Background:
This case study is about a solo-provider specialty practice with five staff employees. A relatively
new practice, small business owner of about four years, although the provider has been within the
specialty industry for over 25 years. Despite the Providers’ clinical expertise, workflow management
between their electronic health records and medical billing applications was non-existent.
I met the provider at a local network gathering. We kept in touch and after three years the
provider called me one night and said, “I’m ready for you to do my billing!”. We met, inefficiencies were
identified, a plan was created and our team went to work.
What we did:
Now, not only did we take on her billing, we created an interface between the EHR of their
choosing and our practice management solution, iClaim©. We created a succinct workflow and
designed specific routines for the staff to reduce the redundant tasks they were previously doing. Our
team implemented patient statement billing, which the practice did not do prior to our partnership, due
to ‘lack of time’. Talk about leaving money behind!
The first month our team performed within iClaim© our revenue cycle management (RCM)
process, the insurance reimbursements were okay…netting $53k. This was not nearly close to my goal.
I tweaked a task here and there, which gave the provider more time to work on the business and see
more patients. Before our team knew it, the practice productivity increase by 25%, then 50% and
ultimately by 200%! Yes, 200%. Our team began the RCM process with 100 claims per day. When the
practice increased their productivity to 200%...our team was performing the RCM process with 450 –
500 claims per day, and we didn’t begin to tap out iClaim© capacity! Within an eighteen-month time
frame and implementing our RCM process, this practice went from $53k the first month, to an average
of $527k per month, just a year and a half later.
There it is…a solo provider that realized a call was warranted. All I heard was, “Beverly, I’m
ready for you to do my billing!”. And that’s where our team came in…
