The document describes the various modules and features of an SFE (Sales Force Effectiveness) system. Key modules and features include: standard tour plans, monthly tour plans, daily call reports, expense statements, secondary sales, sample & input dispatch, target fixation, sales analysis, leave management, CRM, campaign tracking, competitor tracking, CME, OPD camps, doctor-wise business entry, eLearning, eDetailing, task management, order booking, internal email/chat, and work flow automation. The system allows generating various reports, dashboards, and integration with other systems.
1. SFE Modules Detailed Features
Division / Sub-
Division
All the line managers are separately maintained, then we can go for Division
selection. For the selected division we can set separate Work Flow Automation
and Masters
Some managers might deal with more than one division, In such cases you can go
for Sub-Division options
GEO Tagging &
Medical reps can post the Doctor call once they physically present within 200
meter radius…
Fencing Admin can fix the radius.
So that Doctor call can’t be done without visiting Doctor.
No need of location tracking, Main objective is ensure the oncall reporting
Standard Tour Plan
(STP)
STP based on 1st Monday, 2nd Monday, 3rd Monday, 4th Monday like we can
prepare for all the Days in a Month. In this system automatically, Monthly Tour
Plan will be generated, only you need to submit the Tour Plan.
STP based on Date. for example this Month start from Friday, so it 5th working
Day, it will be automatically posted in Friday. In this system every month you
don't have to prepare the Tour Plan
STP will be prepared based on the Dr Categorywise Call Planning
Med Rep can prepare the STP and it can be approved by the Manager, at the time
Master data upload also, we can create STP as per your requirement
Monthly Tour Plan
(MTP) for Med Rep In the MTP we provided the facility to select the Dr.
In the MTP, Multiple Territory selection is available (HO, EX, OS etc)
Based on the Dr Category we can fix the Visit Plan, that can be checked while
submitting the MTP
We can fix the Cut of date for submitting the MTP, without submitting the MTP on
assigned date, they can NOT access further information.
STP can be automatically loaded in the MTP for each day, so that this will reduce
the field force work load
This can be prepared from Web and Mobile App also.
2. Monthly Tour Plan
(MTP) for Manager After approval of Subordinates MTP only Manager can submit their own MTP
Based on your field force selection for each date, Med Rep selected Market (HQ,
Ex and OS) will be loaded
In addition to Med Rep selection, Manager can select additional Markets also. If
needed
Manager can be select more than 1 Med Rep also.
Manager can NOT change the Med Rep selected Markets
Joint Work adherance can be fixed in the MTP
Holiday and Approved Leave will be blocked automatically.
Monthly Tour Plan
(MTP) Their Manager can approve Med Rep MTP
While approving the MTP Manager can modify it.
While approving the MTP Manager can also Reject it and so that, he can
resubmitted with proper details.
We can fix the Cut of date for the MTP approval, if they exceed the Cut of Date,
wth out approval they can NOT access other data.
We can approve the MTP from the Web and Mobile App also.
After the Cut of Day also if they are NOT accessing the MTP approval, it will be
automatically approved.
3. Daily Calls Report
"DCR"
Tour Plan deviation is Not possible with out Remarks, Onlline Approval from
Manager, you can configure from admin login
We can enable Productwise feedback Like Rx, Non Rx and we can enter the Rx Qty
Doctorwise feedback and Remarks can be entered
RCPA can be enabled or make it mandatory
After enter the sample qty issue to Dr, automatically closing balance will be
displayed
We are providing sequential reporting, where in your NOT skip any day reporting
Supporting for Android and iOS, Auto Sync & Offline Reporting in mobile app
Lock or Delayed System can be set in Admin login, there are 3 kindly Lock system
is available.
We can complete the call reporting using Mobile app also, which support for
Android and iOS
Focus Dr and Planned Dr can be loaded in the top of the screen
In the Call Report we can also Enable i. RCPA, ii. Survey; etc
4. Expense Statement Expense Statement can be Generated based on the Daily Calls Report
Three kind of Expense Statement is available i. Automatic, ii. Semi-Automatic; iii.
Manual.
Automatic System is useful for Med Rep, 1st Line and 2nd Line Manager, where it
this Expense Statement is generate Automatically, only they have to feed the
Miscellaneous expenses
Semi Automatic System is useful for 3rd Line Manager, where it selecting the HQ,
EX, OS automatically, Allowance will be loaded and Fare will generated from the
Master
Manual system also available where they can enter the HO, EX and OS allowance
amount and Kilo Meter also. Ex. Indchemie Healthcare Services
All the levels also we are providing the Automatic Expense Statement like Ex.
m/s. Aimil Pharmaceuticals
For the variable expense we can fix the maximum limit also.
Allowance can be fixed based on Metro, Non Metro and Hill Station also
Allowance can be fixed for Probation, Confirmed and Trainee field force
separately also
We can set the cut of date for the Expense Statement submission and Approval
Expense Statement can be generated for i. Monthly; ii. Fortnight; iii. Periodically
We can generate the Data for the Bank Upload format
For Non field work we can set the setting like i. Allowance & Fare Auto, ii.
Allowance Selectable & Fare Enterable, iii. Allowance Auto & No Fare and more
In a month same HQ if two people are work also, we can generate the separate
expense statement
Their immediate Manager can approve, they can add remarks or change their
Miscellaneous Expenses
Soft copy the bills can be uploaded
5. Admin can approve the Expense statement and at the time of approval they can
Add or Deduct the amount each date wise.
Secondary Sales Secondary Sales Format can be generated from the admin login
&
Enter only one value Closing stock or closing stock, other values calculated
automatically
Primary Sales You can set the formula for each field
if you upload the Primary Sales, this will reflect automatically in the Secondary
Sales Entry
If upload primary sales, bill wise, bills can be selected in Secondary sales entry for
as Primary sales
Stockist can be mapped to field force and Stockist HQ, and each stockist ERP code
can be updated
Soft copy of the Secondary Sales Statement can be attached here.
Sample & Input Sample & Input can be despatch from Admin Login
Despatch Field Force can confirm the Sample & Input despatch receipt details
Field force can enter the Damaged and Not received quantity
Based the issue qty to the Dr and Chemist this will be deducted from closing
balance
Set the value for Sampe & Input, this value will be displayed in Territory

6. Leave Module
Field force can apply their leave, this can be approved by Manager in web and
mobile app
We can implement the your leave policy, as per your company policy
Leave is submitted and approved by the Manager, automatically it can be
integrated in the Call Report
In the Leave application we can provide CL, PC, SL
With out approval of Leave Application, Manager can not login for further access
After submission and approval of leave application, Reminder will be send to the
respective field force.
Customer CRM Med Rep can post their CRM request and it can be approved by their Managers
After the approval and sanction, every month, field force must enter the ROI
against the CRM
This CRM Dr can not be deleted by the field force, with regular process
With out completing the one CRM committed business, we can not add another
CRM
How much amount we have spent, what is the business received calculated
automatically
We can monitor the progress of the CRM and get the information about expected
renewal of contract also
Campaign Tracking
Campaign can be created statewise, plan input, set targeted, No of number dr can
be planned, etc
Med Rep map the Campaign Dr and manager can approve the same.
Based on this we can generate Visited Details, Missed, etc all reports can be
generated
7. Manager Dr
Mapping Selected Med Rep Dr can be mapped their Line Managers
Based this selection we can generate the missed call report for single month or
multiple month
Based on this Dr Mapping we can generate all kind of reports
Competitor Details Competitor can be created Statewise from the Admin Login
Competitor data can be posted in mobile app and web also
Against the Competitor Business, we can select the reason for the business also
like Rx, Push, Mix, Scheme, Free
Based on this we can generate Doctorwise, Productwise, Competitor wise,
Statewise, Divisionwise, Sub Divisionwise Potential and our business details
Continuous Medical
Education "CME"
CME can be posted by the Manager, and it will be approved by their Manager
based on the budget
CME can be created from the admin login, we can also set the Budget also and
valid date also.
We can generate the consolidated statement
OPD Camp
Camp can be created from the admin login, we can set the budget, expected
business and valid date
Med Rep can create the Camp request from their login, it will be approved by
their Managers
No of Camp limit can also fixed from admin login
We can generate the consolidated statement
After completion of Camp we can update the result of the Activity like i. No
patient attended; ii. Sample Given, iii. POB book; iv. Patient Converted etc
8. Dr wise Business We can enter the Drwise business Value wise, Productwise Qtywise.
This we can enter all Doctors or only Specfic activity based Dr.
Based on this we can generate the Territory profitability
eLearning Question and Answer can be created or upload from the admin login
This can be created for each day, Weekly, Monthly, Bi-Monthly is possible.
We can set the No of Attempt also for the Quiz
Divisionwise and Sub-Divisionwise we can allocate Separate Quiz
Learning Material like PDF, Animation, Video, MP4 all are uploaded
Before start attending the Quiz, Med Rep need to study the uploaded material
We can generate the Scorecard based on the Quiz Attended
Payroll
Payslip can be generated based on Daily Calls Report, Statory Forms, PF&EPF,
Loans; Attendence etc
Mobile App

Using the Media Exchange facility you share the Doctor Discussion, Camp activity,
CME activity can be share with Admin or Manager.
With Dr permission, during the doctor call, we can take record doctor comment,

During the Call Reporting in Mobile App they can update visits Doctor, chemist,
stockiest… so that they can add doctors product promotion, sample qty, RX qty,
RCPA Qty, Gift qty, Doctor feedback, Doctor questions…These parameters

9. eDetailing "CLM"
eDetailing based on i. Brand Matrix; ii Speciality; iii. Presentation; iv. Customized
and v. All brands,
Dr Feedback, Brandwise feedback, Group detailing facility is available
No of minutes detailing drwise and brandwise.
Support Android and iOS, Offline Reporting, Auto Sync,
Doctorwise Query can be posted this can be forwarded to the HO executives, and
automatically one Ticket will be generated
Before the eDetailing you can see the pre-call details in the Tablet devices, also
you get the information about Query completed based previous visit
Dr can be selected from google map and added as Unlisted Dr
Based on GEO Tagging we can show the Nearby Dr based on the KM like 1KM,
2KM, 3KM etc
Once you do the eDetailing to the Dr, no separate reporting is NOT required
Task Module
Manager can allocate the Task to their subordinates from any screens while
analysing the data. You can filter by Completed Task, Over due Task, Pending
Task, we can create different Type of Task can be mapped.
Order Booking
Primary and Secondary order can be booked using the mobile app for the Doctor,
Chemist, Stockist. We have facilities like Schemes, Discount also. We have
manager approval facility also.
10. Internal Email Box With out email you not log into the system
& You can send the email to Particular State, Designation, Team, selected Persons
Chat Box BCC facility is available
Files can be attached, some attached pictures can be sent as Flash Notice.
Deleted emails available for backuup
We can see the email viewed status and viewed time also.
This can be accessed from mobile app also.
Based on the Hierarchy we can communicate with their Team and all the all alerts
also posted in the chat box
Secondary Data

You can set you own User name and Password
