Cluster Government Relations Officer
Summary
Attain strong relation with Immigration Offices, DTCM, Dubai Economic Department, Civil Defense,
TECOM, RTA, CID, EID (Emirates Identity Authority), and Dubai Municipality, Dubai Land
Department, Trakhees, DMCC and other government offices and agencies to speed up all work
requirements.
KEY RESPONSIBILITIES:
• Establishing Government Relations objectives in line with Hotel objectives.
• Managing the Government Relations operations by recruiting, selecting, training, coaching,
planning
• Designing systems to maintain database of all legal documents such as passports, residence
visas,
Hotel’s licenses, entertainer's licenses, and directly updating the database when details changes
• Monitor Collect and provide periodical updates from the government authorities on
All Labour and immigration

Rules to keep the HR department abreast of the changes in the rules and procedures
• Collect paper required for visa processing then Submit, follow-up and collect all new employment
and
Business visas to ensure that the visas are processed on a timely manner to support the business.
• Renew, update and maintain employees and their dependents’ visas, labour cards, and labour contracts
• A timely manner to ensure that company’s records are up-to-date in the labour and Immigration
Departments
• Coordinate with internal departments and external vendors for the colleague’s visa medicals.
• Organize visas for holiday and business related travel for managers as required.
• Ensure all visa, medical and labour permits are up to date and arrange timely renewal.
• Knowledge of DTCM online new system (e-permit - renewal hotel classification license – e-
ticketing system)
• Proactively seeks & shares with Front Office any changes to the CID process or updates in relation
to Hotel
• Procedures in relation to the UAE laws.
• Apply for multiple functions for the hotel i.e. banquets, events, groups, parties etc..
• Assist guest with visa procedures and process.
• Maintain and balance online visa account balance and submit appropriate reports to finance
department.
• Ensure that all the colleagues receive their contracts according to the UAE labor law.
• Set up a filing system for all relevant and important correspondence or documents.
• Monitoring of Passport/Residence Visa expiry details of all employees and taking necessary action
for Renewals of residence visas / Labour cards/ medical cards etc
Other Tasks:
• Provide service, support and assistance to new and existing employees on their requirements such
are driving license, liquor license, car registrations, accommodation and legal requirements to ensure
that PR services are provided as required.
• Renew, update and maintain the trade licenses and other government certificates of all company’s
legal entities in the UAE to ensure that the documents are up-to-date.
• Assist in all general inquiries concerning labour and immigration matters.

• Arrange processing attestation of employee qualifications as required.
• Accurate preparation of documents according to the requirement of the legal authorities.
• Maintain confidentiality and security of company and employee documents at all times.
• Deliver important messages posted in C.I.D system to concerned departments of the hotel.
• Use e-government site for visa application process eDNRD.
• Maintain good working relationship with immigration and ministry of labor.
• Act as the hotels' representative relating to any matter with immigration and ministry of labor.
• Covering the duties of the government relations manager in case of his absence.
• Assist the Human Resources department whenever required.

• KEY RESPONSIBILITIES:
• Revenue Analyst is responsible to assist Revenue Manager in providing Clear picture of the market
rates and the plan for the hotels rates and packages.
• Process all reservation requests, changes, and cancellations received by phone, fax, or mail.
• Identify guest Reservation needs and determine appropriate room type.
• Verify availability of room type and rate.
• Explain the Guarantee, special rate, and cancellation policies to callers.
• Accommodate and document special requests.
• Answer Questions about property facilities/services and room accommodations.
• Follow sales techniques to maximize Revenue.
Reservation Executive
• KEY RESPONSIBILITIES:

• KEY RESPONSIBILITIES:
• Check all arrivals and ensure that all room bookings are made in accordance to guest’s preferences.
• Prepare registration forms, booklets and all corresponding inserts
• Welcome and register guests at the counter and escort him/her to the room if the guest relations
officers are
• Unavailable.
• Explain the different facilities of the hotel and the room itself.
• Offer further assistance like wake up call, bags down and transportation requirements.
• Attend to guest's queries, requests and complaints and sees to it that these are addressed
immediately.
• Update registration cards and ensure that all information given by the guests is accurate, complete
and ensure that all important information and preferences are noted.
• Up sell depending on the guest's preferences and requirements.
• Ensure all charges are accurate prior to presentation of bill to the guest on check-out.
• Ensure that all pertinent discounts, inclusions and other charges are properly applied.
• Close guest's charges and checks-out room from the system.
• Ensures cash float/house bank is well accounted.
• Answers telephone calls promptly and courteously
• Note down guest's concerns and requests and ensures that the same are acted upon responsibly.
• Print trace report and take actions accordingly.
• Print arrival and departure list by flight time for the following day and ensures that all rates with
Inclusions are discounted and all the necessary adjustments have been made.
