5. > > Precision Business Environment Business Problem “The problem lies within supporting the business goal of more accurate management of our budget in Print and Comms. More specifically, the solution has two parts: 1. Electronically receiving invoices from Australia Post and QM.2. From this data building reports that help us to manage budget items”. (Ian Caulton, Director for Print and Comms, 20th March 2009).
6. > > Precision Business Environment Business Problem - High Volume Process PROBLEM The invoices sent by QM to Print and Comms are currently delivered by letter and e-mail on a monthly basis. Invoices do not have reliable data. For example not listing job numbers can lead to untraceable expenses and makes it harder to justify costs. Lack of measureable information in the invoices, Print and Comms are unable to determine if the printing completed is either simplex or duplex. This leads to Print and Comms potentially paying more for simplex printing.
7. > > Precision Business Environment Business Problem - Low Volume Process PROBLEM Australia Post send only one invoice to Print and Comms per month and within this invoice there is not enough information to break-down individual costs of postage for letters sent, no categorized costing listed in the invoice. This situation potentially leads to a standard cost for all postage sent when discounts could be applied for bulk postage.
8. > > Precision Business Environment Business Problem “The only system in place to gather the data and create information is through a Microsoft Office Excel worksheet. This is not a reliable system as details inputted are from the invoices and are compared to last year’s sales results and don’t correspond to the current budget”. (Ian Caulton, Director for Print and Comms, 20th March 2009).
