1. Video Conferencing Setup : Windows
Hardware setup –
Camera – Follow instructions provided by manufacturer. Main issue is the sequence of installing drivers
vs. connecting the camera. Some cameras want hardware connected first, others want the software installed
first. Read instructions.
Headset – Generally a simply matter of plugging in the 2 audio plugs to the coordinating color outlets on
your soundcard.
Software setup -
Netmeeting – To initiate the Netmeeting setup… Start run “conf”
Go though the setup of Netmeeting. This is only needed the first time Netmeeting is run, after that the settings
are remembered (changeable within Netmeeting).
Firewall –
For netmeeting and all of it’s features to work smoothly the following ports need to be open in the
firewalls, if present, at both the calling and answering ends of the conference.
3220-3235, 1720, 1503, 3603
Determining IP address –
Start run “command”
This should open a command prompt window
“ipconfig /all”
This should bring up several pieces of networking information as they apply to your system. The critical
information is IP Address – it will appear in a ###.###.###.### type format (any set of ### could be ## or #).
Back at the command prompt enter “exit”
Call setup -
Initiating call – enter the other conference member’s IP address into the blank field above the Windows
Netmeeting video display screen, then hit the “place call” button. Once connected hit the “start/stop
video” button the begin transmitting video. There is usually a delay of several seconds between selecting
this option and the video actually beginning.
Answering call – Open Netmeeting and wait. When a call is incoming your computer will indicate that a
call is incoming and you will be given the option to answer or ignore it. Once you have accepted the call you
can hit the “start/stop video” button the begin transmitting video. There is usually a delay of several seconds
between selecting this option and the video actually beginning.
2. Features -
Share a program – Upon selecting this option you will be shown a list of all of the open
applications on your computer. Select the program/file you wish to share. Sharing “Desktop” gives the caller
access to your entire desktop and they can open files at their discretion. Before selecting the “Share” button you
should select “Allow Control” if you want the other conference members to be able to control the application
for any reason. “Automatically accept requests for control” allows other conference members to take control
without your approval. When a remote user has control of the application you can retrieve control by simply
mouse clicking on that application.
Chat – Opens a chat window. You can type your message in the “message” window and select
the “Send Message” button. Your message will then be labeled as your as and placed into the main viewscreen
for all conference members to view. Their messages will be placed in the main window as they send them. By
selecting a particular conference member from the “send to” window you can send a message to only that
participants screen.
Whiteboard – opens a Windows Paint window. Most options in the window function as in paint.
The differences are by selecting the “page +” button in the lower right corner you can create a clean board
without deleting the information on the previous board. Toggling between boards by using the right/left arrows
and page numbers in the bottom right corner of the whiteboard page. The other main difference is the presence
of the remote pointer – this feature allows you to point to items on the board (other conference members cannot
see your cursor icon) to draw attention to specific points.
Transfer files – Functions to send files between conference members. By selecting the file to be
transferred and to whom it is to be transferred you can send any file to any other or all other conference
members.
