present at different locations and they are shown in person with their price list and then the order is given by the retail dealers. The distributor then transfers the order to its centre of operations-BHOPAL from where the further processing of the order takes place. These business tours are carried out on a monthly basis and each state with its respective towns and each dealer is covered monthly. This task is performed by the proprietor and the commission agent. 4.STOCK MAINTAINENCE:I n this task the stock purchased, inventories and the stock sold are maintained in a regular manner in the database management system of the organization i.e. Profile 1.3.The proper stock maintenance helps in placing timely order from the manufacturer to give timely delivery to the retail dealer and thus increases the credibility of the organization. 5.MAINTENANCE OF ACCOUNTS: Another important function of every registered organization is the maintenance of its accounts for proper filing of income tax returns.SUNDER SAREE CENTER also has an Accounts Head Mr.Ujjwal who carries out this task on a monthly basis after going through the trial balances,ledger accounts,income and expenditure statements and balance sheet which are maintained regularly in MS Excel.
  • 9. ACADEMIC ELIGIBILITY,TRAINING AND OTHER REQUIREMENTS  BASIC ACCOUNTING KNOWLEDGE 1. TRIAL BALANCE  The preparation of trial balance and its basics were taught to us in the FIRST SEMESTER during the course of FINAL ACCOUNTS.  I could apply this knowledge conducively while doing the data entry of the daily financial transactions of the organization while preparing the trial balance of SUNDER SAREE CENTER  A trial balance is a list of all the general ledger accounts (both revenue and capital) contained in the ledger of a business. This list contains the name of each nominal ledger account and the value of that nominal ledger balance.  Each nominal ledger account holds either a debit balance or a credit balance. The debit balance values will be listed in the debit column of the trial balance and the credit value balance will be listed in the credit column.  The trading profit and loss statement and balance sheet and other financial reports can then be produced using the ledger accounts listed on the trial balance.

  • 11.  A petty cash book is one in which all petty or small payments made through petty cash fund are recorded systematically. Petty cashbook is maintained by the petty cashier. Petty cash book can be maintained either in a simple or in analytical way.  Business performing a large number of petty transactions usually maintain a separate petty cash book.  Petty cash book supplies information regarding petty payments made on different heads more easily and quickly.  Petty cash book makes possible for making comparison of the petty expenses between two periods and helps in controlling such petty expenses more effectively. 4. PROFIT AND LOSS ACCOUNT  The preparation of profit and loss accounts and their basic knowledge were taught to us in the SECOND SEMESTER during the course of ACCOUNTS.  I could apply this knowledge conducively while doing the data entry of the daily small cash payments of the organization while preparing the profit and loss accounts of SUNDER SAREE CENTER in MS Excel and organisation’s indigeneous software PROFILE 1.3.  A profit and loss statement (P&L) is a financial statement that summarizes the revenues, costs and expenses incurred during a specific period of time, usually a fiscal quarter or year.

BALANCE SHEET  The preparation of balance sheet and its basic knowledge were taught to us in the SECOND SEMESTER during the course of ACCOUNTS.  I could apply this knowledge conducively while doing the data entry of the daily small cash payments of the organization while preparing the profit and loss accounts of SUNDER SAREE CENTER in MS Excel and organisation’s indigeneous software PROFILE 1.3.  The Balance Sheet is used for financial reporting and analysis as part of the suite of financial statements.  Financial statement analysis consists of applying analytical tools and techniques to financial statements and other relevant data to obtain useful information.  Investors, creditors, and regulatory agencies generally focus their analysis of financial statements on the company as a whole. Since they cannot request special-purpose reports, external users must rely on the general purpose financial statements that companies publish.
  • 13. KNOWLEDGE OF COMPUTER FEATURES: MSOFFICE AND DTP 1. MS EXCEL  Microsoft Excel is perhaps the most important computer software program used in the workplace today. That's why so many workers and prospective employees are required to learn Excel in order to enter or remain in the workplace.  From the viewpoint of the employer, particularly those in the field of information systems, the use of Excel as an end-user computing tool is essential. Not only are many business professionals using Excel to perform everyday functional tasks in the workplace, an increasing number of employers rely on Excel for decision support.  Through the training of computer practicals taught to us due to our Specialisation subject Computers in every semester we cold practically grasp the required computer skills needed for working in such a business environment.  Through the key learnings taught during MSExcel practical classes in the Second Semester like: Preparing Tables,Editing Tables,Performing several operations and calculations on the data entered for easy data entry and avoiding time consuming calculations.  While performing the task of data entry these skills could be aptly applied during my job.

Data is inserted into individual cells in rows or columns, allowing it to be sorted and filtered, and then displayed in a visual presentation. Using pie charts, graphs and clustered columns adds meaning to data, which otherwise may just exist as row after row of numbers. These visualisations can add extra emphasis to business reports and persuasive marketing material.  Use conditional formatting: Excel users can format their spreadsheets using different colours, bolds and italics, to differentiate between columns and bring the most important data to the fore. The vast number of tasks that can be achieved using this tool is impressive, here are just a few: Display simple icons which represent related data, Highlighting a row based on a single value, Comparing values, Comparing lists and Finding duplicates. Find out more about conditional formatting.  Help identify trends: When presenting data in the form of charts or graphs, it can be helpful to include average lines, which explicitly detail the key trends emerging from the information. This may help demonstrate the key points to other users in a straightforward manner - for instance, an executive from a different department during a board meeting. Excel allows trend lines to be extended beyond the graph, to offer predictions of future activity - and such forecasts can help businesses develop their future strategy.  Bring data together: Excel can be used to bring information from various files and documents together, so that it exists in a single location. As well as raw data and information from other spreadsheets, it is possible to import text and images. Other objects can be added using the Insert tab, or additional spreadsheets can be added to the file.

Today, you can use modern computer programs, such as Microsoft Word, to help you create documents and manage your business.  Microsoft Word is an essential tool for any individual in today’s digital age. Microsoft Word that is useful for both complex business requirements as well as basic day-to-day purposes. Not only is Microsoft Word a flexible tool that allows you to achieve many of your digital document needs, it is also one of the most user- friendly applications from the Microsoft Office suite.  Using Word for Letters and Mailings : Businesses typically use Word to manage their outgoing correspondence needs. For example, you can use the program to create a single letter at a time or to create a mailshot that sends a letter to some or all of your customers. Mail merge functions can automatically populate a letter template with relevant contact and address information, using databases you create yourself in Word or data you import from other Office programs such as Excel or Outlook. Desktop publishing software can generate layouts and produce typographic quality text and images comparable to traditionaltypography and printing. This technology allows individuals, businesses, and other organizations to self-publish a wide range of printed matter. Desktop publishing is also the main reference for digital typography. When used skillfully, desktop publishing allows the user to produce a wide variety of materials, from menus to magazines and books, without the expense of commercial printing.  Desktop publishing combines a personal computer and WYSIWYG page layout software to create publication documents on a computer for either large scale publishing or small scale local multifunction peripheral output and distribution. Desktop publishing methods provide more control over design, layout, and typography than word processing. WORK ALLOTTED DURING TRAINING During the Internship Training period I LAVEENA LAKHANI student at BSSS was assigned the job of COMPUTER OPERATOR AND DATA ANALYST at the distribution firm SUNDER SAREE CENTER.  I was assigned the data entry work.  In specific details the data entry task included entering the vocher details,stock maintainence,cash or credit sales and sale bill printing.  Secondly I was assigned data entry of final accounts like trial balance,ledger accounts,profit and loss accounts and Balance Sheets etc.  The employer assigned the task to be performed in Microsoft Office devices like MS Word and MS Excel.  In specific details,the task assigned demanded the employee to prepare the required final accounts-trial balance,ledger accounts, profit and loss accounts and Balance Sheets etc. in the tabular format facilitated by MS Word and MS Excel.  I was also assigned the task to perform various operations on the various figures involved in the above final accounts.  Another innovative task which required my creative skills was the help which I could give to the employer in making brochures for promoting the sales of the organization through my knowledge of the creative software Desktop Publishing.

WORK DONE Fisrtly I was taught to work on the software PROFILE 1.3-used by the firm for entering all the data about the purchase and sales of the firm and hence prepare the credit bills for all its customers/dealers.After completing my training in a period of 3 hours, I started accessing the software without any glitches. Then I started getting the bills from the employer on a daily basis and subsequently I did the entry of those bills in the database software.The software has many head tabs like-  ENTRY,SEARCH, REPORTS, SETUP The key area of my working was the ENTRY tab which included the sub tabs: 1.Credit note Entry 2.Cash note Entry 3.Voucher Entry 4.Sale Bill Entry 5.Sale Bill Printing By clicking on the Sale Bill Entry the Bill No. generated automatically with various blanks asking the requirements like Cash/Credit Bill, LR

This was a repetitive process which I needed to perform with all the vouchers I received during my 60 hours work experience.Along with the data entry of vouchers I was given the weekly task of preparing trial balance and ledger accounts of the firm.

WEEKLY INFORMATION ABOUT THE WORK The work of data entry and computer operator as the data analyst at SUNDER SAREE CENTER , allotted to me was to be done on a daily basis while doing the voucher entry of the vouchers of all the retail dealers.Then the weekly task was to make and update the trial balance and ledger accounts with all the details of transaction done,date of sale and date of receipt by the customer,details of amount with the respective party names.Then in order to keep a check on the accuracy and efficiency of the work performed by me everything was tallied by the supervisor and me using the voucher in that whole week.Then rectification task was also performed weekly in the daily and the weekly task.

DIFFICULTIES FACED DURING INTERNSHIP TRAINING  Technical Glitches:The technical hindrances are a part of every technology related work and the same happened during my internship when I faced various kinds of technical hindrances like abrupt power failures,software breakdown, computer working slowly and inefficiently, printer glitches like the cartridge getting struck between the printing of important documents.  Adjustment in a completely different environment: The workplace environment offered by the internship project was a completely different learning stage because it was the first time where mere knowledge of the concepts did not help and the key factor was confidently learning the various methods how to actually apply all the learning of three years of graduation in an actual work driven environment.Initially there was a lack of self confidence to work and a pressure of effectively working and fulfilling the expectations of the employer.

STEPS TAKEN TO FACE THE CHALLENGES DURING INTERNSHIP TRAINING  The friendly nature of the employer served as a boon during the initial period when it was difficult to adjust in a completely new and different environment.  The patience of not losing confidence at the initial stages when everything seemed to be new and difficult.  The technical assistance provided by the software engineer during the technical glitches faced helped a lot. The expert advised about the causes of occurrence of such technical errors and thus recommended steps to avoid any such further issues.  The guidance,motivation given by the Guide were of a lot of help during the training programme especially during any physical or mental hindrances.  The training given by the trainer about the basics of work allotted to me,the way the work assigned had to be carried out and excellent doubt clearances at the time of any hindrances and problems faced.

ANALYSIS OF WORKING IN THE ORGANISATION  The professional environment of the organization made me aware about the application areas of my knowledge and learning which I got through all the years of my studies at my school as well as at college.  The organization structure of Sunder Saree Center taught me that a systematic approach of working which not only saves time but also optimizes the utilization of resources optimally leads to achievement of organizational goals and profit maximization.  The history of the organization taught how beginning at a small scale and then gradually diversifying on a large scale is very beneficial as the gradually our experience and knowledge increase to the level required for diversification.  The technical methods adopted by the firm taught faster approaches which have overtaken the conventional methods and how specialized softwares available in the market can used aptly according to our requirements  The use of social networking sites such as watsapp and facebook in the business activities for circulating necessary information to dealers,rectifying errors promptly,for spreading the information about various offers & rebates made me realize how these sites can be useful in a great way in a business environment and help increase profits exponentially.

SUGGESTIONS  The warehouse and the administration office of the firm SUNDER SAREE CENTER should be nearer because currently their being far costs a lot of time to the sole proprietor in travelling from warehouse to the office to keep a check on the activities going on at both the places.  The loss of stock found during stock maintenance should be dealt with seriously in order to find out the reason for such loss, by keeping a check on the stock at the entry time as well as exit time. This should be done by one of the most reliable employees at the firm.  The warehouse should be under CCTV surveillance in order to overcome the loss of stock happening currently.  Since the warehouse and office are far away the CCTV can help the administrator keep a check and a constant watch at both the places.
