1. The document introduces several web-based management solutions from SchoolDude including MaintenanceDirect, PMDirect, InventoryDirect, and ITDirect that help schools better manage maintenance, preventative maintenance, inventory, and IT work orders.
2. It highlights key benefits like ease of use, role-based interfaces, mobile access, and reducing costs while improving processes. Implementation is fast with no upfront hardware or software costs.
3. Statistics are presented showing the solutions typically pay for themselves within a month by increasing staff efficiency and reducing maintenance costs. Proper preventative maintenance can also significantly reduce long-term facility costs.

32. Site Approval If you would like a Site Administrator to review the work request before it’s sent to Maintenance or Technology for approval
33. Work Center The person responsible for the work request receives an e-mail. When they log into the system, they see they have a new request to review.
70. Work Request Step 1: Who’s making the Request. System Automatically sends e-mails on status of the work order to this e-mail address Step 2: Enter the Location, Area, Room Number. Describes where the problem is occurring at. Step 3: Select a Problem Type for the work request. This list is customizable, you turn on just the crafts you would like to show up. Also with each craft you can designate which person is responsible for the craft at each location Step 4: Enter the Description of the work request. The requester can type several different lines of information. No set limit of the number of characters. Step 5: You can list Contact Names and numbers, Purpose Codes, Budget Codes and Requested Completion Date. You can turn all of those steps on or off. Step 6: Every user has to type in a password to submit a request to prevent users with no access to submit work requests. http://www.myschoolbuilding.com
71. Site Approval If you would like a Site Administrator to review the work request before it’s sent to Maintenance or Technology for approval
72. Approval Page The person responsible for the work request would receive an e-mail and when they log into the system they would see they have a new request to review. You can send WO’s directly to a technician or have someone screen each request that comes in
73. Unprocessed Requests The person responsible for the work request can make any changes to the request like, craft, assigned to, purpose, estimation, priority, and then print out the work order if they approve it. If they decline the request then can but a note in action taken and the system would e-mail it back to the requester
74. New Work Order We have both Short and Detailed Work Order forms to make it easy to create Work Orders at any time. Only the fields with Red Checks are required.
75. Supervisor When a supervisor logs in, they see the work orders on their home page for their employees and can assign work out to their technicians.
76. Technician Technicians can review their open work orders. They also can Print, E-Mail, Create a Note, Mark Complete and enter Action Taken. Some even post time and materials to the work order.
77. Equipment You can tie work orders to a piece of Equipment. This allows you to track the cost to maintain the equipment in your facilities.
78. Budget After you create your budget codes you can enter Budgeted Monies and the system will track how much you have spent and show remaining budget
84. IT staff can record transactions for labor hours for each incident via a wireless/mobile device.
85. IT staff can easily receive, process and complete incidents via a wireless/mobile device.

Editor's Notes
This is a very different and unique approach.
Emphasize “does everyone hate this line?” We sure do. We don’t know how you can do more with less.
Talk about nationally then put it into local perspective by using state numbers..
Here is where you can introduce “do nothing.com” as our largest competitor – ie. The paper process and try to get some interaction. Acklowlege that paper is a tough competitor and its up to us to show how we are better than paper or its cousin – “doityourself.com” which is using email or excel.
What we’ve been doing is not working – we’ve got to make it better.
Use a local quote from someone the others know and talk about them.
Walk through this from the standpoint that our biggest competitor is a paper work order process (Do Nothing) and illustrate the key areas where we make this better. Do you know how many work orders per year you do? Did you ever break it down into the steps and think about the process? Black hole – work orders are tracked through completion. Time drain – You probably do 1 work order per student per year. Between ½ hour and 1 hour are saved for each work order in time across maintenance staff – this adds up very quickly (ie. 3000 students = 1500 –3000 hours or 1 – 1.5 men making this less than 1 month payback. Time warp – Lag times from problem to M&O knowing about the problem.
