3. Job Responsibilities
Herein are all of the responsibilities associated with the Music to Nourish Philanthropy Dinner.
Executive Coordinator Manage all of the details and personnel
regarding the event.
Venue Event Coordinators They will be the main contacts for setting up
the venue. They will coordinate with food
vendors and other business connections.
Assistant Coordinator Assist the executive coordinator with any
tasks that need help or more attention.
Guest List Administrator Set up a spreadsheet with all of the names
and contact information on who will be
invited. Manage the guest book at the event.
Invitations Combined effort between graphic designer
and coordinator for design and distribution.
Ticket Coordinator Be in charge of working with the ticket office
in order to set up ticket sales, obtain the final
count, and give the customer list to Guest List
Administrator and Name Plate Production in
order to account for who will be there.
Silent Auction/Raffle Baskets Work with the coordinator to obtain
items/baskets from donors for the Silent
Auction and keep them in a safe space.
Create individual sheets for items that will be
auctioned off and vases/jars to collect raffle
tickets for those that will not be auctioned off.
PA/Live Sound Obtain a sound system and an audio
engineer to mix the sound at the event.
Create a soundcheck schedule and ensure
that everything is set up and built at least 3
hours prior to soundcheck.
Name Plate Production Obtain guest list and create individualized
name plates that guests will pick up at the
event and place at their seat.
Program Production Create the programs for the event with the
schedule of how the night will go.

Photographer Capture images highlighting the event.
Videographer Capture video highlighting the event.
Audiographer Capture audio to work in conjunction with the
videographer.
News Outlet Coordinator Contact local news outlets with press release.
Press Release Create a press release to be sent out to local
news affiliates.
Sponsor Supervisor Work to obtain sponsors for the event.
Treasurer Consistently collect data for expenses and
income in order to track where money is
coming and going.
Raffle Tickets & Cash Box Set up a table at the event where raffle
tickets will be sold and collect cash and
checks. Keep an organized list of personnel
who provide money as a charitable donation.
Master of Ceremonies Be the face and voice of the event. Prepare
and give opening and closing speeches,
introduce performers, and announce raffle
and silent auction winners. Ensure the night
is running smoothly and on schedule.
* Note to executive coordinator: There should be at least 8 people on hand on the day of the
event to handle any last minute issues that may arise. This may include load in of the PA/sound
system, placing programs on tables, organizing baskets, polishing vases, purchasing pens,
making/printing spreadsheets, and any other tasks that may become apparent.
14. Menu
Meet with the Events Coordinator of the venue. They will determine options available based on
the amount of money they are receiving from projected ticket sales. In keeping with the
Thanksgiving theme, a menu was chosen as follows:
● Appetizer Wall Assortment of cheese, fruit, vegetables, bruschetta, and mini meatballs.
● Salad Choice of Italian or Ranch dressing.
● Dinner Roast turkey, mashed potatoes, stuffing, gravy, brown sugar squash, corn,
cranberry sauce, and warm bread.
● Dessert Choice of homemade apple or pumpkin pie.
* Important Note: In order to alert the waitstaff to food allergies, each guest was asked if they
had a food sensitivity and was given a colored tab to put on their name plate. Green indicated
vegetarian, blue for gluten sensitivity/Celiac, yellow for nut allergy, and red for dairy intolerance.
The kitchen and waitstaff should receive copies of the key in order to ensure guest safety.
PA/Live Sound
Not all venues have a PA system, and if this is the case, someone will need to be in charge of
obtaining one. Concerning the Philanthropy Dinner, The White Inn does not have a PA System,
however, they did have a small stage that could be built. The system in use at the event is the
property of the Ellicottville Brewing Company in Fredonia. An audio engineer is essential for
mixing the sound live at the event as well as at the soundcheck. A soundcheck schedule should
be sent to the performers no later than a week prior to the event. The stage and sound
equipment need to be set up at least 3 hours before the event begins.
Sponsors
In order to keep track of sponsors donating to a charitable event, organization is key in
collecting any information gathered. The Sponsor Supervisor should gather a team of people
that will contact businesses and collect donations. Keep a concise list of who has been
contacted, when they respond, if they donated, amount donated, and when the item is to be
picked up. This list must be available to all personnel involved. Once everything is collected, a
list of sponsors should be kept.
Photographer
Line up a photographer for the event in order to capture the essence. Photographs of guests,
performers, speakers, baskets, plate settings, etc. should be documented.
