1. Process for Tilts/ Talk with Dr. Ken Curry
Current process
Patients are registered down stairs with Patient Access. The registrars will bring the
patient upstairs to the 7th
floor and take them to the testing waiting room. They will then place
their stickers in the appropriate bin. Patient will then have the test completed with Dr. Curry
seeing them an hour with in testing. Once testing is completed then the patient should be
stopping at the check-out desk. It is then the responsibility of the check-out scheduler then to
take the patient around to the front desk to be check in for Dr. Curry. The Medical Receptionist
will arrive the patient have them signed all the necessary paper work and collect copay. The
patient will leave and the Medical Receptionist will notify the check-out/ scheduler the patient
has left so they can check his appointment out.
The problem with the current process is patient are not arrived in the Epic until after
testing and seeing the physician. Check out staff is duplicating their work with being in the
account twice checking them out from testing then again after they have been check in. They
would only have to touch the account once and checking out both appointments at the same
time. The physician is treating the patient without necessary written documentation before
patient has signed, copay have not been collected before service has been rendered. Patient
are not always stopping at the checkout after testing or they are not finished with testing
before the front end or check out staff has left.
Another issue that can develop with the current process is the insurance does not have
to pay for the service that was rendered as we do not have a signed treatment and consent for
the physician. The insurance or patient then is not responsible for paying for service if the
physician should be audited and then the physician could possibly have to pay the insurance
back for those services rendered.
2. Proposed process
Patient will check in with Patient Access to be registered for testing. The registrar will
then stop and wait with the patient at the front desk so they can be arrived and all the
necessary documentation can be signed along with copay being collected. They will then be
handed their stickers along with Dr. Curry paper work. The registrar will then take the patient to
the testing waiting area and placing the stickers in the appropriated bin.
Q/A
1. How will the registrar know if this patient will need to stop at check in test prior to
testing?
Answer There will be several trials we can do to see which process will work.
2. When the appointment is schedule the scheduler will note on the tilt test that patient
will need to stop at the check in desk prior to going back to test (7th
KC TILT
NPTO/tilt/tlk r:bowser x:syncope TRP 030915mg)
3. Front Desk opener will check the schedule and will call down to Patient Access at 365-
5220 to notify them on which patient will need to stop at the front desk to be check-in
for KC appointment.
4. Patient will check in with Patient Access to be registered for testing. The registrar will
then stop at the check in desk with the patient giving the receptionist the testing
stickers. The front desk staff will then check the patient in for their appointment with
KC. They will then escort the patient to the testing waiting area and place the patient
stickers in the testing bin.
Dr. Curry only does tilt/tlk on Wednesday with some exception on Friday.
3. Revised version and the current process
When appointment is schedule the scheduler will note in the comment sections
as follows. (7th
KC TILT NPTO/tilt/tlk r: Bowser x: syncope TRP 030915mg) This will then alert
the registrar that the patient will need to stop and that front desk on the 7th
floor prior to
patient heading back to testing.

then stop at the check in desk with the patient giving the receptionist the testing stickers. The
front desk staff will then check the patient in for their appointment with KC. They will then
escort the patient to the testing waiting area and place the patient stickers in the testing bin.
The current process seems to be working a little bit better. We have had a couple of
incidents where the registrar did not stop at the front desk and completed appointment we
were able to catch it in check out.
