■ Planning a letter
– Do a SAP (Subject, Audience & Purpose) analysis.
– Gather the information you need and do additional research of needed
Make a simple 1-2-3 outline of the points in the order in which you want to
write
Types of letters:

■ To thank
■ To give news
■ To apologize
■ To invite
■ To make or renew contact with someone
■ To send greetings
■ To make arrangements
■ To reply to another letter
4. General format of a personal letter
■ At the top right-hand corner of the page, write your address and date(address
at times not necessary)
■ Begin your letter with a greeting of some kind- “Dear”
■ Use the first para to set the scene and to state the main purpose.
■ Organize the rest of the letter into different paragraphs.
■ Don’t worry too much about punctuation mark
■ Use the last para to send good wishes
■ Finish your letter with a farewll message- see you soon, bye for now, best
wihes, regards etc
8. Cover Letter/Covering Letter
■ Cover Letters are used to assess an applicant’s ability to write clearly and
concisely. Your cover letter will be undergoing careful scrutiny if you are
applying for a job in the technology field or applying to a position abroad.
■ Mistakes in the cover letter can undermine your candidacy. Cover letter should
be devoid of typos, grammatical mistakes etc.
