Welcome
New in MAXQDA 2022: the MAXQDA TeamCloud
No matter where in the world you work: The new MAXQDA TeamCloud integrates
collaboration with others even better into your workflow, enabling you to work with
colleagues around the world.
Concentrate on your research work while MAXQDA takes care of the rest!
Share your project via the secure MAXQDA TeamCloud environment.

Invite up to four additional people to your TeamCloud project.

Edit and analyze your project offline with MAXQDA.

As a team member, upload your work to MAXQDA TeamCloud for the team lead.

Get started!
It only needs a few things to start collaborating in MAXQDA TeamCloud.
Create TeamCloud account
All project members, i.e. team lead and team members, need a MAXQDA TeamCloud
account. This is free of charge for all users who wish to join a project as a team
member. Register easily here: https://teamcloud.maxqda.com/register.
Team lead needs cloud license
In order to be able to share projects with your project team in MAXQDA TeamCloud in
the role of team lead, you need a MAXQDA TeamCloud license and a valid MAXQDA
subscription license.
There are two ways to obtain a TeamCloud license:
Method 1: Purchase a TeamCloud license with a new MAXQDA subscription license
Missing products or license options can be assembled in our shop (after product
selection you will be automatically redirected to the website of our e-sales partner
cleverbridge AG).
Choose the MAXQDA subscription license that is suitable for you and add the
MAXQDA TeamCloud license at the time of purchase.
Method 2: Adding a TeamCloud license to an existing MAXQDA subscription license

Notifications and emails MAXQDA supports you throughout the teamwork process
with notifications in various forms depending on the action performed and your user
role.You will receive email notifications in your inbox. In addition, notifications are also
displayed within MAXQDA to the team lead as a small red circle above the Recent
Activity bell icon in the TeamCloud menu. The number inside the red circle
corresponds to the number of unread notifications.
Notification about new activities in TeamCloud menuBy clicking the button you can
view the last 10 notifications - both new and read - in a pop-up window.To view the
complete history of notifications, click View more at the bottom of the popup. This will
open a browser window and you will be automatically redirected to the project
overview page on the MAXQDA TeamCloud website. You can find the project-specific
notification overview in the right column under "Recent Activity".

TeamCloudIf you have not yet created a user account in MAXQDA TeamCloud, click
the Sign up link at the bottom of the dialog box and follow the steps to create a new
account.

Invite project members and enter the email addresses of the people you want to invite
to your project. Add a message for your team and click Invite project member. The
invited team members will then receive an email.Team members join the projectIn the
project invitation email sent to the team members there is a confirmation button. By
clicking it, the team members accept the invitation and join the TeamCloud project.As
soon as a team member has accepted the invitation, the team lead receives an email
for information. In MAXQDA, the team lead also receives a corresponding notification
that the team member in question has joined the project.Furthermore, this information
is also visible on the MAXQDA TeamCloud website on the respective project page
under "Recent Activity".Later, you will be able to manage and maintain your project
team at any time via the MAXQDA TeamCloud website.
MEMBER: Download and/or open project 8
During the download, the existing local project copy is replaced by the downloaded
project file.Working with team projectsYou can now edit and analyze your team
project in MAXQDA in exactly the same way as you are used to, for example by adding
codes, memos, comments, and paraphrases, like in any MAXQDA project.Please note:
To avoid data loss, we recommend that you use TeamCloud projects only on one
computer within a cycle.

MEMBER: Upload project for team leadAfter you, as a team member, have finished
your part of the work on the project, upload your project to the TeamCloud so that it
can be imported into the main project by the team lead in the next step.To do this,
click Upload Project for Team Lead in the TeamCloud tab at the top of the menu.
TeamCloud ribbon from a team member's perspectiveWhile uploading, you have the
option of adding a supplementary comment for the team lead. The comment will also
appear within the notifications in MAXQDA, via email, and in the "Recent Activity"
overview on the MAXQDA TeamCloud website.
Comment function for team members during uploadAfter uploading your data, the
work within the current project cycle is completed for you as a team member. You will
receive a corresponding message in MAXQDA, and the project will then be closed
automatically.Subsequently, you will also see in the MAXQDA welcome screen within
the Team Projects list that you have uploaded the project in question.Please note: In
exceptional cases, team members can upload their editing status to TeamCloud one
more time or even multiple times (coordinate within the team to do this). Additional
uploads are possible until the team lead ends the project cycle or the whole
project.The current project cycle – and when it was started – is always displayed at the
top of the TeamCloud ribbon.

(De-)select the desired elements or accept the existing selection and click Continue.In
the second dialog box you can see the new or updated document-independent
elements. Again, the number of the respective elements is displayed in brackets.

and click Import.After the selected data has been successfully imported, you will once
again receive an overview of the elements transferred to the main project in the form
of an import log.

Import log after successful project import by team leadEach import log is also saved as
a free memo in your project at the same time and can thus be retrieved at any time
later (via Memos > Free Memos).Please note: If you have opened a TeamCloud project
in MAXQDA, the functions Home > Teamwork > Teamwork Import/Export and Home
> Merge Projects are not available – neither for the team lead nor for the team
members. These functions are only available for "normal" MAXQDA projects.How
does MAXQDA proceed with the import?The import of projects follows these
principles:MAXQDA imports all selected data from the team members' projects into
the team lead's main project. Only the data created in the current teamwork cycle will
be imported.
Items deleted by team members (codes, memos, paraphrases, summaries, etc.) are not
deleted in the main project.
If an element already exists at a location in MAXQDA, it will only be imported if the
last editing date is newer than the existing one. In case of conflicts, therefore, the
newest element always "wins" and overwrites the existing element.Example: If Jane
changes the text in a code memo on Friday and Sarah changes the text in the same
code memo on Monday, then after importing the two projects into the main project,
Sarah's edit will be applied and Jane's will be overwritten during import because it is
older.The same is true for edits made by the team lead to the main project, that is,
they are treated the same as changes made by a team member: If the team lead
changed the same code memo as Jane and Sarah did on Tuesday, they are not
imported into the main project at all.For all those who would like to know exactly how
MAXQDA proceeds with the individual elements and what special cases there are, we

have created the following two tables. The first table explains what happens with the
document-related elements:

The tabs in the lower area take you to the detail pages for the project in question,
where you can view and manage files, team members, and the project logbook. These
tabs are also available on the project's detail pages, so you can switch between them
without having to return to the dashboard each time.

Team members that have been invited but not yet joined the project are marked as
"invited". This tag is replaced by a green "member" tag as soon as the invited team
member has joined the project.Remove a team member from a projectTo remove a
team member from a project, click the trash icon next to the team member's
name.After confirming the security question, the person is removed from the project.
This action only applies to the current project. Any memberships in other projects
remain unaffected.If you want to remove a member completely from your project
team, i.e. from all projects at once, you can do it in the Team section.

information about the selected cloud project and get an overview of the current
status.
Project detail pageProject fileIn the Project File section you can see information about
the project file of your cloud project, in which cycle the project currently is, as well as
when and with which comments it was uploaded.In the Actions column, you can use
the Show previous versions button (clock icon with backward arrow) to view the
project files uploaded for each cycle and download them as a local MAXQDA project
in MX22 format if required.As a team lead, you have the additional option at this
point to delete individual previous versions of your project file.Teamwork statusIn the
Teamwork Status section, you can see the processing statuses of your team members -
in each case related to the current project cycle.If a team member has already
uploaded teamwork files to the cloud for the current cycle, you can see when this was
done and which comment, if any, was added by the team member during the
upload.Delete projectThe Delete Project button at the very bottom allows you as a
team lead to delete the entire TeamCloud project.This will irrevocably delete all files
belonging to the project. This also includes previous uploaded versions of the project
file and all external files.After this point, it is no longer possible to access the team
project from MAXQDA.This action cannot be undone.Project size In the right-hand
column at the top, under Project Size, you can always see how much storage space
your project, including all associated external files, currently occupies in the
cloud.Recent activitiesBelow the project size you will find the Recent Activity section in
TeamCloud Website: Project > Files 21
the right column. Here you get an overview of the history of activities since the start of
the project.In this way, you can track, among other things, when team members
joined the project, when and by whom new data was uploaded, or when the team
lead started a new project cycle.If a comment was added during the upload, it is also
visible here.

TeamCloud Website: Project > LogbookYou can keep a separate logbook for each of
your team projects. This consists of a collection of text entries, comparable to a shared
diary.The project logbook is stored online on the cloud server (in contrast to the local
logbook for local projects); it can therefore only be viewed on the MAXQDA
TeamCloud website.The project logbook can be accessed from the respective team
project in MAXQDA via the TeamCloud > Project Logbook menu.Add logbook
entriesAll project members (team lead and team members) can create, edit and delete
entries in the logbook.
The project logbook on the MAXQDA TeamCloud websiteTo add a logbook entry,
click + Add Logbook Entry and enter the title and content of the logbook entry. Then
click the Add new logbook entry button at the bottom. Your username and the
creation date will be added automatically while saving the entry. The list of logbook
entries is sorted in descending order according to the time of creation, so new entries
always appear at the top.Edit logbook entriesTo edit, click on the pencil button next to
the desired logbook entry. Make your changes to the title and/or content of the
logbook entry. When editing an existing entry, the username of the person editing it
and the date of editing are automatically added while saving.Delete logbook entriesTo
delete a logbook entry, click the trash button next to the desired entry.

TeamCloud Website: Team > Seats overviewOn the team page you get an overall
overview of all your seats independent of individual projects.
Seats Overview on the TeamCloud websiteYou can remove individual team members
from the entire team by clicking Remove. This removes the team member from all
projects at the same time and the occupied seat is freed again.

Cloud
space/storage
Storage space in the MAXQDA TeamCloud
Cycle
Working loop of a TeamCloud project. One cycle = team lead shares
the project - members download it, work locally in MAXQDA and
upload their project copy back to the cloud - team lead imports
teamwork files into the main project. Afterwards, the team lead
decides whether to end the project or start another cycle.
Dashboard
Overview of all TeamCloud projects for which you are a team lead or
team member (landing page after logging in to the MAXQDA
TeamCloud website)
Import log
Is automatically created as a free memo when team lead imports team
members' project data into the main project.
Local cloud
workspace
The location for local project copies of TeamCloud projects. Default
folder:
Windows: Documents/-MAXQDA/-
MAXQDA2022/TeamCloudWorkspace
Mac: Documents/MAXQDA/MAXQDA2022/TeamCloudWorkspace
Main project
The locally stored project file of the team lead. Into this the import of
the uploaded project files of the individual team members takes place.
MAXQDA
TeamCloud
Module for team collaboration and interaction. Project files are shared
from within MAXQDA via a secure cloud space.

Website for managing TeamCloud account, TeamCloud projects,

Project

Email notification to team members who are invited to a TeamCloud

information, ideas, or questions.
Roles
In the TeamCloud there are two defined roles: Team lead (1 person
per TeamCloud project) and team member (1-4 people).
Seats
Each person in the team (team lead and team member) occupies a
seat within the TeamCloud license.
Team lead
Fixed role. Team leads store the serial number of the TeamCloud
license in their TeamCloud account. They can then create and share
projects in the cloud.
Team member
Fixed role. Team members are invited by the team lead to the
TeamCloud project and can join it.
TeamCloud
account
Required to use MAXQDA TeamCloud and share projects with the
team. Registration is done via the email address.

TeamCloud
license
License for the MAXQDA TeamCloud module (entitles to use for the
specified term, scope of purchased cloud space, and number of seats).
Is bound to the TeamCloud account of the team lead.

project
A MAXQDA project which is shared via the TeamCloud (file format
*.mc22)
Upload
comment lead
The team lead can optionally add a comment for the team when
starting a new project cycle. The comment appears in the e-mail
notification sent to the team members, can be displayed from the
opened MAXQDA project at any time, and can also be viewed on the
MAXQDA TeamCloud website (Project > Files page).

Welcome 3 Welcome New in MAXQDA 2022: the MAXQDA TeamCloud No matter where in the world you work: The new MAXQDA TeamCloud integrates collaboration with others even better into your workflow, enabling you to work with colleagues around the world. Concentrate on your research work while MAXQDA takes care of the rest! Share your project via the secure MAXQDA TeamCloud environment. ● Invite up to four additional people to your TeamCloud project. ● Edit and analyze your project offline with MAXQDA. ● As a team member, upload your work to MAXQDA TeamCloud for the team lead. ● As a team lead, decide which teamwork files from your team members you want to ● import and when. Let MAXQDA support you in your workflow – for example, by notifying you about ● new imports or downloads. This way, you can always keep an eye on current activities and your project progress. Collect and share important information and notes about your research project with ● all team members in the shared project logbook. Manage your research team and TeamCloud projects online on the MAXQDA ● TeamCloud website.
  • 4. Get started! 4 Get started! It only needs a few things to start collaborating in MAXQDA TeamCloud. Create TeamCloud account All project members, i.e. team lead and team members, need a MAXQDA TeamCloud account. This is free of charge for all users who wish to join a project as a team member. Register easily here: https://teamcloud.maxqda.com/register. Team lead needs cloud license In order to be able to share projects with your project team in MAXQDA TeamCloud in the role of team lead, you need a MAXQDA TeamCloud license and a valid MAXQDA subscription license. There are two ways to obtain a TeamCloud license: Method 1: Purchase a TeamCloud license with a new MAXQDA subscription license Missing products or license options can be assembled in our shop (after product selection you will be automatically redirected to the website of our e-sales partner cleverbridge AG). Choose the MAXQDA subscription license that is suitable for you and add the MAXQDA TeamCloud license at the time of purchase. Method 2: Adding a TeamCloud license to an existing MAXQDA subscription license
  • 5. Workflow and project cycles 5 Notifications and emails MAXQDA supports you throughout the teamwork process with notifications in various forms depending on the action performed and your user role.You will receive email notifications in your inbox. In addition, notifications are also displayed within MAXQDA to the team lead as a small red circle above the Recent Activity bell icon in the TeamCloud menu. The number inside the red circle corresponds to the number of unread notifications. Notification about new activities in TeamCloud menuBy clicking the button you can view the last 10 notifications - both new and read - in a pop-up window.To view the complete history of notifications, click View more at the bottom of the popup. This will open a browser window and you will be automatically redirected to the project overview page on the MAXQDA TeamCloud website. You can find the project-specific notification overview in the right column under "Recent Activity".
  • 6. LEAD & MEMBER: Sign into MAXQDA TeamCloud 6 Sign in dialog in the MAXQDA welcome screen for logging in into MAXQDA TeamCloudIf you have not yet created a user account in MAXQDA TeamCloud, click the Sign up link at the bottom of the dialog box and follow the steps to create a new account.

LEAD: Initiate team project & start cycle 1 7 View of a single project in the dashboard on the MAXQDA TeamCloud websiteClick + Invite project members and enter the email addresses of the people you want to invite to your project. Add a message for your team and click Invite project member. The invited team members will then receive an email.Team members join the projectIn the project invitation email sent to the team members there is a confirmation button. By clicking it, the team members accept the invitation and join the TeamCloud project.As soon as a team member has accepted the invitation, the team lead receives an email for information. In MAXQDA, the team lead also receives a corresponding notification that the team member in question has joined the project.Furthermore, this information is also visible on the MAXQDA TeamCloud website on the respective project page under "Recent Activity".Later, you will be able to manage and maintain your project team at any time via the MAXQDA TeamCloud website.
  • 8. MEMBER: Download and/or open project 8 During the download, the existing local project copy is replaced by the downloaded project file.Working with team projectsYou can now edit and analyze your team project in MAXQDA in exactly the same way as you are used to, for example by adding codes, memos, comments, and paraphrases, like in any MAXQDA project.Please note: To avoid data loss, we recommend that you use TeamCloud projects only on one computer within a cycle.

MEMBER: Upload project for team lead 9 MEMBER: Upload project for team leadAfter you, as a team member, have finished your part of the work on the project, upload your project to the TeamCloud so that it can be imported into the main project by the team lead in the next step.To do this, click Upload Project for Team Lead in the TeamCloud tab at the top of the menu. TeamCloud ribbon from a team member's perspectiveWhile uploading, you have the option of adding a supplementary comment for the team lead. The comment will also appear within the notifications in MAXQDA, via email, and in the "Recent Activity" overview on the MAXQDA TeamCloud website. Comment function for team members during uploadAfter uploading your data, the work within the current project cycle is completed for you as a team member. You will receive a corresponding message in MAXQDA, and the project will then be closed automatically.Subsequently, you will also see in the MAXQDA welcome screen within the Team Projects list that you have uploaded the project in question.Please note: In exceptional cases, team members can upload their editing status to TeamCloud one more time or even multiple times (coordinate within the team to do this). Additional uploads are possible until the team lead ends the project cycle or the whole project.The current project cycle – and when it was started – is always displayed at the top of the TeamCloud ribbon.

LEAD: Import teamwork data 10 (De-)select the desired elements or accept the existing selection and click Continue.In the second dialog box you can see the new or updated document-independent elements. Again, the number of the respective elements is displayed in brackets. Import dialog for document-independent elementsMake your selection here as well and click Import.After the selected data has been successfully imported, you will once again receive an overview of the elements transferred to the main project in the form of an import log.

LEAD: Import teamwork data 11 Import log after successful project import by team leadEach import log is also saved as a free memo in your project at the same time and can thus be retrieved at any time later (via Memos > Free Memos).Please note: If you have opened a TeamCloud project in MAXQDA, the functions Home > Teamwork > Teamwork Import/Export and Home > Merge Projects are not available – neither for the team lead nor for the team members. These functions are only available for "normal" MAXQDA projects.How does MAXQDA proceed with the import?The import of projects follows these principles:MAXQDA imports all selected data from the team members' projects into the team lead's main project. Only the data created in the current teamwork cycle will be imported. Items deleted by team members (codes, memos, paraphrases, summaries, etc.) are not deleted in the main project. If an element already exists at a location in MAXQDA, it will only be imported if the last editing date is newer than the existing one. In case of conflicts, therefore, the newest element always "wins" and overwrites the existing element.Example: If Jane changes the text in a code memo on Friday and Sarah changes the text in the same code memo on Monday, then after importing the two projects into the main project, Sarah's edit will be applied and Jane's will be overwritten during import because it is older.The same is true for edits made by the team lead to the main project, that is, they are treated the same as changes made by a team member: If the team lead changed the same code memo as Jane and Sarah did on Tuesday, they are not imported into the main project at all.For all those who would like to know exactly how MAXQDA proceeds with the individual elements and what special cases there are, we

The first table explains what happens with the document-related elements: ELEMENT is imported when Notes, handling of conflict cases Codes no code with the same name exists yet at the hierarchy position The color and order of the codes are not taken into account. Changes of Code Alias Names are irgnored. Code sets no code with the same name exists Changes in code sets (added or removed codes) are ignored. Coding, coded segment Creation or editing date is more recent than the start of the last cycle and there is no newer coding at the destination yet Editing includes changes to the weight, comment and segment boundaries. Deleting a comment is also a change. All existing codes of the same code at the position are replaced by imported codes, so that there is a maximum of 1 code with the same code per segment. Document memos Creation or editing date is more recent than the start of the last cycle and there is no newer memo on the document yet Existing older memos will be replaced. In-document-memos In-media-memos Creation or editing date is more recent than the start of the last cycle and there is no newer memo at the position yet Moved in-document memos are imported as new memos if the new assignment area is completely outside the old one. Moved in-media memos are imported as new memos. In-document and in-media memos with changed titles are added as new memos Document colors Colors are different Special case: Here, it is not the last edit that "wins", but the last imported project.

Variables deleted by the Lead are not imported in same cycle. Focus group variables like document variables like document variables Internal links [between documents] Creation date is more current than start of the last cycle and more current than the creation date of a possibly already existing link Links that overlap with a new link are replaced with the new link. External links, geolinks and weblinks [in document] Creation date is more current than start of the last cycle and more current than the creation date of a possibly already existing link Links that overlap with a new link are replaced with the new link. External links [in the document properties] External links differ Special case: Here, it is not the last edit that "wins", but the last imported project. Paraphrases Creation or editing date is more recent than the start of the last cycle and there is no newer paraphrase at the destination yet All existing overlapping paraphrases will be replaced by imported paraphrase. Summaries Creation or editing date is more recent than the start of the last cycle and no newer summary is available at the destination yet Existing older summaries will be replaced Document sets Name does not exist yet Changes to existing sets are not imported. Conflicts cannot occur, existing sets are never changed, only new ones are added. The following second table shows how MAXQDA proceeds with elements that are independent of documents: ELEMENT is imported when Notes, handling of conflict cases

If the start or target of the link is in a document, then the link will only be imported if the associated document was selected in the first dialog.

TeamCloud Website: Dashboard 18 The tabs in the lower area take you to the detail pages for the project in question, where you can view and manage files, team members, and the project logbook. These tabs are also available on the project's detail pages, so you can switch between them without having to return to the dashboard each time.
  • 19. TeamCloud Website: Project > Team members 19 Team members that have been invited but not yet joined the project are marked as "invited". This tag is replaced by a green "member" tag as soon as the invited team member has joined the project.Remove a team member from a projectTo remove a team member from a project, click the trash icon next to the team member's name.After confirming the security question, the person is removed from the project. This action only applies to the current project. Any memberships in other projects remain unaffected.If you want to remove a member completely from your project team, i.e. from all projects at once, you can do it in the Team section.

Project detail pageProject fileIn the Project File section you can see information about the project file of your cloud project, in which cycle the project currently is, as well as when and with which comments it was uploaded.In the Actions column, you can use the Show previous versions button (clock icon with backward arrow) to view the project files uploaded for each cycle and download them as a local MAXQDA project in MX22 format if required.As a team lead, you have the additional option at this point to delete individual previous versions of your project file.Teamwork statusIn the Teamwork Status section, you can see the processing statuses of your team members - in each case related to the current project cycle.If a team member has already uploaded teamwork files to the cloud for the current cycle, you can see when this was done and which comment, if any, was added by the team member during the upload.Delete projectThe Delete Project button at the very bottom allows you as a team lead to delete the entire TeamCloud project.This will irrevocably delete all files belonging to the project. This also includes previous uploaded versions of the project file and all external files.After this point, it is no longer possible to access the team project from MAXQDA.This action cannot be undone.Project size In the right-hand column at the top, under Project Size, you can always see how much storage space your project, including all associated external files, currently occupies in the cloud.Recent activitiesBelow the project size you will find the Recent Activity section in

This consists of a collection of text entries, comparable to a shared diary.The project logbook is stored online on the cloud server (in contrast to the local logbook for local projects); it can therefore only be viewed on the MAXQDA TeamCloud website.The project logbook can be accessed from the respective team project in MAXQDA via the TeamCloud > Project Logbook menu.Add logbook entriesAll project members (team lead and team members) can create, edit and delete entries in the logbook. The project logbook on the MAXQDA TeamCloud websiteTo add a logbook entry, click + Add Logbook Entry and enter the title and content of the logbook entry. Then click the Add new logbook entry button at the bottom. Your username and the creation date will be added automatically while saving the entry. The list of logbook entries is sorted in descending order according to the time of creation, so new entries always appear at the top.Edit logbook entriesTo edit, click on the pencil button next to the desired logbook entry. Make your changes to the title and/or content of the logbook entry. When editing an existing entry, the username of the person editing it and the date of editing are automatically added while saving.Delete logbook entriesTo delete a logbook entry, click the trash button next to the desired entry.

  • 24. Glossary 24 Glossary Cloud space/storage Storage space in the MAXQDA TeamCloud Cycle Working loop of a TeamCloud project. One cycle = team lead shares the project - members download it, work locally in MAXQDA and upload their project copy back to the cloud - team lead imports teamwork files into the main project. Afterwards, the team lead decides whether to end the project or start another cycle. Dashboard Overview of all TeamCloud projects for which you are a team lead or team member (landing page after logging in to the MAXQDA TeamCloud website) Import log Is automatically created as a free memo when team lead imports team members' project data into the main project. Local cloud workspace The location for local project copies of TeamCloud projects. Project files are shared from within MAXQDA via a secure cloud space. MAXQDA TeamCloud website Website for managing TeamCloud account, TeamCloud projects, team members and the project logbook. Project invitation Email notification to team members who are invited to a TeamCloud project. With a mouse click, they can join the project. Project logbook Online logbook for team projects on the MAXQDA TeamCloud website for collecting and sharing important notes, project information, ideas, or questions. Roles In the TeamCloud there are two defined roles: Team lead (1 person per TeamCloud project) and team member (1-4 people). Seats Each person in the team (team lead and team member) occupies a seat within the TeamCloud license. Team lead Fixed role. Team leads store the serial number of the TeamCloud license in their TeamCloud account. They can then create and share projects in the cloud. Team member Fixed role. Team members are invited by the team lead to the TeamCloud project and can join it. TeamCloud account Required to use MAXQDA TeamCloud and share projects with the team.
