Project Description
The Akshaya Patra Foundation is a not-for-profit organisation headquartered in Bengaluru, India. The
organisation strives to fight issues like hunger and malnutrition in India. By implementing the Mid-Day
Meal Scheme inthe GovernmentschoolsandGovernmentaidedschools,AkshayaPatraaims notonly to
fight hunger but also to bring children to school.
Since 2000, the organisationhasworkedtowards reachingmore childrenwithwholesomefoodonevery
single school day.TodayAkshayaPatraisthe world’slargest(not-for-profitrun) mid-daymealprogramme
serving wholesome food to over 1.4 million children from 10,770 schools across 10 states in India.
Akshaya Patra has kitchens in 24 locations spread across 10 states in India, a result of the successful
partnership with the Government of India, various State Governments and generous supporters.
Objective
To identifythe painareaof the processandto define the solutionwiththe integrationof the technology.
Capture the updates from field on real time and to minimize the manual and paper intervention.
Process Flow Overview
 Vendor:Contractswhosupplyraw materialsonthe indentbasisandtheywill be paidaccording
to the contract like six monthbasisortwo monthbasisor yearlybasis.
 Procurementteam:Thisteamcan be calledasthe back bone of the organisationbecause it
dealswiththe vendorsandcheckthe way how theyare procuringthe qualitycheckof raw
materials.Itisalsocalledas CSS(Central Store Strategy).
 Productionteam: Thisteamwill passthe dailyindenttothe store house ina betterwaysay
procurementteamandtheywill getthe dailyfromdistributionteam.
 Indent:There are twotypesof indentdailyandmonthlyasshowninthe flow processmonthly
indentdealswithrice fromthe govtauthoritiesanddailyindentfromthe strengthof schools.
 Kitchen:All the rawmaterialswill come tothe kitchenbeforethe itisgoingtocook and the staff
crewwill cleanthe rawmaterialsandtheycleanit choppingwill be done andkeepitinstorage
the temperature maintainedisaround5-6centigrade.
 CookingandCalibration:The choppedraw materialswill bringoutof the storage and theywill
cook ina cookerscalledcauldrons.The qualityengineerswill calibratethe foodbyvisual
inspectionandbytaste.
 Packing& distribution:The distributionteamwill take charge topack the foodinthe vesselsand
properbatchingwill be done accordingtotheirprocess.
 Trackingand Logistics: The foodwill be loadedinthe vanand the respective crew isworkingon
trackingthe vans by usingGPSand quite a bit it hasto implement.

1. Commandcentre needtobe in place foreasycoordinationbetweenall the stake holdersandto
capture/validatethe indentondailybasis.
a. Fewfunctionalitiesof commandcentre
i. Single pointof contactfor all the stake holders
ii. Monitoringof all the activitieslikestartingfromindentcapturingtolastmile
deliveryof food.
iii. Trackingof vehiclesandcanact quickly incase of vehicle breakdownand
emergency.
iv. Reportsand MIS generation
2. To reduce the manual interventionandpaper work,integrated software applicationshouldbe
inplace whichwill helpthe AkshayaPatrateamto manage andmonitor. Single appshould
suffice &helpthe interdepartmentstoplantheirworkschedule.
a. Appshouldbe capable of performingthe followingactions
i. Master data base of schools
ii. Monthlyindentdetails
iii. Provisiontocapture the dailyindent(viaPhone,SMSor mobile app)
iv. Appshouldbe intelligentenoughtocalculate the requiredquantitybasedon
the dailyindent/attendance thisfeaturewillhelpthe procurementand
productionteamforplanningtheirworkschedule.
v. FurtherMIS can be generatedusingthe inputinformation.
b. Applicationshouldgenerate anautomatedtripsheetforthe deliveryof foodondaily
basis.
c. Trip sheetcanbe passedonto the route supervisorphone.
d. At the deliverypointthe real time data/acknowledgementof the deliverycanbe
capturedand updated.
e. Optionof enteringthe noof vesselsatthe time of deliveryatthe particularschool will
helpusto track the vessels.
3. Mobile applicationtothe school authoritytoshare the dailyindent/feedbackand
acknowledgmentof the delivery.
4. Trip sheetdetails canbe uploadon google drive aftercompletionof eachdelivery andsame
usedas a repository.
Authentication
Authentication shouldbe inplace forall the solutionsofferedtoensure the acknowledgementandclient
confirmation is been captured and we can eliminate the misuse to some extent.
