Listing Agent—How Can
Having a Transaction
Coordinator Help?
Upon being contacted to/or just after taking a listing, the TC can
assisting with listing documentation & disclosures to have completed by
the seller to be ready for when the property goes into escrow
If the property is in a HOA, assist with obtaining contact information as
well as if a prepayment is necessary to obtain HOA Documents for the
Buyer once the property is in escrow
Open Escrow
Send out informational package to all parties—Lender, Escrow, Buyer’s
Agent & Office contact
Order Natural Hazard Disclosure
Send out Disclosures to the Buyer’s Agent within the contract specified
time limit—this can be done best if disclosures are completed by the
Seller prior to Opening Escrow
Manage documents—including tracking and verification that all
documents are signed by all parties in the transaction, including agents
Order Home Warranty
Final Processing of the File to Your Broker’s
and DRE Requirements

Selling Agent—
What Will the Transaction

Verify that Escrow is Open, and send out TC
informational packet to Escrow, Lender, Seller’s Agent
Prepare Disclosures received from the Seller’s Agent
for you to review with your Buyer, prepare for Docusign
if requested
Manage documents—including tracking and verification
that all documents are signed by all parties in the
transaction, including agents
Prepare a Contingency Timeline Sheet that works as a
reminder for timelines, deadlines and contingency
removals
Audit the file prior to close for any outstanding items
