2. Intro
S The system that Devereux uses to input medical records
into the computer is called Pro-filer. Pro-filer is a very
unique system because it allows you to insert documents
such as medical notes from our onsite physician and or
schedule patient appointments with our receptionist.
Today you will be learning about how to insert medical
notes from our physician so that they are accessible by
the appropriate personnel when needed.
3. Pro-filer
S Most of the things you do while
interning here at Devereux will
have to be accessed through
our EMR system called Pro-
filer.
S To get to Pro-filer you will have
to access Devereux
Applications located on your
main screen.
S Then you will locate the icon
that says Pro-filer.
4. Doctors Notes
S Here is what a doctors note will
look like.
S The key items that you will
need off of this document will
be the:
S Clients Name
S M.R. Number
S Date of Evaluation
5. Scanning Document
S All doctors notes will be scanned
as a PDF to your email.
S Note: Please make sure to save the document in
your M drive with your name under the folder you
create that should be titled “Medical Notes.”
S Scan medical notes to your
email:
S Set paper settings at 8 ½ x 11
and press close.
S Select the menu button.
S Select Scan/Fax.
S Locate and select your name.
S Place medical notes 1 client
at a time face up.
S Press start and medical note
will be sent to your email.
Step 1: Type in client ID, press tab and the client’s information will appear as seen in step 1. Please make sure to verify the clients information as seen on the medical note with the information seen on your Pro-filer screen. To move on to step 2 you will have to click on the link that says “Client Chart”.
Step 2: Locate the components tab to get you to the screen seen in step 2. Select from and correct the date to the one seen on the medical note. In this case it would be Jul 15,2015. Select Recorded Svcs and then press Filter List. After you press filter list the services will begin to pop up in the white box below. Locate the service that was performed on this client by looking for the date that matches with the service. Sometimes there may be more services with the same date. If this occurs you can look at the time that this service started by comparing the time from the medical note with the time on Pro-filer. Same thing goes with the Provider name on Pro-filer with the Provider Signoff on the medical note. When the correct service is located that matches the medical note double click on the service and move on to step 3.
Step 3: When you double clicked on the service seen in step 2, this page will popup. Locate the Attach button at the bottom of the screen and click it.
Step 4: Click on the green symbol that is circled in step 4 and move on to step 5.
Step 5: In Abbr. Name type in the clients name along with the date of their service. In attachment file you will press browse and go to your M drive to locate the file that you created called Medical Notes. Find the clients medical notes document that you saved inside of your Medical Notes file and double click. The file will appear on your Pro-filer screen. Under Effective please check the box or you will not be able to move to the next step. Note: Please do not change the effective date that is located on the picture in step 5 as that is the actual date that the document was inputted within the system. Press save and move on to step 6.
Step 6: You will be brought back to the screen from step 4. This time you will hit the Filter tab and the medical note that you inserted will popup. (Note: Please verify because you do not want to insert the wrong clients employee notes inside of another clients file. If that problem occurs you will have to contact Devereux’s help desk). Click on the service from the attached files page and press the view tab to verify the clients medical notes. Move on to step 7.
Step 7: The PDF file that you inserted will appear. Please verify that the document that was inserted was the right medical note for the right client. Press X if the document is correct and you will be back at screen 6.
Step 8: Press Close. Move to step 9.
Step 9: Press save to close out this screen.
Step 10: Press save to properly close out this screen. Congratulations you have successfully learned how to insert a medical note document into a electronic medical record called Pro-filer!!
