2. Venue Arrangements- Midwest Monarchs Football Clinic will be held at Burnsville High
School on the varsity football field. We have a contract with Burnsville High School that allows
us to use their field for various activities such as our skill development program called,
“Monarchs Speed Improvement”.
SpecialArrangements- Part of our football clinic program requires students to get into
groups of seven and push a fire truck from one end of the parking lot to another. This requires us
to make special arrangements with the Burnsville Fire Department. The fire department provides
us with three fire trucks to use for one specific day during the program.
Inclusion Plan- Individuals who are considered to have a disability are more than welcome to
join and or watch the Midwest Monarchs Football Clinic. The playing field and the parking lots
are wheelchair accessible and we have no problem making appropriate and reasonable
accommodations for those with disabilities.

Promotion Plan- Flyers with detailed info about the Midwest Monarchs Football Clinic will
be distributed by mail and online. The distribution process will begin two months prior to the
start of the program.
RegistrationPlan-Registration will be held in the Burnsville High School Gymnasium. All
coaching staff will be part of helping out to register people that are interested. Registration will
be held on a Saturday so that everyone has the ability to come since it’s the weekend. We will set
up a few tables in the gym with registration papers on them. We will have sign throughout the
building showing which way to go for registration so that confusion is at minimal level.
Burnsville High School
4. Staffing and Staff Orientation- We will have 3 defensive coaches, 1 special teams coach,
1 strength and conditioning coach, 2 offensive coaches, and a head coach. Every coach should
have a few years of experience. There isn’t a specific number of years but they need to provide
some sort of experience and knowledge of the game during the orientation. There is no training
because they should already know how to coach before applying. There will be an interview
process and then an orientation after that on what we expect to accomplish.
ManagementPlan-
The diagram above shows how our management plan will flow. Once the clinic is created it
flows down to the adjusting of schedules, the tasks are assigned based on the schedule, the tasks
and schedule will be looked over one more time before being officially implemented, between
that process we will conduct meetings and discuss any expenses we need to make. Data will be
collected based on the project and it needs.
CancellationPlan- In case of unfavorable weather on the day of our football clinic, we will
host the event inside Burnsville high school’s gymnasium instead. We will have similar drills as
we would have outside, but they will not be exactly the same. We will notify you at least 4
hours in advance if we feel the need to host our clinic indoors due to unfortunate weather
circumstances. We would only be inside if there is heavy rain, or serious thunderstorm
5. warnings. If you are sick and unable to attend there is nothing we can do for that day, but we
will have more events and clinics in the spring and summer that you are more than welcome to
attend when healthy again. If an employee is sick and unable to come and work the clinic, we
have a number of trained staff that is ready to fill in at a moment’s notice.
Set-Up- Set-up is to be conducted by the few of us responsible for running the program, we
welcome any volunteers that are willing to dedicate their time to help set-up everything for the
clinic. We need to put tables outside that we will put water coolers full of Gatorade on for the
players. We need to make sure we have the white year line markers painted on the field for
the players. We need to have the three fire trucks arranged in the parking lot, but not blocking
much parking from the public’s access. On one side of the field we are going to have the 2
speed ladders set up near the end zone and the 3 large tires set up more towards the fifty yard
line. On the opposite side of the field we are going to have the six orange cones spread out for
various types of speed drills for the players. All of this will be done prior to the participants
arriving for the event. When the players show up at 2 o’clock that afternoon everything will be
ready to go.
Risk Management Plan- As a programmer for this particular event all participants must
read all of the required forms, waivers, releases, and assumptions of risk in the event. The
programmer must know where all the necessary forms are in case of an accident or incident.
The programmer should make sure that staff members are making sure that all equipment is
safe to be used during the event. If a piece of equipment becomes broken or hazardous it must
be removed by a staff member only. The programmer should be circulating throughout the
event to make sure that everything is running as smooth as possible. Participants taking place
in this event must treat one another with dignity, class and respect as well as the equipment
and facilities that are their specifically for their use. Participants will be informed multiple of
times before the event on how to behave during the event, there for any juvenile behavior at
this event will not be tolerated and will be asked to leave the event. The staff we have on hand
for the event must know their individual responsibilities for this event and understand laws
such as sexual harassment. There should be enough staff at each station for the number of
6. participants at that station. In the event of weather emergency and we are outside we will
head inside to the gymnasium. Emergency evacuation and procedure plans will be posted and
handed out to everyone at the event. Participants as well as the programmer responsible for
the event and staff should all know what to do in case of an emergency.
AnimationPlan- The program design goals for this event would be to provide our athletes
with organized drills wired to help improve the speed of our athletes. This event is also a family
event, so families’ members may come and watch the players take part in this event. The
schedule for our event looks like this; the football clinic is scheduled to begin at 2 p.m. on
March 22nd. We are asking that all staff be here by 8 a.m. to help set-up and make sure
everything is ready to go by 2 p.m. We are expecting some families, but not a lot of families.
Our primary focus is the players coming to this clinic to improve their speed. We will have
plenty of staff on hand to help assist the family members that do decide to attend, as well as
the possibility of young children. We have a bowl of candy available when guests arrive for the
children. All staff must know their own individual responsibilities for the event, but also be
knowledgeable about the entire event itself as you could be asked any question at any time.
Everybody at this event will enter through the main door of the high school. Guests can begin
arriving at 1 p.m. the day of the event. When you walk in you will immediately be greeted and
welcomed for coming out to this event. There will be tables set up as soon as you walk in.
There is no admission charge for this event. If you’re a player participating in the clinic you will
head to table A and sign in there and then you will be directed to the locker room by one of our
staff members on duty. If you are a family member or just a football fan coming to watch you
will head to table B and be given a stamp on your hand, and then there will be ushers directing
you to the bleacher seating area to watch the players participate in the clinic. The doors for the
event will be open until the clinic is over. There will be staff at the main entrance at all times to
assist people arriving late. There will be no concession stands operated at this event. Players
will be directed where to go by our staff, and directed to which drill they will begin on and the
route they will take after they complete their first drill. Staffs are to be personable and friendly
with audience members at all times. Staff members down on the field are responsible for
making sure that players get to their designated drills after completing the one they are
7. currently on. This event will last approximately three hours. There will be awards at the end of
the clinic for the participants who finished in the top three in each drill. The awards will be a
surprise!
Program Wrap-Up- The program will be cleaned immediately following the minor awards
ceremony that we have prepared. All staff that was on duty for the event will be held
responsible, and thus required to help with clean up for the aftermath of the event. The staff
that was helping out on the field will be responsible for clean-up of the football itself. The
ushers and inside staff for the event will be responsible for inside clean up and bleacher clean
up where the spectators were for the clinic. We will be accepting any volunteers from players
to spectators for clean-up help.
Evaluation Plan
Purpose- The purpose of this evaluation is to see if the participants enjoyed the overall
experience. The feedback from the evaluation gives members of the organization an idea of their
strengths and weakness. It also gives them an idea of areas that need improvement.
Audience- The evaluation is for the kids who participate in our football clinic. The information
gained from the evaluation will help both staff and participants improve.
Process-The evaluation will be distributed the participants at the end of the football clinic.
Staff members will personally hand each participant an evaluation sheet and a pencil; they will
fill it out and then we will collect all of them at once.
Issues- The evaluation will address strengths and weaknesses of the program, how staff can
improve their communication amongst themselves and the participants, and how staff can
improve the overall experience of the program.
8. Resources-In order to conduct this evaluation will need to make surveys, have enough pens or
pencils, and a computer so we can email out the survey if some people are not able to attend. We
can also mail out surveys and have people mail them back when they are finished.
Evidence- Some of the evidence we need to collect are how the program can be improved?
Are there any other drills that we can implement? What should we focus on more? Should we
take out any drills? Those are the questions that will help us improve the camp.
Data Gathering- The data will be analyzed by us and implemented into the camp if we
believe it will benefit us and everyone else. We as a group will have to agree on any changes that
need to be made. Just because want to change some things it might not be in our best interest to
do so. So will talk about how effective it will be and is it worth implementing.
Analysis- The evidence from our football clinic can be analyzed by using quantitative data.
For the football clinic we were using statistical analysis. The times of each individual player
were recorded as they finished each of the speed development drills we had them do at the
clinic. We then measured the central tendency of the data of all the players’ times in the speed
drills. Central tendency is the mean, median and mode of the player’s times in the drills. We
measured the dispersion of the times, which is the variance and standard deviation of the
times.
Reporting- We will write a summative report about our findings at the football clinic. The
report will cover many areas. The purpose of the evaluation is a must because it is the
framework for the entire evaluation process. We will have evaluation questions and the
questions should be obvious in how they relate to the purpose of the evaluation. The
description of the program should be in the report. Listed in the description part should be the
following; setting, location, people using the service and the activities of the program. The
description aspect should basically cover the who, what, where, when and how of the program.
The evaluator’s background should also be covered in the report. This part of the report should
be used to establish the credibility of the evaluator. Topics to be covered in this section should
include; the evaluators affiliation, academic and professional background, bibliography of other
9. evaluation or academic work and an exploration of the evaluator’s values and biases. A
summary of regulations should be mentioned in the report. A summary of federal, state, local,
professional, or administrative regulations and directives affecting or mandating the evaluation
of the program should be included. Data gathering and your analytical methods must be
reported. An accurate and complete description of your data gathering methods should be
included. Your procedures for analyzing data should also be mentioned in the report. You
should report what your findings turn out to be in the report. Your audience will be interested
to know what you found out. Conclude what the worth was of the program you put on and if
you feel it was useful. You should also include future recommendations. This section should
include things you would like to try differently in the future that you didn’t try this time. You
should discuss different modifications for the program, if you were to put this program on again
in the future.
Survey- A survey will be handed out to all players who participated in the speed development
football clinic. Questions on the survey will include; on a scale from 1-10, 1 being horrible and
10 being the best, what would you rate the clinic that you just participated in? Would you
come back and participate in this clinic again? What, if anything would you recommend
changing or adding for the future? What was your favorite part about the clinic? What was
your least favorite part about the clinic? Did you find the speed drills we had you do were
useful in helping improve your speed? What sort of drills would you rather have done? Do you
think you had sufficient time at each station? Did you find the staff members at each station
