Annual report for the management of information
systems
Of HOI MEA Company

Information System Manager
1- Printers & photocopiers
-I had the privilege of joining the company in April 2015
and directly assess the Departments’ systems and
company information as well as services provided to
other departments and the results were as follows:
1. printers and photocopiers have been initiated
according to recommendation I quickly started and
found the following:
1.1 6 photocopiers branded HP black and white multi-
functions between Maadi (headquarters), El Salam
factory and two multi-functions color copier, all are used
(company bought it old)
1.2 machines mentioned above were in bad conditions
with the exception of Port Said factory machine
their was maintenance contract with the supplier (very
high cost) rather consumption is staffed with highly
qualified technicians and waste due to the high price of
their own inks and falling under non-genuine inks which
have a factor in the consumption of Photocopiers.
1.3 having lots of small printers in all company offices
and representing also the high cost of printing
company.
We studied the problem from two ways:
1.1 search companies for maintenance of printers, photocopiers and
annual maintenance contract work, but this solution consumed much
time searching and found the lack of credibility and the manipulation of
hand performances, plus the cost was high in addition to cost and inks
that are mostly non-native
1.2 search for companies to submit bids for new machines; there were
two Xerox and Canon Inc. and both are pioneers in this area. After the
financial presentations, we found display of Canon best materially with
equal professional presentations and has been discussed with the
company to get the best deals with commitment to quality and service
provided including (maintenance – original parts – inks – ensure change
Photocopiers in case of damage by 60%)
The actions taken were:
1- Printers & photocopiers
2. Company E-Mail
Found many problems with e-mails provider
1.1 lack privacy and doubts of your company's email
hacked.
1.2 inability to add any new email accounts since the
end of the allocated space for the company from the
service provider (LINK).
1.3 high cost of email account that reached annual 100
pounds per account.
1.4 there were more than one domain (such as Hoi-
group.net - Hoi-aste.com - hoi-aste.net - hoi-
group.com
1.1 we look for companies that offer protected emails, non-porous, provide greater capacity and give us
availability to create unlimited number of email accounts.
1.2 directly we transfer our mail hosting from LINK to the other company and switching (.net) to (.com) with
retention of employee mails.
1.3 we keep working with LINK domain until the transfer to the new domain with messages to both send
Post-it notes email on domain link reports change email (@hoi-group.net) to (@hoi-mea.com) and was
done and we are today without crashes only normal day problems.
1.4 By end of 2015 we had 200 E-mail Account with mail server capacity 30GB but by end of 2016 we have
350 E-mail account with 60 GB mail server capacity
The actions taken were
3- The internal network of the
company1.1 By End of 2015 we built new network infrastructure in
a professional way in the implementation of the work of
the network, easy maintenance, follow their problems
and also the possibility of network transfer from one
place to another with the exploitation of all parts of the
network like LAN switches, patch panel, Vez Blatt and
Racks all that with minimum loss near to 10%.
4- Attendance System & INOut sequence
lack of attendance and parting company staff and
accommodates gives full control of the entry and exit of
personnel
So we work hardly for the following points.
1.1 after searching for attendance and in/out system on similar companies (Alcan – MobiServe) and a
search for appropriate quotations; installed machinery entry and exit the main building and the Villa and
linked to our attendance system ( this for hardware)
1.2 we got OTMS attendance system which is included with SAP System
1.3 we work directly to compline our hardware and software to have full controlled attendance system
5- VPN connection
The lack of a link between the branches of the
Company factories and administrative buildings.
1.1 find the best service providers between Link, Te-Data and Etisalat Misr; differentiate between
presentations and settled on the Etisalat Misr.
1.2 Already linked between both the main building and villa as well as October factory and El
Salam factory and running to link other factories.
The action taken was
6- Internet Connection
Bad and slow Internet service and no more than
an Internet connection from different companies
even have one in reserve.
1.1 Internet Speed has been modified to 4 Mbps in both the Villa and the main Building.
1.2 new Internet line was installed 4 MB from another company (TE- Data) to be backup line in
HQ.
The action taken were
7- surveillance Cameras
The absence of CCTV systems in administrative
buildings and factories or were not working.
1.1 Directly we estimate needed for this project do execute it on steps
1.1.1 Main building HQ in maadi done with 13 indoor camera and 7 outdoor camera recode for 20 days.
1.1.2 Vella in Maadi done with 11 indoor camera and 5 outdoor record for 25 days.
1.2 Surveillance cameras in el salam Factory as we know that the factory will transfer to 10th of Ramadan factory we do
partial project to control and securing the main entrances so that it can be used again in a factory 10th of Ramadan.
1.3 also partial project was done in 10th of Ramadan factory until we pass with hall project in the factory
IT Team Take this project as A major project
8- internal PBX
The company's PBX is too old and the number of
lines is not sufficient to meet the needs of the
company.
As we discuss this project last report and postponed it
When we transfer to the new building this project considered as major issue we begin to find
the best solution we find that we can go with Panasonic ks50 because it has a lot of feature
we can use it
1.1 It contain 64 internal telephone line.
1.2 It contain 6 external line.
1.3 dsp card we will use it to connect with factories as internal extension in our pbx.
1.4 Contain voice message and auto redirect services.
1st project in new building
9- Company Website
The company's website is very bad and contains
many old information as well as a lot of incorrect
data.
1.1 after reviewing the company's website (www.hoi-group.com) found that contains a lot of old
information and erroneous.
1.2 a new site was created entirely in cooperation with Marketing dep. and a Lebanese company
to become (www.hoi-mea.com)

 Since we start wit Information Systems Management HOI-MEA company and discovery of
absence of data center
 we had been our main target of us is the establishment of a data center commensurate with
business size of the company, also a scalable and modernization

equipment and intellectual property.
 Data Centers house the devices that do the following:
 Process your business transactions
 Process and store your intellectual property
 Maintain your financial records
 Route your e-mails
 File Server Hosting
• One of the major projects assigned for the information
management systems by the management of the
company.
• Our responsibility is the processing landscape
commensurate with the requirements of the SAP
system.
• Directly we started to search for the requirements
through our partners in the ECS Company to reach the
best working environments for implantation and
agreement was reached on what can be clarified in the
opposite form.
• Our Strategy to make it easy and latest technology so
we go toward virtual technology so no need to pay
more in hardware we can do it by software which is
more easy to upgrade with low cost
SAP System
10- inventory of all equipment received by company
employees
No database for (desktops –laptops, GPS, printers, Digital
Cameras and label machines)
Complete inventory of all laptops and laptop, printers, digital cameras and GPS devices with existing
employees and record it on our computer as well as receipts signed by replacing the existing mandate.
The action taken was
11- IT Storage
lots of laptops off work and digital cameras
without check or see faults.
1.1 have been checked and restart what works for them and delivered to the company
employees both by the nature of his work.
1.2 those that did not work, used them as spare parts for the maintenance of any similar devices
rather than to buy spare parts or new devices.
The action taken was
12-Purchasing Policies
No service provided to company employees,
whoever wanted to purchase or fix his device
would go on his own; no control.
It was agreed that any Purchases must be through information system dep. and Purchasing
Dep. not by employees to avoid any errors in specifications and price.
The action taken was
- Now I am pleased to extend to you the action plan for 2016
We look forward to presenting it and add it to the information systems
dep.
1-attendance and InOut system circulated (factory – factory October –
port said plant) and make it central to the main building.
2. New network infrastructure for 10th of Ramadan factory.
3. Camera surveillance system for all factories can be monitored through
the Internet with storage units on each site.
4. An inventory of all Company Assets registered on the bar code system
each piece based and recorded on the SAP System in cooperation with
warehouse management and inventory.
5. Updating and linking all factories and company premises to become
one.
6. Enter the property (Scan by Mail) to all photocopiers.
7. the work of the independent store systems and information
management.
9. planning for operation licenses for software company (Microsoft
Windows – Microsoft Office – AutoCAD – Adobe Acrobat – Adobe
Photoshop – antivirus) on the stages are scheduled
