The user will be able to access the billable time logs by
clicking on the money module on the top menu.
By clicking on time tracking, the user will view all the time
logs by the users in a grid view.

Through the actions wheel next to the time log, the user will be able view/edit and delete a time log.
The user will be able to do certain actions such as export the time logs, access the tools, choose
the columns to be viewed and search for a time log.

Chapter 2 - Managing Expenses

4 1 • A user can access the expenses recorded on the system through the Expenses tab
in the money module. Just like any other grid in the system, the user will be able
to export data, customize columns, search for an expense etc.
• There are certain actions a user can do from the settings wheel next to an
expense( view/edit, change billing status etc.). The admin can set an approval
process where the user that is responsible for the Money module (ex. accountant)
will have to approve recorded expenses before generating an invoice.

In this case, the expense is not yet approved and is still in open so the user responsible will need to
approve it in order for it to move through the expense workflow.
In this case, the expense is approved, the user responsible will have the option to
set it as “needs revision”. Other actions are view/edit, change billing status, set it
back to open etc.
In this case, the expense has already been invoiced. Thus the user responsible will only
be able to view/edit and change its billing status.

4 1 • A user can access the invoices generated in the system through the
Invoices tab in the money module. Just like any other grid in the
system, the user will be able to export data, customize columns,
search for an expense etc.
• There are certain actions a user can do from the settings wheel
next to an invoice ( view/edit, change billing status etc.).

• When the status of the invoice is “overdue”, there are certain actions that can be done
from the settings wheel next to the invoice such as view/edit, record payment, payment
made etc.
• This case also applies when the invoice status is “paid”.
5 When the status of the invoice is “open” there are certain actions that can be done from the settings
wheel such as view, record payment, payment made, set as draft etc.
When the status of the invoice is “overdue” and a partial payment has been made there are
certain actions that can be done from the settings wheel.
When the status of the invoice is “draft” there are certain actions to be done from the settings
wheel.

If a user chose to
view/edit an invoice,
he/she will be able to
see the details filled out.
Through the settings
wheel, the user will also
be able to show item
date and export the
invoice to the template
of his/her choice.

The user will also be able to access the payment made by the invoice in details as well as any
related documents attached to this invoice.

Chapter 3 – Managing Invoices
• The user will be able to create and access the quotes from the “invoices” tab in the Money module.
• The user will be able to create a quote as a “draft” of an invoice. The quote can then be shared with the
client for approval and then converted to an invoice.
• There are certain actions that can be done from the grid such as view/edit a quote and deleting it from
the settings wheel on the left side of a quote.

The admin will be able to access the settings of the Money module by clicking on Accountant and then settings. He/she
will be guided to a page where the admin will be able to customize and configure tabs in the module such as entities,
invoice templates and more.

• The admin will be able to manage the
entity of the money module as well as
the system from this section. In case the
company has multiple branches, the
admin will be able to manage different
entities.
• Adding a new entity is simple, the admin
is required to click on “setup entities”,
add new entity and fill out the necessary

• From this section, the admin will be able to
change all details relating to the invoice.
The admin will be able to add the taxes,
modify items and more.
• The admin also has the opportunity to
customize an invoice template for the
company to that of the company’s choice.

add an invoice tax by
clicking on Taxes → Add
New Invoice Tax.
• The user will then be able
to fill out the necessary
details such as the tax
name, percentage etc.

• The admin will then be able to create a name
for the created template and relate it to an
entity.

clicking on Configure Cover Page → Create Cover Template →
choosing the entity and creating a cover page for it.

module. The invoice language can either be the default language of the whole
system, or the admin can translate fields into any language of choice.

  • 4. Chapter 2 - Managing Expenses 1 2 3 4 1 • A user can access the expenses recorded on the system through the Expenses tab in the money module. Just like any other grid in the system, the user will be able to export data, customize columns, search for an expense etc. • There are certain actions a user can do from the settings wheel next to an expense( view/edit, change billing status etc.). The admin can set an approval process where the user that is responsible for the Money module (ex. accountant) will have to approve recorded expenses before generating an invoice. Chapter 2 - Managing Expenses 2 3 4 In this case, the expense is not yet approved and is still in open so the user responsible will need to approve it in order for it to move through the expense workflow. In this case, the expense is approved, the user responsible will have the option to set it as “needs revision”. Other actions are view/edit, change billing status, set it back to open etc. In this case, the expense has already been invoiced. Chapter 3 – Managing Invoices 2 3 4 • When the status of the invoice is “overdue”, there are certain actions that can be done from the settings wheel next to the invoice such as view/edit, record payment, payment made etc. • This case also applies when the invoice status is “paid”. 5 When the status of the invoice is “open” there are certain actions that can be done from the settings wheel such as view, record payment, payment made, set as draft etc. When the status of the invoice is “overdue” and a partial payment has been made there are certain actions that can be done from the settings wheel. In case the company has multiple branches, the admin will be able to manage different entities. • Adding a new entity is simple, the admin is required to click on “setup entities”, add new entity and fill out the necessary information.
