2. INTRODUCTION
1. This project is based on resort management system which is purposed to make online booking system from a
manual data entry booking system.
2. The main aim of the entire activity is to automate the process of day to day activities of a resort.
3. We have tried to make a website for managing the general activities of a resort like booking of rooms etc. The
customers would be able to book rooms online by browsing through resort room pictures, rates, reviews and
other amenities.
4. They can also order food through the ORIENT RESTAURANT tab. We also have a chatbot to assist
customers in knowing the room and food rates without much effort.
5. At the same time, the resort can also add, delete or update rooms according to the bookings and will be able
to manage customer details using additional effort.
3. PROBLEM DEFINITION
1. If the customers need to change the check in date it becomes difficult for them to find out the customers
booking details for updating as there are so many customer booking records.
2. customers cannot give feedback online and also staff cannot reply to them promptly.
3. tourists cannot get the chance to view their apartment rooms or hotels rooms before they book them.
4. There could also be billing errors since the entire billing process of many customers is done manually.
5. It becomes difficult for the customers to find out rates of rooms and food items for fixing a budget.
6. Customers are unaware about the type of food items availaible at the resort until they visit.
if the customers need to change the check in date it becomes
difficult for them to find out the customers booking details for
updating as there are so many customer booking records.
4. EXISTING SYSTEM
1)Manually keeping records and finding them when needed is very time consuming.
2) Data is not always reliable as it is hand written and some human errors might have occurred.
3) Slow process of reservation. User has to find manually whether room is available or not.
4) Hotel information data are not secured. It can be easily theft or altered.
5) Finding out room rates and the rates of food items available at the resort is very time
consuming.
6) Unable to know the resort properly without customer reviews.
5. PROPOSED SYSTEM
1. To enable online booking via the internet.
2. To enable automated data entry methods.
3. To ensure efficient and reliable communication within the hotel.
4. Avoid data entry errors by use of input masks.
5. Enable easy authorized modification of data.
6. Enforce security measures to avoid unauthorized access to guest records.
7. Enable fast and easy retrieval of guest records and data for fast reference activities.
8. Ensures unnecessary wastage of time
6. FEATURES OF NEW SYSTEM
1) Easy management of checking-in and other processes.
2) It saves time.
3) It can give accurate information about the records of the resort whenever required.
4) The billing system becomes easy and more reliable.
5) It reduces paper work.
6) Customer information is been maintained.
7. METHODOLOGY
The method being used in
developing the system is the
system Development Life Cycle
(SDLC).
The system Development Life
Cycle (SDLC) is a traditional
methodology used to develop,
maintain and replace or enhance
information system.
The SDLC process includes
project identification and
selection, project initiation and
planning, analysis, design,
implementation and maintenance
8. HARDWARE REQUIREMENTS
HARDWARE SELECTION:
I) MINIMUM REQUIREMENTS :-
· Processor : Intel(R) Pentium (TM) 4
· RAM : 2.00 GB
· Operating system : Windows 7 64-bit Operating system
· Screen Resolution : 1280 x 1024
· Internet Connection : Required
II) RECOMMENDED REQUIREMENTS :-
· Processor : Intel(R) Core (TM) i3
· RAM : 4.00 GB
· Operating system : Windows 10 64-bit Operating system
· Screen Resolution : 1366 x 768
· Internet Connection : Required
10. FACT FINDING TECHNIQUES
1)OBSERVATION:
The team closely observed the resort’s activities as the guests are served at the hotel and how the management
carries out its managerial activities. The team found out that the hotel indeed was in a need for automation of its
activities to reach its maximum potential. The guest admission and booking process was not well managed by the
current manual system, hence, the team came up with this system to clearly outline the management boundaries
of the two departments.
The guest payment process also needed an urgent check up as it led to confusion on the accounts. The team also
observed that the guest records were not well protected from unauthorized access as ill-motivated guests could
easily gain access to the other guest files by posing as the real guest. From our observation we noted that the
manual system denied the hotel of international guests who would have rather been potential customers through
online booking.
11. 2) QUESTIONNAIRE:
We were sent to several guests and the resort’s staff members. The questionnaires were conducted orally to the
users who were present at the hotel during the time of data collection and sent to appropriate staff members who
were away at the time of data collection. The questions exhaustively dealt with how the system would ensure
maximum output of the hotel to fully realize it’s potential. The responses were used to develop this system
accordingly.
3) INTERVIEW:
This was the most exhaustible method of data collection. The team used their data superior collection skills to
extract data out of the hotel management team, the hotel employees and the nhotel’s guests at the moment of data
collection. The interviewers created a conducive environment in which the interviewees could feel free to let out
the best they could that helped the team come up with the most effective system to fulfill their needs.
12. 4) RECORD REVIEW:
Sample amount of information was collected by means of register which are maintained by the staff .The staff was
very kind to provide us with sample registration forms and bill formats. They also showed us the registration
filling formats which are currently in use.
5) DOCUMENT REVISION
Both the guest and staff documents were revised. Several data entry errors and retrieval problems were
encountered. The system has put into consideration an error recovery strategy that will ensure maximum data
integrity
13. FEASIBILITY STUDYY
The feasibility study is a major factor which contributes to the analysis
of the system. The decision of the system analysis, whether to design a
particular system or not depends on feasibility study. The feasibility
study on the system is divided into the following three areas:
1) Operational Feasibility
2) Technical Feasibility
3) Economic Feasibility
14. i.OPERATIONAL FEASIBILITY
Operational feasibility is the measure of how well a proposed system solves the problems, and
takes advantage of the opportunities identified during scope definition and how it satisfies
the requirements identified in the requirements analysis phase of system development
ANALYSIS :-
1) The system is user-friendly.
2) To enhance user interface.
3) To upgrade systems reliability, availability and flexibility.
4) To address human factors for better and uses acceptance.
15. II .TECHNICAL FEASIBILITY:
Evaluating the technical feasibility is the trickiest part of a feasibility study. This is because, at
this point in time, not too many detailed design of the system, making it difficult to access
issues like performance, costs on (on account of the kind of technology to be deployed etc. A
number of issues have to be considered while doing a technical.
ANALYSIS :-
1) Understand the different technologies involved in the proposed system.
2Before commencing the project, we have to be very clear about what are the technologies that
are to be required for the development of the new system.
3)Find out whether the organization currently possesses the required technologies
16. III . ECONOMICAL FEASIBILITY:
Establishing the cost-effectiveness of the proposed system i.e. if the benefits do not outweigh
the costs then it is not worth going ahead. The purpose of the economic feasibility assessment
is to determine the positive economic benefits to the organization that the proposed system
will provide.
ANALYSIS :-
1)The project is developed using the software which is an open source.
2)There is no need of any extra software to run the system.
3)The new system should be cost effective.
