6. Special Conditions
• Above Rates are given only for ONE email transmission to our
database.
• To enjoy the “Special Offer”, you need to pay for all 4 ads at
once, and
• All 4 ads need to be completed within 8 weeks.
• The same ad/artwork should not be repeated more thans2
times, and there should be at least 7 days gap between two
repetitions.
• If you are promoting any web site or any campaign where
users need to submit their email, other personal details,
friends email etc, there will be an additional fee of Rs 1000/-
applicable for both packages above.
• Above advertising rates are valid only for 30 days from the
date you are sent this proposal

7. CAN YOU DESIGN THE AD FOR US?
Yes. We can. There will be additional fee of Rs 3000/- per
artwork and need to be paid in advance .
This is an added service we give at a special rate for our
clients. Design requirements should be sent to us at least 7
days before the campaign date, as we need enough time to
design it and get your feedback.
You need to provide us the exact titles/wordings you wish to
have in the ad and if you have any images you wish to
include, please provide them in advance.
Once the ad is designed, we will send it for your feedback and
if there are any changes needed, please communicate them
ASAP. After the changes we will send it back to you and you
have only one more chance to request any more changes.

For our online marketing services, we have been able to charge very
attractive low prices, mainly because we have minimized our sales &
marketing costs, administrative cots and staff cost.
If we are to employ a big staff to visit clients regularly for discussions, to
collect payments etc, our overhead costs could be very high, hence the
prices of our services could also be even higher than what we currently
charge.
Due to this fact, we always prefer to do the communication over the
phone and via emails, and also settle the payments via bank
payments/deposits.

10. I AM READY TO ADVERTISE WITH YOU.
WHAT DO I NEED TO DO NOW?
1. Book a date/time for your email transmission. 5 Time slots
available for a day – 3 ads start in the morning at 9.00 am
and another 2 ads start at 10.00 pm at night.
2. Mails will be sent out under Orix Marketing brand or Your
Mails Brand will additionally charge Rs.600/=.
3. Full payment is needed to book the time slots.
2. Alternatively you can make a tentative booking . But
tentative bookings will be valid only for 24 hours and, if you
fail to confirm you booking by making the full payment
within 24 hours, your tentative booking will be
automatically cancelled in our system, and the next client
who is in the waiting list will be given the opportunity to
book the date/time.
3. Send your ad/artwork (email to us) at least before 24 hours
to the reserved date. We will review your ad and feed it to
our system, to set up the campaign. Continue to next page….

WHAT DO I NEED TO DO NOW?
4. If your ad/artwork does not meet our specifications and
design guidelines (explained at the end of this document),
we reserve the right to reject your ad & refund the money.
Therefore it is advisable to send your artwork for our review
well in advance. (so that you have enough time to do the
changes, if any)
5. Send us the “Subject Line” you wish to put in the email.
This has to be limited to 8 -10 words. If you do not provide
a subject line, we will use an appropriate subject line based
on your ad.

File Dimension/Size/Format
Dimension – 9’ x 12’ Inches (750 x 1000 Pxls)
Size - Should be less than 200 KB
Format – JPG
If you artwork does not meet the above requirements, we will have to
re-size it. If you have provided it in a different format we have to
change the file format,. Pls note that when resizing or changing the file
formats, the quality of your original artwork may slightly dropped.
Sometimes this drop in the quality may not be very noticeable.
However it is always recommended for you to stick to the guidelines we
have given.

Title/Subject
Use limited number of words (8-10)
Don’t make the readers feel that you are trying to sell
something.
Make it newsworthy - think about subject lines as
headlines in newspapers. Does it catch enough of your
attention to read on?
Avoid ALL CAPITAL LETTERS and exclamation marks.
"[ALL CAPS] feel like you are shouting for attention
and not being respectful of your readers' time
Specially in the email subject line, try to avoid words
such as “Free, Buy, Offers, Discount, Win” etc

Email Body
Email is a visual media. Make best use of it by having a
proper mix of images and text in your ad.
Don’t make it look like a “classified ad” in the Sunday
News Paper.
Maintain at least 40:60 ratio of images and texts in the
full space of the ad. (Important)
If you have attractive images of your product/service,
include them in the ad. Images can speak 1000 words
for you.
Always stick to 5Bs– Big – Bold – Brilliant – Bright –
Beautiful.

Call to Action
Make your contact details very prominent. Have full details,-
Names, Address, Contact Numbers, Email Addresses, Web
Site Links etc.
Email is a “Direct Response Media” So, have a clear “ Call to
Action (verbs)” in your email.
Examples:
1. Call – Give the contact numbers
2. Click here to contact – link your ad to an email address
3. Click here for more info – link your ad to a web page where you
give more details
4. Buy/Reserve/Book – Give the details of where and how to
buy/reserve.

16. I ALREADY PAID AND BOOKED A TIME
SLOT. I WANT TO CANCEL THE BOOKING
NOW?
If you cancel at the last moment (within the last 24 hours of your
reserved time slot), NO refund will be made. If you are ready
to do that campaign again on another future date, you will
have to pay again and book the date.
If you cancel within 7 days of your reserved date, only 50% will
be refunded. But if you wish to re-schedule it again to another
date, above cancellation fee (50%) will not be charged
If you cancel before 7 days of your reserved date, no
cancellation fee will be charged and 100% will be refunded.
Or else you can re-schedule the ad to another date.

17. HOW DO WE KNOW WHETHER YOU REALLY
SEND OUR MAILS TO YOUR ENTIRE BASE?
One email transmission may take about 10-12 hours to
complete.
After the transmission is completed, our system will tell
us how many mails actually got delivered and
bounced. We can compile this information in to a
report and can send this to you for your information
and records.
However, this report will not tell you, how many people
actually opened the email and clicked on the ad. (We
expect to give this “Open Rate” and “Click Through
Rate, CTR” data in the future for all our campaigns)

18. WHAT IS THE RESPONSE RATE OF A TYPICAL
EMAIL AD WE DO?
An exact figure can not be given as the response can
depend on many factors such as
 How attractive is your email subject line. Does it attract people’s
attention to click and open the email?
 How attractive is the offer you promote in the email?
 Is your offer appealing to the majority of the people in the data base or, is
it appealing only to one segment in the base, such as female only, high
income earners only.
 Are you sending this ad at the right time – for example, sending a hotel
package ad during the holiday season can be very effective.
 How attractive and creative is your advertisement? In other words, “have
you followed the artwork design guidelines explained at the end of this
document?”

19. THE TRUTH THAT OTHERS MAY NOT WANT TO SHARE
WITH YOU. CAN WE EXPECT ALL 180,000 PEOPLE
TO RECEIVE THESE EMAILS IN THEIR INBOX? - NO
What ever the best practices we follow and all known and secret tactics we
apply in order to set up the emails to be delivered to the recipients inbox, there
is always a small % of customers (normally less than 10%), who do not receive
the mails in their inbox.
This is mainly because of the email programs they use and the spam filtering
software that are used by them. In addition to the main public email programs
such as Yahoo, Gmail and popular email programs like Outlook Express, there
are 100s of different email programs and 1000s of different spam filtering
software used by people around the world.
Most of these spam filters and technologies use a scoring system to determine
whether an email is spam or not. Even if it’s a legitimate email, based on their
scoring system, if a particular mail is marked as spam, some programs totally or
partially block the content (images) of the emails, without displaying them to
you , while some other email programs send these mails to a Spam or Junk
Folder in your email account.

20. It is virtually impractical for us to set up the emails to be compliant with all
those 100s of email programs and 1000s of spam filters that are used by
the recipients.
However, using our expert knowledge and experienced gained over the
years, we make all our efforts and use all known and secret tactics to make
our emails compliant with all main, popularly used email program and filters.
Before a client’s ad is sent to our database, we normally do extensive testing
using our test email accounts and when we achieve 80%-90% success rate,
we send the mails to the actual users.
