WHAT’S COMING
Very soon, every employer in the UK will
have to Auto Enrol its staff in a workplace
pension. Depending on the number
of people you employ and your PAYE
reference, you are given a date by which
this must happen. This is your STAGING
DATE. From that day, you must have a
qualifying pension scheme in place and
a payroll system which handles all the
necessary AE functions. Even if your
employees choose to opt out, you still
need a qualifying pension scheme in place
to handle all future communications –
so there’s no getting out of it.
WHY IT’S IMPORTANT
You’ll be slapped with fines of up to
£10,000 for every day you don’t comply.
Sitting on your hands simply isn’t an

Most traditional payroll software packages

letting yourself in for.

At THP, we’ve already Auto Enrolled –
that’s because we have over 50 people
working with us, so our Staging Date was
quite early.
It was my responsibility to make sure that
we were ready in time, and there was no
way I was going to put us in a position
where we paid hefty fines for being late!
I had to learn everything as I went along,
and it wasn’t easy. Some nights I was up
until the early hours, just to keep on top
of things. Research shows that it takes
an average of 103 staff days to get ready
for Auto Enrolment. I think that’s been
underestimated!
To save other businesses having to go
through our agony, I helped to create
our specialist AE Payroll Solution (see
page 1.1). But if you do decide to go it
alone, this is my quick guide to making
AE a success. Turn the page to see how
to do it.
Even with my best laid plans, we were
let down after many reassurances by
our existing scheme provider. With just
2 months to go, we were told that our
stakeholder scheme didn’t qualify for AE.

1. CONFIRM YOUR STAGING DATE This is
the day the law states you must have all
your Auto Enrolment systems in place. It
is worked out according to your number
of employees and your PAYE reference
number. Visit The Pensions Regulator
website at www.thepensionsregulator.gov.
uk to find out when it is, or give me a
call today.
2. REGISTER WITH THE PENSIONS
REGULATOR You need to nominate a
decision maker in your company. You also
have the option of registering another
person who will be dealing direct with
your AE. They will receive notifications
from the TPR.
3. ASSESS YOUR WORKFORCE This is
complex. You need to find out how your
employees will be classified under the
complicated new system. Are they
classed as ‘eligible jobholders’, ‘non-
eligible jobholders’ or ‘entitled workers’?
It’s not an easy task – you’ll need to
know for sure where agency workers,
volunteers or personal service workers fit
in. And if you get it wrong, it can be a very
expensive mistake.
4. DECIDE WHETHER TO USE SALARY
EXCHANGE AND WHICH AE CALCULATION
METHOD TO CHOOSE Getting these two
important decisions wrong could cost you
and your employees dearly. It’s important
that you research the best calculation
method based upon your workforce
profile and how your employees pay is
made up. If your payroll software can
correctly handle salary exchange then
you will probably also be able to cut your
pension costs substantially – whilst also
saving money for your employees.
5. CHOOSE A PENSION If you’re not a
pensions expert, this can be a daunting
choice. You must have a qualifying
scheme in place, the longer you leave it
the harder it will be to get a good one at a
good price. Even we ran into trouble here
– our pension scheme told us very late in
the day that they were NOT going to make
it AE compliant. Only with the eleventh-
hour help of Laurence did we avoid
landing in very hot water. That shows you
how easy it is to get it wrong if you trust
things to pensions companies!

6. INTEGRATE YOUR PAYROLL If you have
an in-house payroll system, it’s highly
unlikely that it will be able to cope with AE
as it is now. If your accountant does your
payroll, we’ve discovered that most can
only handle AE with bolt-on middleware
– which means more admin and cost for
them and you. Your best bet is to opt for
an integrated, replacement payroll and AE
system, like the one we now use for all our
payroll clients.
7. ONGOING ASSESSMENT When you’ve
done the preliminary work and have
all your Auto Enrolment systems set
up, then you have to submit workforce
assessments each time you run your
payroll. If your software can’t handle
this, you’ll waste hours compiling data
manually. The more employees you have
the more expensive and time consuming
this will be.

THE CENTRE FOR ECONOMICS AND BUSINESS RESEARCH FOUND THAT COMPANIES TOOK AN
AVERAGE OF 103 STAFF DAYS AND SPENT UP TO £22,300 GETTING READY FOR AUTO ENROLMENT.
IS THAT A COMMITMENT YOU CAN REALLY AFFORD?
Perhaps the worst thing about going it
alone when you Auto Enrol is that you’re
truly on your own. It’s an expensive,
admin-heavy process, and when things go
wrong you have few people to turn to.
If you choose this route, good luck! But if
you do decide it’s too much, I guarantee
you’ll save both time and money if you put
AE and your payroll in the hands of our
THP Angels!

have 5 months after your staging date to
complete your declaration of compliance
and submit it to the Pension Regulator.

1. I’VE GOT AGES BEFORE I NEED TO
SORT OUT AE - MY STAGING DATE ISN’T UNTIL
NEXT YEAR... Ideally you need at least a
year to 18 months to get ready for AE. The
later you leave it, the more likely it is that
problems will occur – meaning you not
only risk heavy fines for not complying,
but your choice of compliant pensions
will dry up.
2. CAN I USE MY CURRENT EMPLOYEE
PENSION SCHEME FOR AE? Possibly but
unlikely. You will need to check whether
it is AE compliant and most are not. It’s
much better to talk to a specialist like
Laurence now, to make sure you have the
best scheme in place for your business.
3. I ONLY HAVE ONE PERSON ON MY PAYROLL
You will almost certainly have to Auto
Enrol them. The systems still have to be in
place. There’s no avoiding it.
4. MY EMPLOYEES ALL INTEND TO OPT OUT
OF THE AUTO ENROLMENT SCHEME. DO I
HAVE TO AUTO ENROL THEM? Yes, you have
to enrol them before they can opt out.
That means you still have to have all the
systems in place.
You also need to keep a pension scheme
in place in case they decide to opt in at a
future date. It is also a criminal offence
to influence an employee to opt out in
any way.
5. I WANT TO CARRY ON USING MY NORMAL
PAYROLL SOFTWARE You can, but you will
be storing up trouble for yourself if it relies
on middleware to make it work. It will
take much longer and these middleware
systems are much more prone to human
error. Our solution is one of the few that’s
specially designed for AE – cutting hassle,
costs and red tape.

This is what you need to know.” WHAT’S COMING Very soon, every employer in the UK will have to Auto Enrol its staff in a workplace pension. Depending on the number of people you employ and your PAYE reference, you are given a date by which this must happen. This is your STAGING DATE. From that day, you must have a qualifying pension scheme in place and a payroll system which handles all the necessary AE functions. Even if your employees choose to opt out, you still need a qualifying pension scheme in place to handle all future communications – so there’s no getting out of it. WHY IT’S IMPORTANT You’ll be slapped with fines of up to £10,000 for every day you don’t comply. Sitting on your hands simply isn’t an option! But luckily you can relax. E payroll@thp.co.uk T 0800 6520 025 Going it alone… Make sure you know what you’re letting yourself in for. 3.2 At THP, we’ve already Auto Enrolled – that’s because we have over 50 people working with us, so our Staging Date was quite early. It was my responsibility to make sure that we were ready in time, and there was no way I was going to put us in a position where we paid hefty fines for being late! I had to learn everything as I went along, and it wasn’t easy. Some nights I was up until the early hours, just to keep on top of things. Research shows that it takes an average of 103 staff days to get ready for Auto Enrolment. I think that’s been underestimated! To save other businesses having to go through our agony, I helped to create our specialist AE Payroll Solution (see page 1.1). But if you do decide to go it alone, this is my quick guide to making AE a success. Turn the page to see how to do it. Even with my best laid plans, we were let down after many reassurances by our existing scheme provider. With just 2 months to go, we were told that our stakeholder scheme didn’t qualify for AE.   • 16. E payroll@thp.co.uk T 0800 6520 025 1. CONFIRM YOUR STAGING DATE This is the day the law states you must have all your Auto Enrolment systems in place. It is worked out according to your number of employees and your PAYE reference number. Visit The Pensions Regulator website at www.thepensionsregulator.gov. uk to find out when it is, or give me a call today. 2. REGISTER WITH THE PENSIONS REGULATOR You need to nominate a decision maker in your company. You also have the option of registering another person who will be dealing direct with your AE. They will receive notifications from the TPR. 3. ASSESS YOUR WORKFORCE This is complex. You need to find out how your employees will be classified under the complicated new system. Are they classed as ‘eligible jobholders’, ‘non- eligible jobholders’ or ‘entitled workers’? It’s not an easy task – you’ll need to know for sure where agency workers, volunteers or personal service workers fit in. And if you get it wrong, it can be a very expensive mistake. 4. DECIDE WHETHER TO USE SALARY EXCHANGE AND WHICH AE CALCULATION METHOD TO CHOOSE Getting these two important decisions wrong could cost you and your employees dearly. It’s important that you research the best calculation method based upon your workforce profile and how your employees pay is made up. If your payroll software can correctly handle salary exchange then you will probably also be able to cut your pension costs substantially – whilst also saving money for your employees. 5. CHOOSE A PENSION If you’re not a pensions expert, this can be a daunting choice. You must have a qualifying scheme in place, the longer you leave it the harder it will be to get a good one at a good price. Even we ran into trouble here – our pension scheme told us very late in the day that they were NOT going to make it AE compliant. Only with the eleventh- hour help of Laurence did we avoid landing in very hot water. That shows you how easy it is to get it wrong if you trust things to pensions companies! 3.3 Go it alone
  • 17. E payroll@thp.co.uk T 0800 6520 025 6. INTEGRATE YOUR PAYROLL If you have an in-house payroll system, it’s highly unlikely that it will be able to cope with AE as it is now. If your accountant does your payroll, we’ve discovered that most can only handle AE with bolt-on middleware – which means more admin and cost for them and you. Your best bet is to opt for an integrated, replacement payroll and AE system, like the one we now use for all our payroll clients. 7. ONGOING ASSESSMENT When you’ve done the preliminary work and have all your Auto Enrolment systems set up, then you have to submit workforce assessments each time you run your payroll. If your software can’t handle this, you’ll waste hours compiling data manually. The more employees you have the more expensive and time consuming this will be. 3.4 THE CENTRE FOR ECONOMICS AND BUSINESS RESEARCH FOUND THAT COMPANIES TOOK AN AVERAGE OF 103 STAFF DAYS AND SPENT UP TO £22,300 GETTING READY FOR AUTO ENROLMENT. IS THAT A COMMITMENT YOU CAN REALLY AFFORD? Perhaps the worst thing about going it alone when you Auto Enrol is that you’re truly on your own. It’s an expensive, admin-heavy process, and when things go wrong you have few people to turn to. If you choose this route, good luck! But if you do decide it’s too much, I guarantee you’ll save both time and money if you put AE and your payroll in the hands of our THP Angels! 8. DECLARATION OF COMPLIANCE You have 5 months after your staging date to complete your declaration of compliance and submit it to the Pension Regulator. Go it alone
  • 18. E payroll@thp.co.uk T 0800 6520 025 Got any questions? 4.1 1. I’VE GOT AGES BEFORE I NEED TO SORT OUT AE - MY STAGING DATE ISN’T UNTIL NEXT YEAR... Ideally you need at least a year to 18 months to get ready for AE. The later you leave it, the more likely it is that problems will occur – meaning you not only risk heavy fines for not complying, but your choice of compliant pensions will dry up. 2. CAN I USE MY CURRENT EMPLOYEE PENSION SCHEME FOR AE? Possibly but unlikely. You will need to check whether it is AE compliant and most are not. It’s much better to talk to a specialist like Laurence now, to make sure you have the best scheme in place for your business. 3. I ONLY HAVE ONE PERSON ON MY PAYROLL You will almost certainly have to Auto Enrol them. The systems still have to be in place. There’s no avoiding it. 4. MY EMPLOYEES ALL INTEND TO OPT OUT OF THE AUTO ENROLMENT SCHEME. DO I HAVE TO AUTO ENROL THEM? Yes, you have to enrol them before they can opt out. That means you still have to have all the systems in place. You also need to keep a pension scheme in place in case they decide to opt in at a future date. It is also a criminal offence to influence an employee to opt out in any way. 5. I WANT TO CARRY ON USING MY NORMAL PAYROLL SOFTWARE You can, but you will be storing up trouble for yourself if it relies on middleware to make it work. It will take much longer and these middleware systems are much more prone to human error. Our solution is one of the few that’s specially designed for AE – cutting hassle, costs and red tape. 6. SURELY IT’S A COSTLY HASSLE TO GET MY EMPLOYEE DATA IN YOUR NEW SYSTEM? No. We take care of all of that for you and make it as painless as possible.
