Introduction to Learning Management System
What is a Learning Management System (LMS)?
• A LMS is software used for managing all modes of learning activities.
LMS’s are proven to:
Improves business process efficiency
• A reduction in manual data entry.
• Tracks and reports on participant learning progress.
• Automates record keeping and the majority of administration.
Facilitates learning and improves evaluation
• Develop a culture of learning and self management.
• Improves learning speed and evaluation. e.g. Big Data
Five simple steps in selecting your LMS
Analyze
your
needs
Define your
requirements
Product

LMS sample criteria
System Requirements:
 Scalability
 Reporting Capability
 Technical support
 Cloud capability
 Assessment capabilities
(attendance, grading)
 Scheduling capability
 Certification
User:
 User-friendly and ergonomic
 Transparent and multi lingual
 Compatible with all major
devices e.g. laptop, phone,
tablet.
 Autonomy over their learning
 Help and tutorial capability
 Social Intranet or chat room
capability
Content Evaluation
Two types of Content – Live and Recorded
 Live: Webinars.
 Recorded: Slide shows, White papers, videos,
SCORM courses, etc
Standard file types and upload limits:
 ppt, pptx, doc, docx, xls, xlsx, pdf, epub: 200 MB
 sql: 200 MB
 gif, jpg, jpeg, png: 10 MB
 mp4, webm, ogg, ogv, avi, mpeg. mpg, mov, wmv,
3gp, flv: 600 MB
 mp3, aac, ogg, wav, mpeg, webm, wave, wav, wma,
ra, aif, aiff: 600 MB
 zip: 600 MB
 swf: 600 MB
Content requirements:
 High content upload limit and stability.
 Security (SSO) and Data protection.
 Personalize.
 Privacy settings.
 Compatibility with SCORM, AICC and API.
 Compatibility with Microsoft, Adobe, Prezi
and other prominent software.
 Fast upload/ download speed
 Immediate backup of all content
Best practice is blend of in-house and
third party content for your LMS.
Six Step Deployment Plan: 1. Planning
Planning
Configuration
Integration
Migration
Testing
Live
1. Planning:
• Implementation plan: Assemble your
team and assign roles.
• Vendor project plan – Task deadline
and duration
• Create a communication plan.
Company updates, deadlines etc.
• Budget planning.
• LMS deployment completion time
averages 6-9 months with vendor
software.
Deployment Plan: 2. Configuration criteria
2. Configuration
 What user data do want in your LMS?:
Decide what employee demographics you
need, e.g. name, gender, function, start date etc.,
for your relational database.
 Domains and audiences: Do you require
different portals? e.g. sales
 Bespoke course catalogue/structure and
metadata: How would you like your course
catalogue to look and course tags/properties. e.g.
webinar; spanish.
 Evaluation and assessment: What tests and
Questionnaires do you prefer
 Competencies: Align company competency
framework to task if required. e.g Proficiency
scale.
 Notifications: Assign reminders, alerts,
confirmation, e.g. test results or course reminder.
 Reports: Define your report requirements from
inception.
Planning Configuration Integration Migration Testing Go Live
Deployment Plan: 3. Integration
3. Integration
 User data: Integrate LMS with existing user data bases e.g. excel sheets.
 Single Sign-On(SSO): Makes it easier and faster for users to access multiple
programs without inputting their creditionals several times. e.g. Logging in
externally, simulataneously log in to
 Portal: Creating a link to different systems e.g. employee intranet.
 Enterprise search: intergrating your LMS into your Enterprise search .
Planning Configuration Integration Migration Testing Go Live
Deployment Plan: 4.Migration, 5.Testing and 6.Going Live
4. Migration:
 Data retention policy: Archive superfluous obsolete data that extends beyond your
DRP.
 User data feeds : Test and link user feeds from legacy system.
 Courseware data: no applicable to Woodie’s as there are currently no Legacy LMS .
5. Testing:
 Before going live organize bug testing teams for different functionalities.
 Catalogue and test procedures e.g data input and report generation.
6. Go Live:
 Create contingency plan and avoid scheduling training 1 week before and after to
screen for bugs.
 Response script and helpdesk FAQ sheet.
 Go live over a weekend.
Planning Configuration Integration Migration Testing Go Live
Post Deployment: Clean up your LM-MESS!
 Standards:
 Policies and procedures: content
ownership , content review and data
retention policy.
 Course structure and properties.
 Classifications-
 Personalized tag lists for search engine.
 Course and curriculum classifications.
 Configuration management:
 Document configurations for future
employees. A Handbook of
authentication, taxonomies, standards
etc.
 Housekeeping:
 Clean your data during migration.
Create a list of data that is no longer
useful.
 Practice on demo to avoid permanent
mistakes before actual LMS.
 Governance:
 Protect your investment by delegating
governance of LMS areas to designated
groups. e.g
 Senior executives manage LMS
strategy
 Line managers to manage policy
 Team to review taxonomy and
standards.
 Operations team to govern
administrative, content and
technical standards.
Deployment Plan: Potential Delays
Implementation Challenges:
 Underestimating your IT/implementation team resources.
 Underestimating process times.
 Under-resourcing LMS administration.
 Failure to monitor system effectively.
 Underestimating the change management required for task.
Potential Challenges
 System maturation issues.
 Employee resistance.
 Stakeholder buy-in in the selection process.
 Organizational preparedness – who will be responsible for what?
 IT support.
 Computer literacy.
 Compatibility.
 User friendliness.
 Budget cuts and project delays.

Editor's Notes

  1. ----- Meeting Notes (08/08/16 11:22) ----- Analyze your needs: Is woodies planning to expand rapidly? . e.g. Scalabilty. Consult learning committee and senior management. Define your requirements ; Functional (multilingual), technical ( user scale) and cost requirements (ad license fees). e.g. download SCORM excel tutorials whilst also providing content for ILT. Product vetting: Products that do not provide essential requirements. e.g. Comparison Chart Provider evaluation: Request for information (RFI): How they can meet your requirements. Provider demonstration: Invite provider to the office to solve your case studies and rule out the weakest. Trial version: Request a trial version of your case study to explore user interface/design etc. Ask for customer references. Financial standing: Assess the financial strength to determine if the provider has the capability to support your product and evolve respectively. 5. Product selection: Send a request for proposal, highlight pricing, implementation and support. Pit one provider against the other to find the lowest price
