1. The Power of Meeting
Minutes
"The purpose of minutes is not to record events, it is to protect people.
Minutes are there to reflect what people thought they should have said,
with the benefit of hindsight. You try to improve on what has been said,
put it in a better order."

2. Benefits of Taking Meeting Minutes
1 Stay Organized
Meeting notes create a clear summary of
what was discussed, actionable items,
and who is responsible for each task.
2 Show Progress
Over time, meeting notes become a
record of accomplishments and
milestones which is great for tracking
progress and keeping everyone on the
same page.
3 Encourage Engagement
By keeping detailed notes, you can
ensure that everyone in the meeting is
aware of what others are discussing, and
therefore, more likely to contribute.
4 Improve Decision Making
Meeting notes serve as a reference point
for important decisions made during a
meeting, ensuring that everyone is on the
same page.
3. How to Effectively Take Meeting Minutes
Use a MAC
Open the Voice Memos app.
Click the record button (it’s the
red circle). To pause recording,
click it again. When you’re
finished, click Done. You’ll see
the recording pop up on the left
side of the window.
Use a Windows PC
To turn on voice typing in
Windows 11, press Windows
key + H on your PC’s
hardware keyboard. If your
device has a touch keyboard,
press the microphone key, next
to the spacebar. Once voice
typing is turned on, your
computer will automatically
start listening.

Try a Tablet
If writing things down by hand
is more your style, feel free to
do so. Just double check that
you have a good pen and
paper with you. OR you want
the best of both worlds, a tablet
may be the way to go. It allows
for easy note-taking while also
syncing with other digital tools
like email or calendars.
4. Common Mistakes to Avoid When
Taking Meeting Minutes
Writing Down Everything
It's tempting to write down every word that's
spoken, but taking thorough notes means
only capturing the essential information.
Not Asking for Clarification
If you don't understand what's being
discussed, don't be afraid to ask for
clarification. It's better to ask now than
misinterpret the message later.
Forgetting Action Items
Keeping track of what was said is great, but
failing to capture action items can be
disastrous. Be sure to record who's
responsible for what tasks.
Not Reviewing Your Notes
It's important to review your meeting notes,
as they can be used as a reference later.
Make sure they're legible and organized.
5. Ways to Organize Meeting Minutes
1 Date & Meeting Name
The most basic way of organizing
meeting notes is by date and the title
of the meeting. Ensure there is a clear
record of the meeting name, date, and
location (if applicable).
2
By Category
Group notes by the topics discussed
(e.g financials, web design, etc). This
can make it easier to access a specific
piece of information and help in the
retrieval of data. 3 By Attendee
Organize notes by the name of the
attendee contributing the most to the
particular task or category. It will help
to understand which attendee was the
most responsive and contributed their
best.
4
By Priority
Differentiate the notes as Low,
Medium and High priority. Categorizing
and organizing the bulky data in order
of priority can help you to recall the
important points and the
corresponding actions taken later on.
6. Sharing Meeting Minutes with Attendees
Email Everyone
After the meeting, share the
notes by email. Include the
date, subject, and the list of
attendees. Share the meeting
notes right after the meeting.
Online Platforms
You can also share the
meeting notes through online
collaboration platforms like
Asana, Teams, Trello or
Google Docs. Share it with
the team members so they
can be in the loop as well.
In-person
Distribution
If the meeting took place in
your office, you can print the
notes and distribute them to
the participants before the
next meeting. Share the file in
a readable format like pdf.
