Last week,IattendedameetingforSAAY.Overall,Ithoughtthatthe meetingwentgreat!5
aspectsthat made thismeetingasuccesswere the following:
1. Memberswere notifiedinadvance of the meetingon(1/13/16) and room.
a. Specifically,Yuliysentoutthe followingemail the daybefore (1/12/16)
Hi everyone,
This is a reminder that we are having a meeting Wednesday. The LOCATION AND TIME
HAVE CHANGED to 7:30 pm at 2205 Haring Hall. This is a mandatory meeting because
we have many impending issues to discuss and decide upon together. The fate of rush,
potential new members, this quarter, and the next will be decided during this meeting; be
there.

2. There was a pre-arranged agenda.
a. Again,Yuliyputtogetherapower-pointpresentation thatallowedustostayon-topic
and keptthe meetingmovingforward.
3. The chair summarizedmain point of discussion.
a. Since we do nothave a Secretaryrightnow,I,as the Vice President,recordedthe
meeting-minutesandsummarizedthe decisionsthatwere made (out-loud)inorderto
confirmthat I recordedthemcorrectly.
4. The meetingwas movedalong a challengingpace.
a. Due to the tremendousamountof decisionsthatwere made insucha small sitting, it
challengedustocontinue the meetingwithachangedmind-setandhave the previous
decisionsinmindwhendiscussingfurthertopics.
5. Membersparticipatedin discussionand decision-making.
a. The meetingwasrunas a small discussionamongstthe ExecutiveBoardandgeneral
members.One of the topicsof discussionwasPicnicDay.Iwas “wowed”byall of the
ideasthatthe general membersgenerated,andinwhichthe ExecutiveBoardwas
unable tocome up with,inour E-boardmeetingpreviously!
Yet,like all orgs,there isalwaysareasto improve on:
1. Responsibilitieswere widelydistributed.
a. It seemstome that most of the work and preparationforthe meetingwasputonthe
Co-presidents,mostlybecausetheywere the onesthatdecidedtoputeverything
together.Since the VP(myself)andTreasurerwere notgivenmuchwork,we didnot
take the initiative tofigure outorask the Co-presidentsif theyneededhelpwith
anything.Nexttime, however, itwouldbe betterforbothof us to take the initiative in
orderto lessenthe burdenonthe Co-presidentsanddecrease riskof burn-out.
2. Attendance was good.
a. Eventhoughan email notificationwassentoutthe daybefore aboutthe meeting,
several peopledidnotcome (about5).Thismay seemlike asmall number,butina fairlynew
org, thismakesa bigdifference.Todeal withthissituation,we decidedtosendouttexts andan
email toall membersthatmissedthe meeting,telling themthattheyare onlyallowedtomiss2
meetings,aswell asforthemto notifyus byemail ortexta day before,if theyare unable to
make it.
3. Volunteerforcommittee appointmentsand task assignmentscame quickly.
a. As we were discussingthe topicof future events,suchas Social Night,InfoNight,
Fundraiseratthe Habit, as well asPicnicDay,onlya few people volunteeredtotake on
higherrolesinthese events.Notwantingtotake the responsibility,manymembers
volunteeredthose whowere gone totake onthese higherroles.Yuliyagreedand
reasonedthatthiswouldbe a goodconsequence forthose whomissedthe meetingand
it wouldmotivate themtocome toour meetingnexttime.
