ā€¢ Etiquette is common courtesy, good manners,
ā€¢ Conducting ourselves in a cultured way
ā€¢ Etiquette is defined as ā€œ the forms, manners
and ceremonies established by convention as
acceptable or required in social relations, in a
profession, or in official life.ā€
Business Etiquette
ā€¢ Business Etiquette is the way we conduct ourselves
while doing business.
ā€¢ Business Etiquette is concerned with acceptable
behaviour at the workplace.
ā€¢ It covers the following:
ā€¢ Dealing with customers , clients, co workers, strangers
ā€¢ Attending business meetings, meal time behaviour,
social gatherings
ā€¢ Telephone and e mail communication
ā€¢ Personal grooming
Fundamental features
ā€¢ Concern, care, kindness, compassion
ā€¢ Punctuality
ā€¢ Respect for elders,seniors,women
ā€¢ Treating all on the basis of equality
ā€¢ Putting people at ease
ā€¢ Business etiquette means conducting
ourselves in a cultured and refined manner

Telephone etiquette
ā€¢ Telephone etiquette helps us to present a
good image of the organization in the foll
ways:
ā€¢ Greeting properly and providing correct basic
info about the org, yourself and person you
want to contact
ā€¢ Answering promptly. Donā€™t keep the caller
waiting or keep transferring the call. Take
down messages that have to be passed on.
Telephone etiquette
ā€¢ Speak politely in a normal voice, not too loud
nor too soft.
ā€¢ Do not mumble, spell out words
ā€¢ End the call politely. Donā€™t be abrupt.
ā€¢ Repeat/recap the discussion/message briefly
ā€¢ Keep pen and paper to jot down imp points.
ā€¢ Donā€™t do other things while using the phone ā€“
eating, talking, smoking
Mobile etiquette
ā€¢ Keep mobile phone switched off/silent at
meetings, religious places, functions.
ā€¢ For urgent calls keep phone on vibrator mode
and call back later.
ā€¢ Always speak in a low voice
ā€¢ Avoid discussing private or company matters
publicly
ā€¢ Keep your ring tone low

ā€¢ All communication should not be sent as text
messages
ā€¢ Avoid typing in caps as it means shouting

ā€¢ Acknowledge and give quick response
ā€¢ Observe rules of grammar, spelling, precision
and courtesy

ā€¢ The handshake is the beginning or the
conclusion of any discussion, business
transaction
ā€¢ Handshake may be offered to:
ā€¢ Business contacts, social acquaintances, staff
members
ā€¢ To congratulate someone
ā€¢ To greet or take leave of guests, hosts , social
contacts

ā€¢ With a superior. Wait for them to offer first.

Cubicle Etiquette
ā€¢ Today we have open plan offices with cubicles
and rooms with glass partitions.
ā€¢ We need to treat this as a workplace and
observe some rules :
ā€¢ Treat otherā€™s cubicles as private offices
ā€¢ Ask permission to walk in/out
ā€¢ Ask if the person has time to spare for you
ā€¢ Avoid reading the screen on otherā€™s
computers
Cubicle Etiquette
ā€¢ Do not keep borrowing items from a
colleagueā€™s desk all the time.
ā€¢ Donā€™t have conversations over the partitions
and disturb others.
ā€¢ Do not eavesdrop.
ā€¢ Speak softly inside your cubicle, donā€™t use a
speaker phone, radio etc
ā€¢ Avoid strong fragrances and odours.

ā€¢ Introduce yourself fully. Pay attention when
others introduce themselves.
ā€¢ When you are being introduced stand up.
ā€¢ Take the initiative to introduce yourself to
others and introduce people to others.
ā€¢ Always introduce the junior to the senior.

ā€¢ Be as courteous to juniors as you are to
seniors.
ā€¢ Acknowledge and appreciate people and their
work.
ā€¢ Donā€™t point at people always use an open
palm when referring to a person.
ā€¢ Be a part of office gatherings. Donā€™t skip them
unless it is necessary.

ā€¢ Donā€™t be judgmental with people who make
mistakes. Help them improve.

ā€¢ Use photocopying machine and printer
responsibly.

misuse.

everyone can use them at all times.

ā€¢ Try to find out the diet preferences of the
guest ā€“ vegetarian /non vegetarian, diet
restrictions
ā€¢ Order the food preferred by your guest
ā€¢ Select the venue where the guest will be
comfortable- not too casual/inexpensive
ā€¢ Make a reservation, receive the guest. For
outstation guest arrange for a pick up.

ā€¢ Reach the venue in time. If late then inform
the host.
ā€¢ Donā€™t order the most expensive items.Avoid
alcohol.
ā€¢ Order food that is easy to handle, is not
difficult or messy to eat.
ā€¢ Wait for everyone to be served before you
start eating.

ā€¢ Mobile phones and gadgets to be switched off
or kept silent. Urgent calls may be taken with
permission.
ā€¢ Sit erect with elbows off the table.
ā€¢ Sit with the napkin folded on your lap. Donā€™t
use it as a bib.
ā€¢ Place cutlery on the plate while/after eating.
Use one hand to hold cutlery, cups or glasses.

ā€¢ Take small bites. Drink small gulps of liquid.
ā€¢ Eat silently. Donā€™t make noise with cutlery.
ā€¢ Donā€™t blow to cool your soup, tea etc.
ā€¢ Donā€™t spill your food or drink.
ā€¢ Donā€™t speak with food in your mouth.
ā€¢ Try to finish your meal with others. Donā€™t
delay the group.

Donā€™t eat in silence. Make small talk.
When you finish eating donā€™t pile up the
crockery or push the plate away.
Be courteous to the serving staff.
The host should make arrangements for the bill
to be paid.

meetings and business gatherings.
ā€¢ They are useful for networking.
ā€¢ Dos :
ā€¢ Design a neat and smart business card.
ā€¢ Carry enough cards with you.
ā€¢ Give your card facing the receiver so that he
can read it without turning it around.

ā€¢ Comment on the logo/ name/business when
you receive a card.
ā€¢ Give your card to someone who asks for it or
shows interest in your work.
ā€¢ If you want to give your card to someone then
ask for his/her card, he will reciprocate.

ā€¢ Donā€™t hand over frayed, soiled, crumpled
cards.
ā€¢ Donā€™t use cards with old details. Use updated
ones.
ā€¢ Donā€™t hand out cards to all and sundry.
ā€¢ Donā€™t write notes on someone elseā€™s card
unless it is related to him/her.
