The first step in preparing a better presentation is to choose your information and get your text written down. This will ensure that you cover the required material. Information should be readable and not excessive. Choose words and language that is clear and concise. Before formatting any slides, complete the information for the presentation. A handout should be provided for audience members to view along with the presentation and to take with them afterwards.
Your presentation should include a background theme. One may be chosen from the power point program you are using or you may design your own. Choose a format and maintain consistency throughout the presentations. Colors should be used, but be careful not to overwhelm the audience. Different fonts should be kept to a minimum as they may be hard for the audience to read.
Graphics should be utilized in your presentation. Graphics can add interest and support information being presented. Graphics should be chosen once the information is entered and should be appropriate for the audience viewing the presentation.
Graphics that can be used include animations including short videos, smart art, charts and graphics. If information such as data is being presented, charts can be helpful in viewing the information more easily.
Animation tools can be added to your presentation to add excitement and interest. Animations present the information so that it appears on the screen in a more exciting way, which keeps the interest of the audience member. Animation should not be used excessively or overwhelm the audience. Use discretion when adding sound, depending on the environment you will be presenting in.
When giving information during your presentation consider adding hyperlinks for audience members to visit later, or for you to click to information while presenting.
During your presentation make sure to involve the audience. Give time for questions, as appropriate. If necessary mention that time will be allowed for questions at designated locations in the presentation, or at the end. Review your presentation’s main points and reaffirm any points necessary. Make sure to remain within the time allotted for the presentation, do not go over or skip information.
Once the information is presented and questions have been answered wrap up and conclude the presentation by thanking the audience and exiting the presentation.
