Process Flow
• The Asset Information and the assigned unique
Asset no is received from the Clients ERP to our
Asset Management Software.
• The Unique Asset No is mapped with the unique
RFID Tag No using a Hand Held RFID Reader.
• The tag is then mounted on the particular
machinery.
Assigning A Tag
• Assets could be classified as Indoor / Outdoor /
Transferable / Non – Transferable / Classified /
Top Classified, etc.
• Asset would have the following information Unique
ID / Type / Location / Owner / Sub Asset & Image.

Process Flow
• An RFID Hand Held Reader would be used to scan the RFID Tags
pasted on the Asset.
• The reader works both in real time (using Wi-Fi) or in Batch Mode
where the scanned data would be synced once the reader is
brought back to its docking station / cradle.
• Our Application would be running in the Reader which will capture
these tag reads and then compare it with the asset database.
• If there is a missing tag our software would notify the user. The
user can also repeat the process for re-verification.

Tracking the Asset Movement from Once Facility to the Other
• When a particular asset has to be moved. The hand
held RFID reader is used to scan the Tag
Information.
• The tag would provide all the information with
regards to the asset.
• The user would be able to go to the select the
location information of the asset and would be able
to edit it with the new information.
• As soon as an asset is moved to a different location or is moved for
service, the asset owner would receive an email.

Tracking Laptops and HDD’s in & out of the premises
• Laptops & Hard Disk Drive (External & Internal) has to be tracked whether its authorised
to be brought in or out of the office.
• RFID Tags are pasted on the authorised assets. The unique RFID Tag ID is mapped to
the asset information. Which would have the details like:
• Owner Name,
• Owner Designation
• Owner Department
• Owner Location
• Product Make
• Product Model No
• Product Serial No
• Product Purchase Date
• Product Purchased From
• RFID Readers and Antenna are placed near the baggage checking counters at each
premises.
• Whenever a staff / personnel takes out an asset, the picture of the person is displayed
near the baggage counter, by which the Security Personnel would validate whether the
laptop / HDD is authorised to be taken in our out.

RFID Portal
• An RFID Portal is kept at the baggage
scanning area.
• The user has to walk through this
portal.
• The portal has a tower lamp installed in
it which would visually and audibly
notify if there is an unauthorised asset
being taken out.
• In case if there is an authorised asset,
there would be a display unit which will
display the photograph of the owner of
that asset.

Editing Asset Information
• The system admin would be able to edit the
Asset Information by manually entering the
Asset ID number displayed on the Label of
the Asset or by simply scanning the barcode
using a Barcode Scanner.
• The system admin would be able to
• Transfer the ownership of the asset.
• Mark it as taken out for service.
• With details of the service personnel
carrying it.
• Mark it as scrapped.
• With details of the scrap personnel
carrying it.

Report Module
• When a Audit is completed, the system would display the following information.
• The date and time of the audit.
• The plant at which the audit was taken.
• The total no of asset that are assigned for that location.
• The total no of missing assets (if any).
• Apart from the above information the system would have the following information for any
machine.
• Purchase | Warranty | Supplier Info | Service Contractor Info
• Service Contract History | Repairs History | Refurbishments Date & Details.
• The RFID Tag history (no of tags that were assigned to it prior.)
• It can also track if the asset is handed to someone e.g.: Asset moved out for service.
• List of assets under a particular owner / division could also be displayed.
